Recommended Free Tools
For a small U.S. business that qualifies and stays within its limits, Zoho Books is a strong free option; Wave Starter is worth considering if unlimited basic records and invoicing matter more than built-in bank automation. Neither is a universal winner. “Free” means no subscription charge for the plan, not necessarily free payment processing or every workflow feature. These comparisons reflect vendor plan pages, not hands-on product testing, and availability can vary by country.
Zoho Books vs. Wave Starter at a glance

Listed features include invoices, expenses, journals, sales receipts, bank reconciliation, and reports. | Zoho’s U.S. page says financial-year revenue must not exceed $50,000. Confirm the current terms and your country’s eligibility on Zoho’s U.S. pricing page. |
| Wave Starter | A business seeking basic bookkeeping and invoicing without a record-count cap stated on the plan page. | $0 subscription; unlimited estimates, invoices, bills, and bookkeeping records. | Online payment processing has fees. Automatic transaction imports, categorization, receipt capture, and unlimited users are listed under Pro, not Starter. Check Wave’s pricing page for current terms. |
When Zoho Books Free makes sense
Zoho’s U.S. Free plan is a plausible fit for a low-volume business whose financial-year revenue is at or below $50,000 and whose work fits the plan’s limits. Its listed accounting features go beyond basic invoicing: the plan page includes expenses, journals, sales receipts, bank reconciliation, and reports, along with invoices.

Pay attention to both annual caps and access: the plan lists one user plus one accountant, 1,000 invoices a year, and 1,000 bills/expenses a year. A business with multiple staff members entering transactions, or one that is likely to exceed either cap, should check what happens when it reaches the limit and compare paid plans before depending on the free tier. The $50,000 eligibility condition comes from Zoho’s U.S. pricing page; it should not be assumed to apply in other countries.

Wave Starter may suit a freelancer or small business that wants no subscription charge and expects to use estimates, invoices, bills, and basic bookkeeping records without a stated record-count cap. Wave describes these items as unlimited on its Starter plan page. See Wave’s accounting software page for its product overview and pricing page for plan details.

Starter is not the same as an automated bank-feed workflow. Wave lists automatic transaction imports, categorization, receipt capture, and unlimited users as Pro features. If those functions are essential, include the upgrade cost in your comparison rather than treating them as part of the free plan.
What “free” can still cost
A $0 subscription does not eliminate charges tied to payment activity. Wave’s pricing page lists Starter online-payment processing at 2.9% + $0.60 for card transactions and 3.4% + $0.60 for American Express. These are vendor-listed rates and may change; verify the live schedule before accepting customer payments. Processing fees are separate from subscription pricing.

Also consider the time cost of a manual workflow. If the free plan you choose does not include bank imports or receipt capture, you may need to enter and categorize transactions yourself. A paid plan can be more economical overall if the time saved or the required workflow features justify its recurring subscription charge.
How to choose for your business
- Confirm regional eligibility. Check that the plan is offered where your business operates. Zoho’s $50,000 revenue condition cited here is specific to its U.S. pricing page; do not apply it internationally without checking the local terms.
- Count your workload. Estimate annual invoices, bills, and expenses, plus how many people need access. Compare that with Zoho’s listed caps and Wave Starter’s stated unlimited basic records and invoicing.
- List the workflow features you need. Decide whether you need bank imports, automatic categorization, receipt capture, reconciliation, reports, or multiple users. Verify which are included in the specific free plan rather than assuming that a feature shown in a vendor’s product overview is free.
- Calculate total cost. Account for payment-processing charges, any paid upgrade needed for your workflow, and the time required for manual entry.
- Check exit options before you commit. If you may outgrow the free plan, review the vendor’s current data export and migration terms and compare paid-plan costs. The plan details cited here do not establish export or migration terms.
Make sure the records will stand up to scrutiny
Software choice matters less than keeping complete, accurate records you can retrieve. The IRS says, “The electronic system must provide a complete and accurate record of your data that is accessible to the IRS,” on its small-business guidance on recording business transactions. Whichever tool you use, make sure you can preserve and access the underlying records and supporting documentation.

The right bookkeeping method also depends on the business. IRS Publication 583 (revised December 2024) explains that single-entry bookkeeping is simpler, while double-entry bookkeeping has built-in checks and balances; the IRS says, “You may find the double-entry system better because it has built-in checks and balances to assure accuracy and control.” Read Publication 583, Starting a Business and Keeping Records, and consider whether your business’s transactions and reporting needs call for a more structured system.
