How to choose a free scanner
Start with your phone and storage destination
On an iPhone or iPad, Apple Notes is the simplest no-install option for occasional receipts, forms and pages. On Android, Google Drive can be convenient when your files already live there, provided the current app supports scanning on your device. Adobe Scan and Genius Scan make more sense when scanning is a regular task and you want a dedicated interface. OneDrive is a natural fit for people already using Microsoft storage.
Recommended Free Tools
A scan is only useful if you can find and send it later. Decide whether the finished file should stay in a note, land in Google Drive or OneDrive, or be exported to local storage, email or another app. The exact destinations shown depend on the operating system and installed sharing apps.
#1 Best Overall
- Flatbed scanners simply cannot compete with your smartphone and a Scanner Bin. Improved resolution and color rendering compared to popular flatbed scanners. Compare to 1200 DPI. Takes a fraction of the time to scan at a fraction of the cost. Not to mention that flatbed scanners end up adding a lot of hazardous e-waste to your local landfill.
- Solve the common issues with smartphone scanning. Provides a contrasting background for consistent edge-detection and auto-cropping. Controls the lighting and provides stability and proper positioning while you scan with your smartphone.
- Scan photographs, receipts, letters, notes, artwork, fragile documents, etc. Also used as an aid for the blind or visually impaired or as a document camera for remote learning. When you aren't scanning, turn on its side to use as a desk-side bin to toss in the items you want to scan later.
- This version is the lowest cost option for a scanner solution. It is also simplified for set up and use, and therefore is recommended for those who are blind, visually impaired or have movement disorders.
- Use with popular FREE APPS for document scanning like Adobe Scan, Scanbot, Evernote Scannable, CamScanner, and Prizmo Go
Decide whether searchable text matters
OCR (optical character recognition) turns lettering in a photographed page into text that can be searched or copied. It is valuable for invoices, contracts and notes, but it is not automatic proof that every word was recognized correctly. Adobe Scan is positioned around scanning and OCR, while comparison reporting identifies Genius Scan OCR as a paid-tier example. The available information does not establish a current OCR allowance for Google Drive, Apple Notes or OneDrive, so check the feature description in your app before promising searchable PDFs.
Separate basic scanning from advanced PDF editing
Most of these choices can capture pages, correct perspective and produce a multi-page document. Subscription boundaries tend to appear after capture: editing existing PDFs, converting formats, changing text, combining files from other sources or applying advanced document tools. Adobe’s advanced PDF capabilities are specifically reported as possible subscription features. If you only need a clean PDF of pages from a camera, a free tier may be enough; if you need a full PDF editor, confirm the paid requirement first.
Adobe Scan: the dedicated, OCR-focused choice
Adobe Scan is the strongest first install when you want a purpose-built scanner rather than a feature hidden inside a notes or storage app. It is aimed at recognizing a document, finding its edges and creating a PDF that can be shared or stored. The current iOS and Android listings should be treated as the authority for supported devices and included features.
Typical scanning workflow
- Install Adobe Scan from your phone’s official app store and review the sign-in and storage prompts.
- Choose the document mode, point the camera at one page and hold the phone high enough to include all four edges.
- Let automatic capture detect the page, or use the shutter control when the page is difficult to recognize.
- Review the crop. Drag corners inward only to the paper edge; cropping into letters makes OCR and reading worse.
- Use the add-page control for the next sheet. Keep pages in order before saving.
- Open the finished scan and inspect the text or PDF options that your current plan exposes. Save or share it to the destination you need.
When it is a good fit
- You scan multi-page documents often.
- You want a dedicated capture screen rather than a general-purpose note.
- Searchable text is important enough to check after scanning.
- You are willing to verify which PDF tools are included for free on your device.
What to verify before committing
Do not assume that every Adobe PDF function shown in the interface is free. Comparison coverage identifies advanced PDF features as a subscription boundary, but the exact feature list and terms can change. Also check whether the app requires an account, where a scan is stored by default and whether an OCR result is embedded in the PDF or offered as a separate action.

