Best open-source office suites for users switching from Microsoft Office

LibreOffice and ONLYOFFICE Desktop Editors are the strongest first trials for most individual switchers. Collabora Office is a documented alternative built from LibreOffice, while Apache OpenOffice remains viable for users who specifically want it but carries clearer, version-sensitive warnings about newer Microsoft formats. None should be chosen from a format list alone: open your real DOCX, XLSX and PPTX files, edit and save them, then reopen the results before converting a working document library.

What “best” means when you leave Microsoft Office

There is no universally best open-source suite for a Microsoft Office replacement. The right choice depends on the files your people exchange, the applications they need, whether work must continue offline, and how much migration or deployment help an organization requires.

As an Amazon Associate I earn from qualifying purchases.

The most important distinction is between format support and format fidelity. A program may open a DOCX, XLSX or PPTX file and still change a page break, formula, chart, font, comment, tracked change, embedded object or macro when you edit and save it. Microsoft Support puts the limitation plainly: “Not all applications can read all file formats; and in some cases, an application may only be able to read parts of the file.” Treat every vendor compatibility list as a starting point, not as an independent test result.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a sensible shortlist, start with LibreOffice and ONLYOFFICE Desktop Editors, then add Collabora Office or Apache OpenOffice when their particular workflow, deployment model or application set fits. Test before making a default-format decision.

Open-source office suites at a glance

Suite What its official materials establish Where it may fit a switcher Important qualification
LibreOffice Opens and saves Microsoft Office formats, including Office Open XML; uses OpenDocument as its native format; includes a folder-based Document Converter Wizard. Broad desktop trial for users who want an established OpenDocument workflow and a full traditional office suite. The documented converter workflow is for ordinary document contents; its guidance says not to edit macros in that process. Test macro-dependent files separately.
ONLYOFFICE Desktop Editors Open-source under AGPL v3; desktop editors for Windows, Linux and macOS; documented support for DOCX, ODT, XLSX, ODS, CSV, PPTX and ODP; usable without constant internet access. Users who prioritize a Microsoft-format-centered workflow, tab-based editing and offline desktop work. Some features require online services. Its “high compatibility” and “400+ functions and formulas” statements are vendor product-page claims, not independent benchmarks.
Collabora Office Opens and saves Word, Excel and PowerPoint files, including Office Open XML; provides a wizard to convert a folder of Microsoft files to OpenDocument; derived from LibreOffice. People whose organization already uses Collabora products or wants that product family around a LibreOffice-derived engine. Run the same representative-file pilot as for every other candidate; being derived from LibreOffice does not prove identical behavior in your environment.
Apache OpenOffice Its documentation covers Writer, Calc, Impress, Draw, Base and Math. It says Microsoft-format compatibility is not total and that the documented version reads newer OOXML formats such as DOCX and XLSX but cannot save newer OOXML files. Users specifically seeking Apache OpenOffice and whose exchange requirements are modest or controlled. Those format statements are version-sensitive. Check the exact release you plan to deploy and test save/export behavior with real files.

LibreOffice: the broad first trial

What it provides

LibreOffice describes OpenDocument as its native format and supports opening and saving Microsoft Office formats, including Office Open XML. Its suite is intended as a general desktop office environment rather than only a word processor, so it is a practical first candidate when you need text documents, spreadsheets and presentations together.

Its official help also documents a Document Converter Wizard that converts files in a folder to OpenDocument. That can make a controlled migration faster after a pilot succeeds. The documented workflow is aimed at ordinary document contents; the same guidance says not to edit macros through that conversion process. Preserve originals and handle macro-dependent files as a separate, manually checked class.

Why a switcher might choose it

  • You want an OpenDocument-first workflow while retaining the ability to exchange Microsoft-format files.
  • You need a conventional suite with word-processing, spreadsheet and presentation applications in one installation.
  • You prefer a free-software project licensed under MPL 2.0. LibreOffice notes that other included components can carry different open-source licenses depending on the version.

