For occasional scans, start with Apple Notes or Files. Both are built into the iPhone, support multipage capture and the scan adjustments Apple documents for iOS 26. Choose Notes when the document belongs with your notes or needs a signature; choose Files when you want to save directly to a selected folder. Adobe Scan is worth considering for an Adobe cloud and Acrobat workflow, but synchronized access depends on uploading scans and many advanced PDF actions require a subscription. Microsoft Lens is no longer a current option: Microsoft ended new scanning on March 9, 2026, and now directs users to OneDrive, whose scanner is cloud-first and cannot save scans locally on the device.
Quick answer: which iPhone scanner should you use?
| Option | Best fit | Where the scan goes | Important limitation |
|---|---|---|---|
| Apple Notes | Scans that should stay with a note, plus signing | Attached to an Apple Note | The cited Apple guide covers capture and signatures, not searchable OCR or broader PDF automation |
| Apple Files | Saving a scan into a folder you choose | A location selected in Files | The cited guide establishes scanning and saving, not advanced editing or automation |
| Adobe Scan | Adobe cloud, Acrobat integration and advanced PDF work | Adobe cloud storage after synchronization | Cloud upload is needed for cross-device access; premium PDF tools are subscription-linked |
| Microsoft OneDrive | People already using OneDrive who want PDF scans of documents, receipts, whiteboards or IDs | OneDrive cloud storage | Microsoft says scans cannot be saved locally on the iPhone |
There is no evidence here to name a privacy winner. The available Apple documentation is a how-to guide, Adobe’s App Store privacy disclosure is supplied by the developer and not verified by Apple, and Microsoft’s migration notice mainly explains OneDrive storage behavior. Compare where each app stores documents, which account receives them and whether uploads are acceptable for your material.

Apple Notes: the simplest scan-and-sign workflow
Notes is the most natural choice when a scan is part of an ongoing note: meeting paperwork, a receipt beside related text, or a form you need to sign. Apple’s support guide, published February 18, 2026, specifically documents scanning and adding signatures on iPhone and iPad.

- Open an existing note or create a new one.
- Tap the Attachment button, then choose Scan Documents.
- Hold the iPhone over the page. Automatic capture can take the scan when the page is detected; switch to manual capture if you need to control the moment.
- Adjust the detected corners if necessary, then choose to keep the scan.
- Continue capturing additional pages. The resulting multipage document remains attached to the note.
On iOS 26, Apple documents flash and image-filter controls during scanning. Those controls are useful when a page is dim or when you need a different rendering, but the guide does not establish a particular filter as superior for every document.

Add a signature to a Notes scan
- Open the scanned document inside the note.
- Use Markup.
- Add an existing signature or create a new one.
- Position the signature on the document and finish the markup.
Notes is therefore a strong fit for a scan-and-sign task without installing another scanner. Do not assume from the capture workflow that Notes will provide the searchable OCR, batch export or specialized PDF controls offered by dedicated services; those capabilities are not established by the Apple guide used here.
Apple Files: scan directly to the folder you choose
Files follows a different organizational model. Instead of embedding the result in a note, it asks you where to save the scan. That makes it the better built-in option when the destination matters from the start—for example, a project folder, an iCloud Drive location or another place already available in Files.
Scan and save from Files
- Open the Files app.
- Tap More.
- Select Scan Documents.
- Capture one or more pages, using automatic or manual capture as needed.
- Review the page boundaries, then choose the destination location and save.
Apple documents the same iOS 26 flash and image-filter options for this workflow. Files is preferable to Notes when you do not want a note wrapper around the PDF or when another app, person or workflow expects a file in a known folder. The cited instructions do not promise broader automation, OCR export or special privacy protections, so treat Files as a destination-focused scanner rather than a full document-management suite.

Adobe Scan: when an Adobe cloud and Acrobat workflow justify another app
Adobe Scan adds value mainly through its connection to Adobe’s document ecosystem. Adobe’s FAQ says scans must be saved and fully synchronized to Adobe cloud storage for access on other devices. Adobe recommends waiting for uploads to finish and checking the Adobe cloud storage rather than assuming that a completed camera capture is already available everywhere.
What Adobe Scan adds
- Cross-device access after the scan has uploaded successfully to Adobe cloud storage.
- Integration with Adobe Reader for editing, annotating, filling and signing PDFs created with Scan.
- Premium PDF operations described in the US App Store listing, including editing, exporting, combining, compressing and OCR.
Adobe identifies Acrobat, Export PDF, PDF Pack or Acrobat Pro subscriptions as routes to advanced PDF features. The US App Store listing labels Adobe Scan Premium as a monthly subscription, but the accessed listing did not expose a dollar amount. Pricing and the exact paywall can vary by country and change over time, so check the current App Store listing before buying.
Protect the original while Adobe uploads
Adobe’s FAQ suggests keeping original images in the Photos app as a backup. That is particularly sensible for an important receipt, signed form or identity document: a failed upload, account problem or accidental deletion should not be your only copy. The trade-off is clear—Adobe’s cross-device convenience depends on cloud synchronization, while Notes and Files can be used without adopting Adobe’s cloud workflow.

