Start with free assessments, then secure identities and email before buying more software. For most small nonprofits, the best-value stack is a free Microsoft or TechSoup risk assessment, mandatory multifactor authentication (MFA), separate administrator accounts, the security controls already included in your productivity suite, and no-cost CISA scanning. Add paid endpoint or email protection only where those controls leave a documented gap. This approach protects donor and client information without committing scarce funds to overlapping products.
What a limited-budget nonprofit should buy first
Cybersecurity spending works best when it follows risk rather than a shopping list. A practical order is:
As an Amazon Associate I earn from qualifying purchases.
- Assess: inventory identities, devices, cloud applications, sensitive data, backups and administrator accounts.
- Protect identities and email: require MFA, eliminate shared administrator accounts, apply least privilege and document account recovery.
- Use controls already in your stack: configure your Microsoft 365 or other cloud security features before adding another vendor.
- Scan and harden: use CISA’s no-cost services and configuration guidance.
- Train people: make reporting suspicious messages easy and repeat short lessons throughout the year.
- Buy through nonprofit channels: check eligibility, region, seat count, renewal terms and support before accepting an offer.
A free tool is not free of effort. Someone must configure it, review alerts, patch devices and test recovery. Include staff time in every comparison.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesBuild a risk baseline at no cost
Microsoft Security Program for Nonprofits
Microsoft’s Security Program for Nonprofits includes a free security assessment and a prioritized action plan. Use it to identify exposed accounts, unmanaged devices, weak administrative practices and gaps in protection. The useful output is not a score alone; it is a ranked list of actions that a small team can assign and complete.

TechSoup Digital Assessment Tool
TechSoup also provides a free Digital Assessment Tool. It can help a nonprofit document its technology estate and decide which controls need attention. Record the owner, deadline and evidence for each action so the assessment becomes a working backlog rather than a one-time report.
Inventory checklist
- Every user, service account, shared mailbox and administrator.
- Laptops, desktops, phones, tablets, network equipment and devices used remotely.
- Cloud services, donor databases, fundraising tools, file stores and payment systems.
- Personal, health, financial or donor information and where each type is stored.
- Backup locations, retention periods and the person who can restore data.
- Former staff and volunteer accounts that must be disabled.
Protect identities and email before endpoints
Require MFA and maintain recovery paths
MFA blocks many account-takeover attempts even when a password is stolen. Enforce it for every administrator first, then every employee and volunteer who accesses organizational data. Prefer phishing-resistant methods where feasible, such as security keys or passkeys; otherwise use an authenticator application rather than text messages when your service supports that choice. Store emergency recovery codes securely and test that a second authorized person can regain access without relying on the departing employee’s phone.
Separate administration from daily work
Do not let one account perform ordinary email and high-impact administration. Give each administrator a named standard account and a separate privileged account, and grant only the roles required for the task. Remove dormant privileges promptly. Shared administrator credentials prevent accountability and make recovery harder, so replace them with individually assigned accounts.
AccountGuard for eligible nonprofits
Microsoft states that AccountGuard is free for eligible nonprofits and provides an extra layer of protection with nation-state threat notifications.
Eligibility and enrollment requirements apply. The service is most relevant to organizations whose advocacy, public-interest work or leadership could attract targeted attacks; it does not replace MFA, endpoint protection or backups.
Microsoft nonprofit licensing
Microsoft’s nonprofit offers include grants and discounted security add-ons, subject to eligibility. The Microsoft Nonprofits offers page lists up to 300 free Microsoft 365 users and up to 50 Windows 11 Pro license grants. The same page lists a Defender add-on at $4 (USD) per user per month, paid yearly; that figure is from Microsoft’s 2026 page accessed October 17, 2026, and terms can change. Microsoft also advertises support for free for up to 300 users. Confirm legal status, country, product edition, billing cadence and current limits before putting the offer into a budget.
Endpoint, email and cloud protection
Use the security features you already own
Before purchasing a separate antivirus, email gateway or identity product, enable the protections included with your existing cloud plan. Configure malware and phishing filtering, safe links or attachments where available, device encryption, automatic updates, login-risk policies and centralized audit logs. Create an alert triage routine: define who receives alerts, which events require immediate action and how an incident is documented.