What to verify before standardizing

  • DOCX files with elaborate page styles, section breaks, fields, comments and tracked changes.
  • XLSX workbooks containing complex formulas, charts, pivot-like summaries, external links or macros.
  • PPTX presentations with custom fonts, media, animations and exact slide positioning.
  • Templates and any workflow that depends on VBA or another macro system.

Choose a shared format with collaborators rather than assuming that opening a file proves it will round-trip unchanged. If your group adopts OpenDocument, document which applications and versions are expected to open it.

ONLYOFFICE Desktop Editors: a Microsoft-format-centered alternative

Documented capabilities

ONLYOFFICE describes its Desktop Editors as open-source software under the AGPL v3 license, available for Windows, Linux and macOS. Its help lists DOCX, ODT, XLSX, ODS, CSV, PPTX and ODP among the supported formats. The desktop editors can be used without a constant internet connection, although the documentation notes that some features are available only online.

The product page presents tools for documents, spreadsheets, presentations, forms and PDF work. It also claims “400+” spreadsheet functions and formulas. That number is a product-page feature claim, not a neutral comparison or a test of calculation coverage, speed or fidelity.

When it deserves an early trial

  • Your collaborators primarily exchange DOCX, XLSX and PPTX and you want those formats to remain central to daily work.
  • You value a tab-based desktop interface and need to edit while offline.
  • You want document, spreadsheet, presentation, form and PDF tools presented in one product family.

Questions to answer in your pilot

  • Does every feature your team uses work offline, or does it invoke an online service?
  • Do your most complex formulas calculate identically after save and reopen?
  • Do comments, tracked changes, fonts, charts and embedded content survive a round trip through Microsoft Office?
  • If you use forms or PDF tools, are the exact fields and export steps available in the edition you will deploy?

Consider its compatibility language a reason to test, not proof that it will win every document comparison. No independent, current suite-by-suite fidelity benchmark establishes a universal winner.

Collabora Office: a LibreOffice-derived option

Collabora’s official help says Collabora Office can open and save Word, Excel and PowerPoint files, including Office Open XML. It also documents a wizard that converts a folder of Microsoft files into OpenDocument and identifies Collabora Office as derived from LibreOffice.

That makes it relevant when your organization already works with Collabora products or has a deployment reason to stay in that ecosystem. It is not a substitute for testing: derivation from LibreOffice does not establish identical packaging, defaults, integrations or behavior in your particular release. Use the same files, comparison checklist and collaboration tests you would use for the other candidates.

Apache OpenOffice: include it with a clear compatibility warning

What the documentation says

Apache OpenOffice’s documentation covers Writer, Calc, Impress, Draw, Base and Math. Its FAQ says Microsoft files can generally be read and saved, but it also states: “Nevertheless, the compatibility is not total.” The file-format guidance for the documented version says it reads newer Office Open XML formats such as DOCX and XLSX, while the FAQ says newer OOXML files cannot be saved in that version.

Why the release matters

Those statements are tied to the version described in the documentation. A later release could change the behavior, so check the exact version, operating-system package and export options you intend to use. Do not promise colleagues that a DOCX or XLSX will remain a DOCX or XLSX with all features intact until you have opened, edited, saved, closed and reopened representative copies.

Who should consider it

  • People who specifically prefer Apache OpenOffice’s application set or existing templates.
  • Teams whose exchange files are simple, whose output can be standardized, and whose Microsoft Office dependencies are limited.
  • Organizations prepared to keep originals and perform document-level checks before conversion.

If your work depends on frequent round trips with newer Microsoft formats, place Apache OpenOffice behind the other candidates in the trial sequence unless your own tests show that it meets the requirement.

Compatibility is a workflow question, not an extension checklist

Why extensions do not tell the whole story

DOCX, XLSX and PPTX are containers for many features, not guarantees that two applications implement every feature the same way. A file can open successfully while losing a field, changing a formula result, substituting a font or moving an object. A save operation can also write a representation that another program interprets differently.