Microsoft Lens is retired: what OneDrive changes
Microsoft Lens should not be selected for new iPhone scans. Microsoft’s retirement notice says the process began January 9, 2026; support ended after February 9; the app was removed from app stores on February 9; and users could create scans only through March 9, 2026. After that cutoff, Lens no longer creates new scans. Previously created scans remain accessible only if the app is still installed and you sign in with the last active account.

OneDrive can scan documents, receipts, whiteboards and ID cards to PDF and includes markup tools. Microsoft advertises 5 GB of free storage. Its Lens retirement guidance also states plainly that OneDrive does not support saving scans locally on your device. That cloud-only destination is the central difference from Files.
OneDrive cost context
| Offering | Price shown on Microsoft’s US page (accessed October 10, 2026) | What the figure means |
|---|---|---|
| OneDrive free storage | 5 GB free | Microsoft advertises this storage with its scanning service; scanning does not by itself prove that a paid Microsoft 365 plan is required |
| Microsoft 365 Personal | $9.99 per month or $99.99 per year | US Microsoft page pricing at the stated access date; regional pricing and terms may differ |
| Microsoft 365 Family | $12.99 per month or $129.99 per year | US Microsoft page pricing at the stated access date; regional pricing and terms may differ |
The paid Microsoft 365 figures are subscription prices, not evidence that you must subscribe to scan. If your requirement is a local copy that remains on the iPhone, OneDrive is the wrong fit according to Microsoft’s own migration guidance.

Features that actually distinguish the four choices
Destination and synchronization
Notes attaches the scan to a note. Files asks you to select a file location. Adobe Scan relies on Adobe cloud synchronization for cross-device access. OneDrive places the scan in OneDrive and does not offer local device saving. Decide the destination before comparing camera features; it determines how you retrieve, share and back up the document later.
Signatures, markup and PDF work
Apple explicitly documents signatures in Notes through Markup. OneDrive documents markup tools. Adobe Reader integration supports editing, annotating, filling and signing PDFs made with Scan. Adobe’s premium description adds editing, exporting, combining, compression and OCR behind subscription-linked features. Apple’s cited guide establishes capture, multipage scanning and basic adjustments, but does not establish those advanced PDF functions.
Multipage capture
Both Notes and Files support adding more than one page during the scan. Adobe Scan and OneDrive are designed around PDF scanning as well, but the most consequential difference in the supplied product documentation is not page count—it is where the finished PDF is stored and whether that storage is local or cloud-based.
Best Value
- Scanner type: Document
- Connectivity technology: USB
- With Auto Scan Mode, the scanner automatically detects what you're scanning
- Digitize documents and images
Privacy: compare storage behavior, not marketing labels
“Built in,” “free” and “cloud” are not complete privacy assessments. The Apple guide used for these workflows explains how to capture pages but does not describe processing, retention or account-sync behavior. Microsoft establishes that OneDrive scans are stored in OneDrive and cannot be saved locally through that replacement workflow. Adobe requires cloud synchronization for cross-device access and provides a developer-supplied App Store privacy disclosure that Apple says it has not verified.
Before scanning sensitive material, ask four practical questions:
- Is the finished file attached to a note, saved to a selected Files location or uploaded to a vendor account?
- Which Apple, Adobe or Microsoft account will receive the document?
- Must the document leave the phone to support the feature you need?
- Do you have an independent backup, such as the original paper or an image kept in Photos?
Those questions support an informed choice without claiming that one provider is universally more private. For confidential records, read the current privacy policy and document-specific settings for the service and account you plan to use.
Cost and decision guide
Choose Apple Notes when
- You scan occasionally and want no separate scanner app.
- The document belongs beside text, photos or other material in a note.
- You need a straightforward signature workflow through Markup.
Choose Apple Files when
- You want to select the destination folder during the scan.
- You need a file rather than an attachment inside a note.
- You prefer the built-in workflow and do not need the advanced PDF features documented for Adobe.
Investigate Adobe Scan when
- Your work already centers on Adobe Reader or Acrobat.
- You need editing, exporting, combining, compression or OCR and accept subscription requirements.
- You need access on multiple devices and are comfortable waiting for cloud upload and retaining a backup.
Use OneDrive when
- You already organize documents in OneDrive.
- You scan receipts, whiteboards, IDs or ordinary documents and want PDF output with markup.
- You accept that the replacement for Lens is cloud-first and cannot save scans locally on the iPhone.
A practical workflow for important documents
- Choose the destination first: Notes, a Files folder, Adobe cloud or OneDrive.
- Capture every page and inspect the corner detection before saving.
- Apply a signature or markup only after confirming that all pages are present.
- For Adobe or OneDrive, wait for synchronization and verify the file in the cloud account.
- Keep an independent backup for documents that would be difficult to replace; Adobe specifically suggests retaining original images in Photos.
- For a local-only requirement, save through Files and avoid OneDrive’s scanner, which Microsoft says cannot save locally.
Bottom line
Apple Notes and Files cover most occasional iPhone scanning without another app: Notes is the scan-with-a-note and signature choice, while Files is the direct-to-folder choice. Adobe Scan earns consideration when Adobe cloud and Acrobat features outweigh upload and subscription dependence. OneDrive is Microsoft’s current Lens replacement for cloud users, not a local scanner. Treat privacy as a storage-and-account decision, not a feature label, and verify current regional prices and policies before committing.
