What an AI meeting note taker actually does
An AI meeting assistant records meeting audio, converts speech to a searchable transcript, then produces a summary with decisions and action items. Most products also let you search across past meetings, share clips, push follow-ups into project tools or update a CRM.

A tool can be excellent at one of these jobs and unsuitable for another.

How the capture method changes the decision
Meeting bots
A bot joins the call as a participant, announces or displays that it is recording, and uploads audio for processing. This is usually the easiest way to cover many meetings across different hosts because the assistant can join automatically. It also creates a visible participant that clients may question, and some organizations block automated guests.
Bot-free device capture
Bot-free tools record the computer’s audio locally or through the device’s audio path. Granola is the clearest example in this comparison, and Fathom also supports a bot-free option. The approach avoids a new participant in the roster, but the user—not the software—must tell everyone that recording and transcription are taking place.
Native suite assistants
Google Meet and Microsoft Teams keep capture, identity, storage and administration within the suite an organization already manages. That can simplify permissions, retention and offboarding. The trade-off is coverage: native tools are less convenient when employees regularly join customer calls hosted on another platform.
Tool-by-tool guidance
Fireflies: the workflow and language specialist
Choose Fireflies when the transcript is a step in a larger revenue or operations process rather than a document that sits in isolation. Its higher-tier CRM and team-analytics capabilities are aimed at routing conversation data into customer records and measuring meeting activity. Support for more than 100 languages makes it the broadest option here for international teams.
Its free tier can generate a large amount of transcription, but the storage allowance is finite and AI summaries are limited. That distinction matters: a team may be able to transcribe meetings yet still need a paid tier to keep a complete archive or produce summaries at scale. Set an explicit retention policy before inviting the whole company.

Otter: the live-caption choice
Otter is the strongest match when participants need to follow spoken words as they happen—for example, in interviews, lectures, accessibility-focused meetings or fast-moving planning sessions. The searchable transcript remains useful after the call, but the defining benefit is the live reading experience.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
The Basic allowance has both a monthly minute ceiling and a per-conversation cap. A single long workshop can therefore hit the session limit even if the monthly quota is mostly unused. Test the longest meeting your team runs before relying on the free tier.
Fathom: the free-first starting point
Fathom is a practical first deployment when a team wants recordings, transcripts, instant summaries, clips and search without committing budget immediately. Its bot and bot-free modes let you use one policy for internal calls and another for sensitive external conversations. Integrations with Salesforce, HubSpot, Slack, Notion and Asana make it easy to distribute the output instead of leaving it in a separate dashboard.
The Team plan requires at least two users, so a single-person test should use the individual offering. Before rolling it out, decide whether unlimited recording could create an uncontrolled archive; free storage does not remove legal, privacy or discovery obligations.
Granola: the low-friction, bot-free workflow
Granola is designed for people who dislike adding an assistant participant to every call. It combines the device transcript with rough notes typed by the user, which can preserve context that a purely automatic summary misses. This is useful for executives and account managers who already jot down private prompts during a conversation.
The operational responsibility is explicit: because no bot is present to announce itself, the person using Granola must disclose the recording and obtain the required consent. Its free history lasts 30 days, so export or retention planning is necessary if records must be kept longer.