Microsoft identifies Office Open XML as Office’s default format in supported versions and warns about feature differences when using OpenDocument. LibreOffice and Collabora support both OpenDocument and Microsoft formats; ONLYOFFICE documents both Microsoft and OpenDocument extensions. The practical choice is to agree on one exchange format for each collaboration pattern and explain the exceptions.

High-risk file categories

  • Layout-heavy documents: newsletters, legal forms, long reports, multi-column pages, section breaks and carefully positioned objects.
  • Complex spreadsheets: nested formulas, named ranges, charts, external links, data validation, pivot-style summaries and macros.
  • Presentations: custom fonts, animation timing, embedded video, speaker notes and pixel-sensitive diagrams.
  • Automation: VBA or other macros, scripts, mail merges and templates that call external files.
  • Collaboration records: comments, tracked changes, fields, signatures and documents that must be printed exactly.
  • Embedded content: objects, images, spreadsheets inside documents, PDFs and linked media.

A representative-file pilot before you switch

Do not convert an entire library first. A pilot answers the question that vendor format tables cannot: whether the files your people actually use survive the intended workflow.

  1. Inventory the library. Record file types, owners, collaborators and business importance. Mark files with elaborate layouts, templates, charts, complex formulas, macros, embedded objects, external links or Microsoft Office collaboration requirements.
  2. Keep untouched originals. Make read-only copies or a separate test directory. Never use the first conversion pass to overwrite the source library.
  3. Build a representative set. Select ordinary files as well as the hardest examples from each department. Include at least one document, workbook and presentation that other people depend on.
  4. Test each candidate separately. Open a copy, make a realistic edit, save it in the intended exchange format, close the application and reopen the file. Record the application version and the format used for each pass.
  5. Round-trip through Microsoft Office when available. Open the saved output in Microsoft Office, inspect it, make a small edit, save it, and reopen it in the candidate suite. This catches failures that appear only when files travel between applications.
  6. Compare visible layout. Check page breaks, margins, headers, footers, fonts, line wrapping, tables, images, charts, slide positions and print or PDF output.
  7. Compare semantics. Recalculate important formulas, inspect chart data, verify fields, comments and tracked changes, and confirm that embedded objects and links still work.
  8. Exercise automation. Run macro-dependent workflows only in copies and document which steps work, fail or require redesign. Do not assume a macro will transfer merely because the document opens.
  9. Classify the result. Mark each file as safe, safe with a documented exception, or unsuitable for conversion. A suite is ready for broader deployment only when the exceptions have an owner and a workaround.

Choosing and documenting a shared format

Use OpenDocument deliberately

OpenDocument is LibreOffice’s native format, and LibreOffice and Collabora document workflows for converting Microsoft files to OpenDocument. It can be a sensible default when everyone can use an application that supports it and long-term control of an open standard matters to your organization.

Use Microsoft formats deliberately

Keeping DOCX, XLSX or PPTX as the exchange format may reduce friction when most collaborators remain on Microsoft Office. It also means accepting that advanced features can differ between implementations. State the supported application versions, identify files that must remain in Microsoft Office, and require a round-trip check for high-value documents.

Create a short format policy

  • Name the default format for new text documents, spreadsheets and presentations.
  • Specify when a collaborator may request the alternate format.
  • List approved fonts and provide the template files everyone should use.
  • Define who checks a document after conversion and where the untouched original is stored.
  • Record macro, external-link and embedded-object exceptions.

Apache’s migration guidance emphasizes identifying collaboration needs and standardizing fonts and templates before deployment. Those small decisions prevent many apparent “compatibility” failures that are actually missing fonts, inconsistent templates or unclear ownership.

Offline, cloud and platform requirements

Offline desktop work

ONLYOFFICE explicitly documents offline desktop editing on Windows, Linux and macOS, with a qualification that some features require online services. LibreOffice and Collabora document desktop file opening, saving and conversion workflows. During your pilot, disconnect the test computer if offline work is a requirement and verify the exact features your team needs.

