For familiar Microsoft workflows, start with Word or PowerPoint; choose Canva for template-led flyers and collaboration, Affinity for a design app with page layout, or Adobe InDesign for professional publishing controls. The right choice depends on what you make and how much control you need. If you have existing Publisher files, preserve them separately: Microsoft 365 subscriber access to Publisher ends October 1, 2026, and support for perpetual Publisher ends October 13, 2026.
Which alternative fits your publication?
| Tool | Best fit | What the official information establishes | Important limit |
|---|---|---|---|
| Microsoft Word | Newsletters and straightforward flyers or brochures, especially if you already use Microsoft tools | Microsoft recommends Word for newsletters, and Word or PowerPoint for flyers and brochures. Word also offers a free web version with basic templates and collaboration features. Microsoft Publisher retirement and alternatives; Microsoft Word | Paid-plan features differ. A familiar workflow does not guarantee that a Publisher layout or control will transfer unchanged. |
| Microsoft PowerPoint | Flyers and brochures where arranging visual elements on a page matters more than flowing long text | Microsoft recommends PowerPoint or Word for flyers and brochures. Microsoft Publisher retirement and alternatives | The recommendation is a starting point, not a claim of complete Publisher feature parity. |
| Canva | Template-led flyers and simple promotional materials, particularly when collaborative editing or print ordering is useful | Canva describes a drag-and-drop flyer editor, templates, collaboration, PDF output, and an optional flyer print service. Canva flyer maker | The cited information does not establish .pub import or full Publisher parity. |
| Affinity | People who want a design app that includes page layout | Affinity describes its app as including page-layout capabilities and lists Mac and Windows. Its official site says the app is free for individuals; the iPad version is forthcoming. Affinity | Detailed Publisher-specific feature parity is not established by the cited information. |
| Adobe InDesign | Professional print and digital publishing, where production tools and precise typography are priorities | Adobe positions InDesign for designers, prepress and production professionals, and publishing environments. The accessed US page lists an individual plan at US$22.99 per month when billed annually, monthly. Choose by workflow, not by the Publisher name
Before moving a project, consider whether it is a one-page flyer, a folded brochure, or a newsletter produced on a schedule. Also weigh how much text must flow across pages, whether you value ready-made templates or fine layout control, whether several people need to collaborate, what desktop or platform you use, and how you will produce a print-ready PDF. These differences matter more than a claim that an app is a one-to-one replacement.

- For a quick flyer: Word or PowerPoint are Microsoft’s suggested starting points; Canva is an option if templates, collaborative editing, and its described print service suit your workflow.
- For a recurring newsletter: Microsoft recommends Word. If typography and publishing production controls are central, consider whether InDesign better matches the work.
- For broader page-layout work: Affinity is worth considering, but confirm that its current capabilities meet your specific requirements before rebuilding a complex publication.
Preserve existing Publisher files before the cutoff
Microsoft says Microsoft 365 subscribers will no longer be able to access Publisher after October 1, 2026. Support for perpetual Publisher ends October 13, 2026. Microsoft recommends converting existing files before October 1 because subscribers will no longer be able to open or edit .pub files in Publisher after that date. Microsoft’s Publisher retirement guidance
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems- Inventory and back up your .pub files. Keep an untouched copy of each original in a safe location.
- Open each file in Publisher while you still can and save it as a PDF. Microsoft identifies PDF as its preservation route. A PDF is useful for viewing and sharing, but should not be treated as a fully editable Publisher master.
- If you need to edit content, try converting the PDF to Word and inspect the result. Microsoft warns that the converted Word document is optimized for text editing and its layout may vary from the PDF, particularly when it contains many graphics.
- Proof important pieces before using them. Check page breaks, text flow, images, spacing, and print output in the target app. Do not assume a conversion preserves the original design.
Microsoft notes that third-party conversion services vary in quality and capabilities and are not supported by Microsoft. No direct .pub import or faithful conversion is established here for Canva, Affinity, Word, PowerPoint, or InDesign.
