A dedicated service may be worth evaluating when the required workflow goes beyond what the merchant’s current platform setup handles—for example, advanced self-service exchanges and incentives, routing across warehouses, stores, and 3PLs, a large carrier or physical drop-off network, or returns spanning several commerce platforms. How to choose the right returns platform

Use the same requirements across product demos so you can compare the workflow rather than presentation quality. Shopify’s vendor-evaluation guidance covers the following decision areas.

  1. Platform fit: List storefronts, POS, sales channels, and regions. For each connection, ask whether it is native, app-based, API-based, or custom, and confirm the exact configuration you need.
  2. Policy control: Identify where rules must differ by product, return reason, customer, market, or channel. Include return windows, fees, and exceptions.
  3. Automation: Trace which requests can be self-served, automatically approved, or routed for review. Ask which labels, notifications, and follow-up tasks are automated.
  4. Resolution choices: Specify when the customer should receive a refund, store credit, replacement, variant swap, or exchange for another product. If an exchange-first flow or incentive matters, require a demonstration of that exact path.
  5. Operations integration: Check connections to order and inventory systems, OMS, WMS, ERP, 3PLs, carriers, customer support, and accounting. Ask what data is written back and when.
  6. End-to-end visibility: Confirm whether staff can see request, label or scan, receipt, inspection, disposition, refund, and exchange status in one view.
  7. Analytics: Ask whether reporting can break down results by SKU and return reason, and whether it covers processing time, shipping cost, exchange uptake, refund value, and inventory outcome.

What a returns platform can—and cannot—establish

Returns software can organize customer requests and operational steps, but the sources cited here do not show that any named product reduces return rates, costs, or customer churn.