Co-editing and online services

A desktop editor can open a shared file without providing simultaneous co-editing, identity management, version history or browser access. Ask whether your team needs those services, which application will host them, and what happens when a user is offline. Do not infer cloud functionality from the ability to save a file to a synchronized folder.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Applications beyond the core three

List the work people actually perform: databases, diagrams, mathematical notation, forms, PDF editing, mail merge, publishing and automation. Apache OpenOffice documents Writer, Calc, Impress, Draw, Base and Math. ONLYOFFICE’s product materials describe document, spreadsheet, presentation, form and PDF tools. Confirm that the particular component and feature is present in the edition and platform you plan to deploy.

Licensing, deployment and support

Understand the license scope

LibreOffice states that it is free software under MPL 2.0 and notes that included components can have different open-source licenses depending on the version. ONLYOFFICE Desktop Editors are documented as AGPL v3. Read the license notices shipped with the exact build, especially when you redistribute a customized package or combine it with other software.

Plan organization-wide rollout

  • Package the tested version and configuration rather than allowing uncontrolled version drift.
  • Deploy approved fonts and templates before users convert important files.
  • Provide a place for originals, converted copies and exception records.
  • Train users to save in the agreed format and to inspect high-value output.
  • Include rollback instructions if a converted file fails review.

When paid assistance matters

ONLYOFFICE describes Enterprise technical support, deployment guidance, training and migration assistance for topics including macros, legacy formats and fonts. That is a vendor service description, not evidence of superior compatibility. Organizations should compare the support scope, response expectations, deployment model and applicable license terms with their own requirements.

Common failure modes and practical fixes

The file opens but the layout changes

Check fonts first, then page styles, section breaks, anchored objects and print settings. Install the approved fonts, apply the standard template and compare a PDF or printed proof. If the document is legally or operationally exact, keep its authoring application as an explicit exception.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Formula results differ

Compare the formulas, not only the displayed numbers. Check function availability, date systems, separators, named ranges, external links and recalculation settings. Preserve the original workbook and identify which application is authoritative for the result.

A macro no longer runs

Do not edit the original while troubleshooting. Record the macro language, referenced files, security prompts and required permissions. Rebuild or retain the workflow in an approved environment rather than assuming a file converter can migrate executable logic.

Comments or tracked changes disappear

Use a copy, inspect the review pane and reopen the file in both applications. If review history is part of the record, establish a format and application combination that preserves it before changing the team default.

A newer OOXML file will not save as expected

Check the exact suite version and its documented export formats. Apache OpenOffice’s documentation specifically warns that the described version can read newer OOXML files but cannot save them in that format. Choose a supported export, use another candidate, or retain Microsoft Office for that workflow.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A decision framework for the shortlist

Choose LibreOffice first when

  • Your priority is a broad desktop suite with an OpenDocument-native workflow.
  • You need a documented folder-conversion path after individual files pass review.
  • You can test and manage exceptions involving macros and advanced Microsoft features.

Choose ONLYOFFICE Desktop Editors first when

  • Your collaboration is centered on Microsoft formats and you want offline desktop editing.
  • You need its documented document, spreadsheet, presentation, form or PDF toolset.
  • You are willing to verify which features require online services and to test the vendor’s compatibility claims on your files.

Choose Collabora Office when

  • Your organization already uses Collabora products or needs that environment.
  • You want a LibreOffice-derived option with documented Microsoft-format opening, saving and folder conversion.
  • Your team will still run a representative-file pilot rather than relying on lineage as a compatibility guarantee.

Choose Apache OpenOffice when

  • You specifically require its Writer, Calc, Impress, Draw, Base or Math environment.
  • Your files and collaboration needs are controlled enough to tolerate its documented format limitations.
  • You have verified the exact release’s read and save behavior with current DOCX, XLSX and PPTX samples.

Final recommendation

Download and pilot LibreOffice and ONLYOFFICE Desktop Editors first. Use the same high-value files, the same edit-save-reopen sequence and the same Microsoft Office round trip for both. Add Collabora Office when its product environment is relevant, and test Apache OpenOffice only with its release-specific OOXML limitations in mind. Adopt the suite that passes your real files and collaboration workflow, then write down the default format, fonts, templates, macro exceptions and rollback process before converting anything at scale.