Google Drive scanner: convenient for a Drive-first workflow
Google Drive’s scanner is appealing when the destination matters more than having a standalone scanner app. It can reduce the handoff between photographing a page and filing it with the rest of your cloud documents. Availability, account requirements, OCR and export behavior vary by platform and app version, so confirm those details in the current listing.
How to use it
- Open the Google Drive app and look for the camera or scan action. The label and location can change between Android and iPhone versions.
- Grant camera access only if you are comfortable with the permission, then frame the page against a contrasting background.
- Capture the page and inspect the automatic crop, rotation and contrast controls.
- Use the add-page option if the document has more than one sheet.
- Name the file before saving it to the correct Drive folder. Open the saved PDF once to ensure every page is present.
Best use cases and limits
This route is efficient for schoolwork, receipts and work records that already belong in a shared Drive folder. It is less convenient if you need an offline archive, a different cloud provider or specialized OCR controls. The available comparison material does not establish a current free page allowance or a universal OCR function, so do not treat Drive as an unlimited, searchable-document service without checking your version.
Apple Notes: the no-install option for iPhone and iPad
Apple Notes is the most frictionless choice for an Apple-device owner who scans only occasionally. The scanner is built into the note-taking app, so there is no separate scanner account or second library to manage. This recommendation is limited to Apple hardware; do not generalize the workflow to Android.
Free tools Windows power users keep installed
One-click scans. No signup required.
Scan a document in Notes
- Open Notes and create a new note or open the note where the document belongs.
- Tap the camera or attachment control and choose the scan-document command. The exact icon can vary with iOS or iPadOS releases.
- Hold the device over the page. Automatic capture can take the picture when the page edges are visible; use the shutter button for manual capture.
- Adjust the corners, choose the available color or grayscale treatment and accept the page.
- Continue scanning to add pages, then tap Save or Done.
- Use the note’s share action to send the document to Files, Mail, messaging or another installed destination.
Choose Notes when simplicity beats specialization
Notes is ideal for a signed form you need to send once, a receipt you want attached to a note, or a short packet that does not need a separate document-management system. A dedicated app is preferable when you need a repeatable naming system, batch processing or a specific OCR workflow. Check the current operating-system documentation if searchable text is a requirement; the available comparisons do not establish a universal OCR promise for Notes scans.

Genius Scan: a focused scanner with a free basic tier
Genius Scan is designed around document capture rather than general note-taking or cloud storage. Comparison coverage describes a free basic tier and places OCR in a paid tier. Because plan names and limits can change, confirm what the current free listing includes before scanning a large archive.
Practical workflow
- Open the app and start a new scan.
- Capture each page with the paper fully visible and let the app detect the boundaries.
- Correct the crop, perspective and rotation before adding the next page.
- Reorder or remove pages while the document is still open.
- Export the final PDF through the share or save control, then open the exported file to check it.
Who should use it
Pick Genius Scan if you want a dedicated scanner but do not need every advanced PDF function. If searchable text is central to your workflow, treat OCR as a paid feature unless the current plan page says otherwise. The free tier may still cover image-to-PDF scanning; verify whether export destinations, watermarking or batch limits apply to your version.
OneDrive: the Microsoft route after Lens
Microsoft Lens should not be presented as an unqualified current recommendation. Recent reporting says Lens was retired in 2026 and points users toward OneDrive, but retirement timing and migration behavior are time-sensitive. Check Microsoft’s current support guidance before deleting Lens or changing a business process.
Use OneDrive when your files already live there
- Install or update OneDrive from the official store and sign in to the Microsoft account that owns the destination folder.
- Look for the add, camera or scan command in the current app interface.
- Capture the page, correct the edges and add additional pages to the same document.
- Choose the destination folder and file name, then save.
- Open the file in OneDrive or download a copy to verify that the PDF contains every page.
OneDrive is most useful when colleagues, school folders or existing backups already use Microsoft storage. Confirm current scan formats, offline behavior, OCR availability and account requirements; these details are not established consistently by the comparison coverage.

