Recommended Free Tools
The best free alternative depends on what an add-in does. For basic spelling and grammar, Microsoft Editor is a well-documented free starting point; for PDF work, Adobe Acrobat for Microsoft 365 offers some free features but reserves others for paid users. Paraphrasing and electronic signatures are different jobs, and the available evidence here does not establish a current free substitute for either. Compare tools by task, free-tier limits, where they work, and the permissions they request—not by a blanket “free” label.
Choose an alternative by the job it needs to do
Microsoft 365 add-ins are not one category of tool: they can help with writing, paraphrasing, PDFs, or signatures, among other tasks. Microsoft’s overview of popular Word add-ins gives examples including QuillBot for paraphrasing and DocuSign for electronic signatures. It is an editorial overview published in 2023, not a current independent popularity ranking, and it does not establish current plan limits or free replacements.

“Free” can mean a basic free tier, a few features offered at no charge inside a paid product, or a tool included with Microsoft 365. The distinction matters: check the exact feature and Office surface you need before installing anything.
Free grammar checking for Word: start with Microsoft Editor
Microsoft Editor is the clearest free option in the available documentation for basic spelling and grammar. Microsoft says its free service is available to people signed in with a Microsoft account through the browser extension and Word for the web. It covers basic spelling and grammar; advanced grammar and style refinements—including clarity, conciseness, formality, and vocabulary suggestions—are associated with a Microsoft 365 subscription. Microsoft describes the free tier this way: “The free service lets you nail the basics of grammar and spelling.”
Editor works in Word documents, email, and web writing, supports more than 20 languages, and underlines possible issues for you to accept or ignore. The exact features may depend on where you use it and your account. See Microsoft’s Editor documentation for the current details.
Understand the Edge spellcheck privacy distinction
Microsoft says Edge’s enhanced spelling and grammar checking sends typed text to a Microsoft cloud service, where it is processed and then deleted rather than stored. Edge’s separate Basic spellcheck runs locally and does not send spellchecking data to Microsoft. Text prediction has a different retention note: typed characters and predictions may be cached for up to 30 days for service quality and performance improvement. These settings cover different functions, so check which one is enabled if you are choosing a writing aid for sensitive text.

PDF work: Acrobat has free features, not a free full editor
Adobe Acrobat for Microsoft 365 is a useful example of why an add-in listing marked “Get it now” does not mean every feature is free. The Microsoft Marketplace listing identifies PDF viewing and searching as free features. It also describes comments and annotations in Teams and browser-based PDF preview in SharePoint and OneDrive for Business. Some functions, including creating and combining PDFs, require a paid Acrobat license.
Choose it if your specific need is viewing or searching PDFs, or using the listed collaboration and preview features. Do not treat it as a free full PDF editor. The evidence available does not establish a named free third-party PDF editor as a Microsoft 365 add-in alternative.

Paraphrasing and signatures: verify free access before choosing
QuillBot and DocuSign for Word illustrate two other add-in jobs identified in Microsoft’s 2023 overview: paraphrasing and electronic signatures. That source does not establish what either product currently includes at no charge, how its plans compare, or whether a free substitute is available. If you need one of these workflows, check the current product terms and compatibility for your account and Office app before relying on it. Do not infer a free tier from an add-in’s marketplace availability.
Check an add-in before installing it
On Windows, Microsoft’s instructions describe finding add-ins through File > Get Add-ins or Home > Add-ins. From the store, review the listing and details before adding one. The same support guidance explains how to remove installed add-ins and describes Trust Center options related to signed publishers. In supported web and New Outlook environments, an add-in may prompt for access to device capabilities such as the camera, location, or microphone. Grant only permissions that make sense for the task.

- Open File > Get Add-ins or Home > Add-ins in the supported Windows Office app.
- Review the listing, publisher, supported app surfaces, requested permissions, and which functions are free versus paid.
- Install only if the add-in fits your account and workflow; remove it if you no longer need it.
See Microsoft’s add-in support instructions for installation and removal guidance. The paths above are Windows-focused; menus and availability can differ across Office versions and platforms.
Use compliance labels as one trust signal, not a recommendation
Microsoft’s App Compliance Program helps users find add-ins described as certified or attested. Publisher attestation and Microsoft 365 certification are distinct program mechanisms. Those labels provide governance information; they do not establish that an app is the right fit for your workflow or that its features are free. Consider them alongside publisher details, permissions, and the data the tool handles.
