The right choice depends on whether you need to discover sources by beat and location, turn article URLs into a current contact list, manage contacts you already know, monitor coverage, or run a full public-relations workflow. For URL-led discovery, BuzzStream ListIQ is the closest fit in the available options. For a newsroom and contact-management system built around an existing list, Prezly is more appropriate. Cision and Meltwater are broader, contract-led suites suited to teams that also need monitoring and related PR functions.
Do not choose by database size alone. Ask each vendor to check a small sample from your exact beat, geography and language, then verify recent bylines, current roles, export rights, single-user access and total cost before subscribing. The figures below are vendor-stated or comparison-source claims, not results from an independent contact-accuracy test.

What “media database” means for a solo journalist
Paid PR databases are often designed for organizations pitching journalists. An independent reporter usually has a different problem: finding knowledgeable sources, confirming who is still active on a beat, locating freelancers or local specialists, and keeping a portable record of conversations. Those jobs are related but not identical.

#1 Best Overall
| Model | How information is assembled | Best use | What it does not prove |
|---|---|---|---|
| Curated journalist directory | Profiles are maintained in a searchable vendor database. | Searching by outlet, beat, role, geography or other profile fields. | That every relevant contact is present, current or reachable. |
| URL-driven research service | You provide recent article or news URLs; the service generates a list from those pages and other web signals. | Starting with journalists who actually covered a subject recently. | That the generated list is a permanent, pre-verified directory. |
| Media-relations suite or CRM | Contact management is combined with publishing, pitching, monitoring, analytics or distribution. | Running an ongoing communications workflow around a known list. | That the suite supplies an external journalist-discovery database. |
That distinction explains why a newsroom platform can be useful while still being a poor replacement for a journalist directory, and why a URL-based tool can be more relevant to a beat reporter than a huge general-purpose contact count.
Shortlist by the job you need done
| Your primary job | Most plausible fit | Reason to consider it | Important qualification |
|---|---|---|---|
| Find active writers from recent coverage | BuzzStream ListIQ | Builds a researched media list from article or news URLs and returns activity, role, biography, recent-article, social and geographic details. | It is a real-time prospecting workflow, not a conventional pre-curated directory. |
| Publish a newsroom and organize contacts you already have | Prezly | Its official plan materials cover sites/newsrooms, contacts, stories, campaigns and analytics. | A comparison source says it has no native journalist database, so it does not establish new external access. |
| Combine journalist contacts with broad monitoring and team workflows | Cision or Meltwater | Sources describe both as larger suites that combine contact data with monitoring and other PR capabilities. | Pricing is generally quote-based and contract terms vary by plan, region and negotiation. |
| Investigate additional vendors | Agility PR Solutions or Mynewsdesk | They appear as alternatives in a 2026 comparison and may merit direct vendor checks. | Coverage, counts, pricing and current terms were not independently verified from their own materials. |
| Evaluate Prowly or a Semrush PR product | Pause and verify status first | Recent sources disagree about whether Prowly was folded into Semrush’s AI PR Toolkit or discontinued in December 2025. | Do not treat a general Semrush affiliate program as proof that a specific PR/database product is currently sold or commissionable. |
1. BuzzStream ListIQ: best for article-led source discovery
ListIQ is the most distinct option for a journalist who starts with reporting rather than a vendor directory. BuzzStream describes a workflow in which you submit news or article URLs and receive a researched media list. The returned fields can include activity checks, contact details, job titles, biographies, recent articles, social profiles and geographic data.
“Unlike a media database, the journalist’s information from ListIQ gets generated in real time.” — BuzzStream, ListIQ FAQ
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
That sentence is the key buying distinction. If you have five strong recent articles about a subject, the tool is intended to identify the people behind that coverage and assemble a prospecting list. It is not the same as searching a permanent directory for every journalist tagged with a beat.
Published pricing
BuzzStream’s product page listed a free tier and paid tiers of $49, $99 and $199 per month, with custom pricing above those levels, when accessed on October 13, 2026. These are vendor-stated prices; confirm currency, taxes, usage limits, export rules and whether the displayed amounts are recurring before paying.