Microsoft Defender suite for Microsoft 365 Business Premium
Microsoft documents a Defender suite for Microsoft 365 Business Premium that combines endpoint security, email protection, identity governance and cloud-app security. It can be economical for a nonprofit already standardized on that edition because one console and one identity directory reduce administration. Compare the actual devices and users covered, mobile support, detection and response workflow, retention of logs and the staff time needed to investigate alerts. Do not pay for a second product that duplicates controls you can configure effectively.
When another endpoint product is justified
Consider an additional or alternative product when you have unsupported operating systems, contractors outside your main tenant, devices that cannot be enrolled in your management system, or a response team that needs capabilities your current plan lacks. Require a written answer to these questions:
- How many computers and mobile devices are included, and are servers charged separately?
- Does it prevent ransomware and malicious scripts, or only detect known malware?
- Can a small team isolate a device, investigate a timeline and restore normal operation?
- Are policy, alert and audit controls centralized?
- What happens when a volunteer leaves, a license expires or an internet connection is unavailable?
Free scanning and hardening from CISA
Cyber Hygiene Services
CISA describes its Cyber Hygiene Services as providing no-cost vulnerability scanning and web application scanning.
Confirm eligibility and scope before enrollment. Scanning is useful only when someone owns remediation: prioritize internet-facing critical findings, patch or remove exposed services, and rescan to verify the fix. Keep a record of exceptions and the reason each one remains open.
Known Exploited Vulnerabilities catalog
Use CISA’s Known Exploited Vulnerabilities catalog to prioritize patches for flaws attackers are actively exploiting. Map catalog entries to the software in your inventory, set shorter deadlines for internet-facing systems and verify that updates completed successfully. A catalog is a prioritization aid, not a substitute for a complete patch process.
SCuBA for cloud configuration
CISA’s Secure Cloud Business Applications (SCuBA) work helps organizations assess and harden supported software-as-a-service configurations. Check which applications and benchmark controls are supported, then plan remediation in stages so a setting change does not interrupt fundraising, case management or volunteer work. Preserve a record of approved deviations.
Malware analysis and incident support
CISA also lists malware-analysis resources. If a suspicious attachment or executable is found, isolate the device, preserve relevant evidence and use an appropriate analysis service rather than opening the file on a production computer. Escalate quickly when donor data, credentials or multiple devices may be involved.

- FLEXIBLE - Three (3) 1 GbE switched (WAN/LAN/OPT) ports allow you to configure three separate 1 GbE switched ports for upto a gigabit of bi-directional traffic.
Training that fits volunteers and part-time staff
Technology cannot stop a volunteer from approving a fraudulent payment or disclosing a password. Microsoft Community Hub guidance states that 90% of phishing attacks are based on social engineering
(May 6, 2024). Treat training as an operating process, not a once-a-year presentation.
A practical training cycle
- Give new staff and volunteers a short orientation before granting access.
- Run brief monthly or quarterly lessons on phishing, password managers, MFA prompts, invoice fraud and safe file sharing.
- Publish one reporting route, such as a mailbox or button, and promise a quick, blame-free response.
- Use phishing simulations only with leadership approval, accessible content and an explanation afterward.
- Track completion and repeat material for people who miss a session or fail a simulation.
- Test account recovery and incident reporting with a tabletop exercise.
Compare TechSoup courses, the Global Cyber Alliance (GCA) toolkit and Microsoft’s awareness resources for completion tracking, accessibility, simulations and volunteer-friendly delivery. A simple spreadsheet and recurring calendar event can be sufficient when a formal learning platform is unaffordable.
TechSoup for discounts, assessment and training
TechSoup says it is a 501(c)(3) nonprofit connecting nonprofits, charities, libraries and foundations with donated and discounted technology, services, resources and community discussions. Its Core membership is free and provides access to a catalog of more than 100 software and hardware partners, including cybersecurity resources. TechSoup advertises savings of up to 90% on its 2025 membership page. The maximum is not a guarantee for every product or country; catalog availability, administrative fees, eligibility and renewal terms vary.