Google Meet and Microsoft Teams: start with what you already administer
If your company already pays for and governs one of these suites, check its native assistant before adding another vendor. Google Meet’s “Take notes for me” writes notes to Drive for eligible editions. In Teams, Teams Premium and Microsoft 365 Copilot provide intelligent recap and Copilot features inside the meeting experience.
Native tools reduce the number of processors, accounts and integrations that security teams must review. They are less attractive for a distributed team that frequently switches between platforms or needs one cross-platform search index.
Which option fits your workflow?
Choose by meeting environment
- Mostly one platform and centrally managed identities: evaluate the matching native assistant first.
- Customers use several platforms: choose a standalone service that can join those platforms or offer reliable bot-free capture.
- Participants need words on screen immediately: prioritize Otter’s live-caption workflow.
- Meetings feed a CRM or sales process: start with Fireflies or Fathom, then verify the exact CRM fields and automation available on your tier.
- Many languages and a high call volume: Fireflies is the leading candidate in this set.
- Visible bots are unacceptable: use Granola or a bot-free mode, with a separate consent procedure.
- You need to prove value before paying: begin with Fathom’s free allowance, while setting storage and retention rules from day one.
Choose by the output you need
- Live accessibility or real-time intervention: captions matter more than a polished post-call summary.
- Sales follow-up: require action-item extraction, CRM write-back and a review step before records are sent to customers.
- Project execution: send decisions and owners to the team’s task system, not just a transcript archive.
- Knowledge retrieval: test cross-meeting search with names, acronyms and competing projects; a transcript that cannot be found later has little operational value.
A rollout plan that avoids common failures
- Define the recording policy. State which meetings may be recorded, who can start or stop capture, where files live, how long they remain available and who may search them.
- Map every meeting source. List internal calls, customer calls, phone dial-ins and meetings hosted by outside organizations. Mark which ones allow a bot and which require device capture.
- Run a representative pilot. Include a short stand-up, a long workshop, a noisy room, multiple speakers and at least one external call. Check speaker attribution, timestamps, action items and search—not just the first transcript.
- Configure integrations deliberately. Connect only the CRM, chat or project spaces that need the output. Start with a review queue so an incorrect summary cannot silently update a customer record.
- Set retention and access. Use the shortest period that satisfies operational and legal needs. Limit transcript search to the groups that were allowed to attend the meeting.
- Teach the consent announcement. Give hosts a one-sentence script and a visible way to stop recording when someone objects.
- Measure adoption and correction work. Track how often summaries are edited, how many action items are completed and how often users search old meetings. A tool that produces more text but requires constant rewriting is not saving time.
Consent, privacy and governance
Meeting transcription is a form of recording. In the United States, federal law generally permits recording with consent from at least one party, while about 11 states generally require consent from everyone being recorded. Rules elsewhere differ, and the applicable law can depend on where participants are located rather than where the account owner works.

Announce AI note-taking at the start of every call, identify what is captured, explain where the transcript will be stored and offer a way to decline. Obtain jurisdiction-specific legal advice for regulated, cross-border or highly confidential work. Do not treat a bot-free product as a consent workaround; removing the visible participant changes the interface, not the obligation.
Ask each vendor for current answers to these governance questions before enabling organization-wide access:
- Is audio retained after transcription, and for how long?
- Can administrators set retention, deletion and export rules?
- Are transcripts encrypted in transit and at rest?
- Which roles can search, download or share recordings?
- Is customer content used to train models, and can that use be disabled?
- Where are data and backups processed?
- Can a user revoke access when leaving the company?
The comparison used for this guide did not establish a single, current answer to those vendor-specific security and model-training questions. Treat the answers in each provider’s current terms and security documentation as a purchase requirement, not an assumption.

Cost and plan-limit traps
“Free” can refer to minutes, storage, summaries, history or seats, and those limits are not interchangeable. Fireflies separates unlimited transcription from limited summaries and team storage. Otter combines a monthly minute quota with a maximum conversation length. Granola limits history to 30 days. Fathom’s unlimited recording offer is generous, but a team still needs a policy for how much material it keeps and who can access it.
Quick wins for a faster PC:

The figures in the table are monthly equivalents tied to annual billing where specified; they do not include taxes or necessarily reflect monthly billing. Fathom’s Team plan has a two-user minimum, while native-suite costs may already be included in an organization’s existing license or may require an add-on. Calculate the cost of the entire eligible user group, not only the people who attend the most meetings.
Troubleshooting and failure modes
The assistant missed the meeting
Check that the calendar account is connected, the meeting invitation was visible to the assistant and the host allowed recording. For external calls, confirm that the platform and guest policy permit automated participants. Keep a bot-free fallback for meetings where an automated guest is blocked.
The transcript is incomplete or poorly attributed
Review microphone selection, room noise and speaker overlap. Ask participants to use individual headsets when possible, and mark speaker names during the pilot. For long events, confirm that the service’s per-conversation limit was not reached.
The summary contains incorrect decisions
Require the meeting owner to review decisions and owners before distribution. Treat generated action items as drafts, especially when a CRM or project integration can create an external commitment.
Participants object to recording
Stop capture immediately, follow the meeting policy and offer an unrecorded alternative. Do not switch silently to device capture; the disclosure requirement still applies.
Search becomes unusable
Adopt consistent meeting titles, project names and participant metadata. Delete duplicate or obsolete recordings according to the retention schedule, and restrict indexing of sensitive meetings rather than allowing an unrestricted archive.
Bottom-line selection
There is no universal winner. Pick the native assistant when platform governance is the priority, Otter when live captions are the requirement, Fireflies when CRM, volume or language coverage drives the purchase, Fathom when a free-first rollout is the goal, and Granola when avoiding a visible bot matters most. Whichever tool you choose, consent, retention and a human review of consequential summaries are part of the implementation—not optional extras.