Where it fits an independent workflow
- Collect recent articles that represent the exact subject, region and publication type you cover.
- Submit those URLs to ListIQ rather than beginning with a broad keyword search.
- Review the returned names against the original bylines and check whether the person is still active.
- Keep only contacts whose current role, geography and beat match your assignment.
- Export or copy the useful fields into your own source log, including the article that justified the contact.
The last step matters because real-time results are useful evidence for a current assignment, but they should not be treated as a permanent guarantee that a person will remain at the same outlet or cover the same subject.
2. Prezly: best when you already own the contact list
Prezly is better understood as a newsroom and contact CRM than as a replacement for a journalist directory. Its official materials emphasize sites and newsrooms, contacts, stories, campaigns and analytics. That combination can help a freelancer publish explainers, maintain a press or source list, send campaign updates and see engagement in one workspace.
A comparative source specifically describes Prezly as lacking its own journalist database. Therefore, it makes sense when you have built a trusted list through reporting, professional relationships or other discovery methods. It does not, by itself, demonstrate that you can search a broad external pool of journalists.
Published entry plan
Prezly’s official pricing page showed a 14-day trial and an Essential plan at €100 per month billed annually, for one user and up to 5,000 contacts, when accessed on October 13, 2026. Confirm the current price, tax treatment, currency conversion, annual commitment and any limits on stories, campaigns, analytics or exports.
Questions to answer before adopting a CRM
- Can you export all contacts and notes in a usable format if you leave?
- Are the contact fields flexible enough for source expertise, embargoes, consent notes and preferred contact methods?
- Can you separate journalists, subject-matter experts, public-information officers and personal sources?
- Does one-user access cover your actual workflow, or will collaborators need paid seats?
- Will the newsroom URL and published material remain available if the subscription ends?
Those questions address control and portability, which matter more to a solo reporter than a large headline contact count.
Rank #3
3. Cision and Meltwater: consider only when the suite earns its cost
Sources position Cision and Meltwater as broad platforms rather than simple lookup tools. Their described capabilities combine journalist contacts with monitoring and other public-relations functions. That can be valuable for a newsroom, nonprofit or growing editorial operation that needs to watch coverage across many outlets, coordinate a team and report media results.
Recommended Free Tools
For one independent journalist, the risk is paying for capabilities unrelated to daily reporting. The available comparisons describe enterprise-oriented positioning and substantial contract costs, but they do not provide a dependable universal price. Quotes vary with plan, region, user count, monitoring scope, contract length and negotiation.
When a quote is justified
- You monitor a large topic, region or brand continuously rather than for one story.
- More than one person needs shared workflows, permissions and reporting.
- You need integrated monitoring and analytics in addition to contact discovery.
- The cost of missed coverage or manual monitoring is demonstrably higher than the subscription.
When to keep looking
If your requirement is “find three credible local sources for next week’s article,” request a narrow demonstration instead of accepting a broad-suite pitch. Ask the representative to show the exact beat, language and geography you cover, and ask for the total contract commitment in writing.
4. Prowly and Semrush: an unresolved product-status question
Recent comparison sources conflict. One says Prowly has been folded into Semrush’s AI PR Toolkit; another says Prowly was discontinued in December 2025. Because those accounts cannot establish a single current product identity, availability or feature set, do not make a purchase decision from a comparison table alone.
Check the current Semrush and Prowly product pages directly, confirm the legal product name, and ask whether the specific journalist-database or PR function is sold in your country. A general Semrush affiliate program does not establish that a particular media-database product is active, included or eligible for referral compensation.
Rank #4
5. Agility PR Solutions and Mynewsdesk: names for a verification list
Agility PR Solutions and Mynewsdesk appear as additional alternatives in a 2026 comparison. They can be added to a vendor-check list, but the available material does not independently verify their present coverage, contact counts, pricing or terms from first-party documentation. Treat any number supplied in a comparison article as a lead for checking, not as a fact to rely on when budgeting or judging beat coverage.
How to test any database before paying
No published contact count can tell you how many active, relevant people you will find in a narrow niche. Run a small, repeatable check instead.
Step 1: Define the sample
- Choose one real assignment or beat, such as municipal housing, coastal science or labor policy.
- Specify the geography, including country, state, city or publication market.
- Specify the language and whether you need staff writers, freelancers, editors, broadcasters or subject experts.
- Prepare a list of recent articles or known names that you can use as reference points.
Step 2: Ask for the same evidence from each vendor
Request a demonstration or trial search using the same sample. Ask to see the date of the latest byline, current employer and role, beat description, location, language, contact method and source article. If a field is absent, record it as absent rather than assuming the vendor has verified it elsewhere.
Step 3: Check freshness manually
- Open the cited recent article and confirm the byline.
- Look for a newer staff page, author page or professional profile.
- Separate an active journalist from a former employee, syndicated byline or generic newsroom address.
- Check whether the contact is appropriate for a source conversation, a press inquiry or a pitch; those are not interchangeable.
Step 4: Check portability and limits
- Confirm whether exports are included on the entry plan.
- Ask whether exports include notes, tags, source URLs and last-verified dates.
- Check single-user limits, contact caps, searches, credits and API restrictions.
- Find out what happens to your data after cancellation.
Step 5: Calculate the real first-year cost
Include recurring fees, annual prepayment, taxes, additional seats, overage charges, onboarding, minimum contract periods and any paid export or monitoring module. A low monthly figure can be less flexible than a higher month-to-month plan if you only need the service during occasional investigations.