- Verify that your legal entity and country qualify before planning around a product.
- Check whether the donation is perpetual, annual or a one-time entitlement.
- Price renewals, additional seats, support and migration work, not just the initial discount.
- Confirm that the product supports your operating systems, cloud tenant and remote workers.
- Ask who owns configuration, alert review and offboarding after deployment.
TechSoup Plus or another paid membership tier may provide different administrative terms. Compare its fee with the value of the specific offers you will actually claim.

Three workable spending plans
Zero or near-zero software budget
Complete the Microsoft or TechSoup assessment, enable MFA and separate administrator accounts, configure existing email protections, enroll in eligible CISA scanning, use the KEV catalog for patch priority, and run recurring training with free materials. Spend staff time on backups, updates and recovery testing before buying another dashboard.
Small recurring budget
Keep the free baseline and add the security add-on that covers the largest documented gap. For an eligible organization already using Microsoft 365, the listed Defender add-on is $4 per user per month when paid yearly according to Microsoft’s 2026 page. Recalculate for actual users, volunteers, shared mailboxes and renewal terms; do not assume every account needs the same license.

Growing or higher-risk nonprofit
Fund centralized endpoint and identity response, formal device management, tested offline or immutable backups, and an incident-response retainer or specialist support. Use CISA and assessment findings to justify each line item. A larger budget should buy faster detection and recovery, not merely more overlapping tools.
Recommended Free Tools
Implementation plan for the first 30 days
- Days 1–3: name a security owner, export user and administrator lists, identify critical systems and confirm backups.
- Days 4–7: complete a free assessment, disable departed-user accounts, remove shared administrator credentials and enroll administrators in MFA.
- Week 2: require MFA for all users, configure email and endpoint policies, patch internet-facing systems and review forwarding rules.
- Week 3: request eligible AccountGuard or nonprofit licenses, enroll in CISA services, run an initial scan and assign remediation owners.
- Week 4: deliver staff training, test account recovery and a backup restore, document exceptions and set a monthly review calendar.
Common mistakes and recovery steps
Buying before measuring
Problem: overlapping products consume money while basic MFA or patching remains incomplete. Fix: use an assessment and map every proposed feature to a documented risk.
Enabling MFA without recovery
Problem: a lost phone locks out the only administrator. Fix: maintain two authorized administrators, protected recovery codes and a tested break-glass procedure.
Scanning without remediation
Problem: reports accumulate and staff stop reading them. Fix: set severity-based deadlines, assign owners and rescan after each fix.
Ignoring volunteers and former users
Problem: temporary access remains active. Fix: give every person an individual account, set an end date and review access monthly.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Treating backups as a checkbox
Problem: backups are encrypted, incomplete or impossible to restore. Fix: keep a protected copy, limit backup administration and perform documented restore tests.

How to choose among nonprofit offers
Ask for the complete cost and operating model in writing. Compare coverage, configuration effort, alert volume, response actions, data retention, support hours and exit options. Confirm the offer’s country, legal-status and seat-count rules, and whether the quoted price is promotional, recurring or tied to annual payment. Recheck terms at renewal because nonprofit catalogs and eligibility requirements change.
The strongest limited-budget program is usually not a single “best” product. It is a small, maintained set of controls: MFA and least privilege for identities, hardened email and endpoints, prioritized patching, reliable backups, no-cost scanning where eligible, and trained people who report suspicious activity quickly.
Frequently Asked Questions
Can a nonprofit start without buying a security platform?
Yes. Complete a free assessment, enforce MFA, separate administrator accounts, configure existing email protections, use CISA no-cost services where eligible, patch systems and test backups. Buy additional software only for a documented gap.
Is the Microsoft nonprofit $4 Defender price guaranteed for every organization?
No. The $4 per-user monthly figure is the listed annual-payment price on Microsoft’s 2026 nonprofit offers page accessed October 17, 2026. Eligibility, country, edition, user count and current terms must be verified.
What should we do if a CISA scan finds a critical vulnerability?
Assign an owner immediately, isolate or restrict the exposed service when possible, patch or remove it, document any exception and rescan to confirm remediation.
How often should a small nonprofit review access?
Review administrator and sensitive-data access at least monthly and whenever someone joins, changes role or leaves. Disable dormant accounts promptly.