A reliable phone-scanning method, regardless of app
Prepare the page
- Use a flat, non-reflective surface and even light from both sides.
- Remove clips, fold-outs and anything that hides the corners.
- Wipe the camera lens; a fingerprint creates a soft haze over every page.
- For a stack, decide the final page order before you begin.
Capture and correct
- Hold the phone parallel to the page to avoid trapezoid-shaped text.
- Keep all edges in view and wait for focus before capturing.
- Inspect every crop. Automatic detection is helpful, not infallible.
- Use grayscale for ordinary black text when it improves contrast; retain color for stamps, diagrams and highlighted annotations.
- For a multi-page file, add one page at a time and review thumbnails before exporting.
Save and verify
- Use a descriptive name such as
2026-10-15-rental-agreement.pdfrather than a camera-generated number. - Save to the correct note, Drive folder, OneDrive folder or local destination.
- Open the exported PDF, scroll through every page and zoom into signatures, small print and tables.
- If OCR is enabled, search for a distinctive word and compare the result with the image. Correct critical names and numbers manually in the source document or a PDF editor.
- Share only after the file opens correctly on a second device or in the recipient’s expected app.
Free-tier, privacy and account checks
“Free scanner” describes the entry point, not necessarily the whole product. Before scanning tax records, identity documents or medical paperwork, read the current store description and privacy policy for the exact app version. The available comparisons do not establish universal rules for upload location, retention, account creation, page counts or OCR limits.
- Look for subscription labels. Adobe’s advanced PDF functions and Genius Scan OCR are reported examples of features that may sit behind payment.
- Check where files go. A scan saved to a cloud folder has a different sharing and deletion process from a file kept only on the phone.
- Review permissions. Camera access is necessary to scan; contacts, microphone or location access should have a clear reason before you grant it.
- Confirm export. A viewer that opens a scan inside its own library may not provide the PDF destination you need on the free plan.
- Recheck after updates. Store listings and in-app plan screens are more reliable for current limits than an older comparison article.
Common problems and fixes
The page is skewed or cropped incorrectly
Move the phone higher, keep it parallel to the paper and increase the contrast between the page and the surface. Reopen the crop editor and pull each corner to the actual paper edge. If automatic detection keeps failing, capture manually and correct the corners yourself.
Text is blurry or unreadable
Clean the lens, add light from the side instead of directly above, and tap the text to focus before capturing. Do not zoom digitally; move the phone closer while keeping the whole page in frame. Rescan pages with tiny type rather than trying to repair a blurred image later.

OCR produces wrong names or numbers
OCR errors are common with handwriting, shadows, unusual fonts and low-resolution images. Improve the capture first, then search several words in the output. Treat account numbers, dates, addresses and legal wording as visual data that must be checked against the page.
The app asks for payment at export
Cancel before confirming a subscription and identify which operation triggered the paywall. Try a basic PDF export or the operating system’s share sheet if the free plan allows it. If you specifically need OCR, PDF editing or format conversion, compare the paid requirement with another app rather than assuming the feature is included.
A former Lens workflow no longer works
Do not rely on an old Lens tutorial. Check Microsoft’s current support pages and the latest OneDrive listing for the supported replacement and any account or storage changes.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Optional hardware for frequent scanning
A simple phone stand can hold the camera steady above a page while you turn sheets, which is useful for a long packet or a hands-free setup. It is an optional aid, not a requirement, and no particular stand has been tested here. For occasional receipts, a flat surface and good lighting are usually enough.
Bottom line: the best free starting point
Choose Apple Notes for occasional scans on an iPhone or iPad, Google Drive when filing directly into Drive is the priority, Adobe Scan for a dedicated OCR-oriented workflow, Genius Scan for focused basic scanning, and OneDrive when your Microsoft files already live there. Install one option, scan a representative document and test cropping, multi-page PDF creation, export and text search before moving an entire archive. That short trial reveals more than a generic “free” label, especially because app capabilities and subscription boundaries can change.