Comparison criteria that matter more than database size
| Criterion | What to inspect | Why it matters to an independent journalist |
|---|---|---|
| Discovery model | Prebuilt profiles, URL-generated results or contacts you enter yourself. | Determines whether the service helps you find unknown people or simply organize known ones. |
| Relevance | Recent bylines, current role, beat, geography and language. | Prevents time lost on stale or geographically irrelevant contacts. |
| Contact quality | Verifiable email or social details, source attribution and last-updated information. | Lets you judge whether a record is actionable rather than decorative. |
| Budget fit | Public price, monthly versus annual billing, one-user allowance and limits. | Matches the tool to irregular freelance income and assignment-based use. |
| Workflow | Research, CRM, newsroom publishing, pitching, monitoring, analytics or distribution. | Avoids paying for a suite whose core functions you will not use. |
| Control | Editing, notes, exports and retention after cancellation. | Keeps your source relationships portable and auditable. |
Common mistakes and how to avoid them
Buying a PR suite to solve a source-finding problem
A platform built for campaigns and media reporting may not help you identify a specialist who has never been tagged in its directory. Start with the discovery model, not the feature count.
Best Value
Assuming a large licensed-source number equals local coverage
Muck Rack’s content-partnerships page stated 40,000+ licensed sources in 2026. That is a vendor-stated scale figure, not a count of active contacts in your town or niche. Use such numbers as context only, then test the exact geography and beat you need.
Confusing a recent byline with a current contact
An article can remain online after a journalist changes jobs, leaves reporting or changes beats. Require a current role and a recent activity check, and record the date you verified it.
Assuming a trial proves deliverability
A visible email address is not proof that messages will reach the person or that contacting them is appropriate. Follow the outlet’s stated preferences and the privacy and direct-marketing rules that apply in your jurisdiction.

Ignoring languages and regional rules
The available comparisons focus on software accessible to English-speaking readers. Coverage, data quality and lawful storage or outreach can differ by country. Confirm regional availability and obtain jurisdiction-specific privacy guidance when your source list contains personal information.
A practical decision path
- Need people who recently wrote about a subject? Start with an article-led workflow such as ListIQ and verify every result.
- Already have trusted contacts and need a public newsroom or organized campaigns? Evaluate Prezly as a CRM and publishing platform.
- Need continuous monitoring, team permissions and reporting? Request scoped quotes from Cision or Meltwater and compare the full contract, not a headline estimate.
- Considering Prowly or a Semrush PR offering? Resolve the current product name and availability directly before comparing features or affiliate claims.
- None of those match? Put Agility PR Solutions and Mynewsdesk on a verification list, then apply the same sample, freshness and portability tests.
Keeping a portable source list
Whatever tool you choose, maintain an external master record. Store the person’s name, current role, outlet, beat, geography, preferred contact method, article or profile used for verification, date checked, relationship notes and any consent or do-not-contact instruction. Keep only the personal data you need, protect the file, and review stale entries on a schedule that fits your beat.
This practice prevents vendor lock-in and makes it possible to compare a new service against your real reporting needs. It also separates evidence that a person covered a topic from an assumption that the person wants unsolicited pitches.
Bottom line for independent journalists
Choose the discovery method that matches the reporting task. ListIQ is the clearest low-friction option when recent article URLs are your starting point; its free and $49/$99/$199 monthly tiers should be reconfirmed before purchase. Prezly is a €100-per-month-when-billed-annually Essential newsroom and CRM plan for one user and up to 5,000 contacts, not a demonstrated journalist-discovery database. Cision and Meltwater deserve attention only when monitoring and team workflows justify a negotiated contract. Treat Prowly’s status, Agility PR Solutions and Mynewsdesk as items to verify directly, not settled recommendations.
