Short answer: Choose quoting software by the work your shop actually estimates. Tempus Tools is the clearest fit for laser and fabrication shops that want published monthly plans and an optional customer web store. PriceFab is the lowest-cost starting point for solo estimators and small teams that need drawing analysis, editable line items and PDF quotes. Kostira is suited to CNC shops that start with STEP geometry and apply their own material and process rates. Paperless Parts, HawkQMS and Veriti make more sense when portals, integrations, repeatable rules or broader workflow control outweigh public price transparency.

No quoting engine should be treated as an unattended pricing authority. The useful systems expose assumptions for material, setup, labor or machine time, overhead, markup and outside processing so an estimator can review and change them before a price reaches a customer.

Quick comparison

The products below solve different estimating problems. A laser shop uploading flat parts has different inputs from a CNC shop calculating operations from a STEP model, so a single overall ranking would be misleading.

What custom manufacturing quoting software does

Quoting software turns a part description into a priceable route: material, operations, setup, labor or machine hours, outside processing, overhead, markup and quantity effects. Some systems begin with a PDF drawing or manually entered description; others inspect geometry in a STEP, STL, DXF or G-code file. The result should be a cost breakdown an estimator can edit, approve and export, not merely a number with no explanation.

This distinction matters for small and midsize businesses because the owner, estimator and shop scheduler may be the same person. A repeatable calculation reduces spreadsheet copying and makes revisions easier, while still leaving room for tooling, fixturing, inspection, rush work and customer-specific terms that a file parser cannot know.

How to choose by manufacturing process

Laser and fabrication work

Laser and sheet-fabrication estimates often depend on material type and thickness, cut length, pierces, bend or weld operations, finishing and batch quantity. A fabrication-oriented tool with a customer upload flow can remove email back-and-forth, but confirm that it supports your actual bend, weld, hardware and finishing rules. Tempus Tools is positioned specifically for this category and describes a web store where customers upload parts, see instant pricing and place orders.

CNC milling and turning

CNC estimates need a defensible operation plan: stock size, workholding, tool changes, roughing and finishing, drilling, tapping, probing, inspection and secondary processes. STEP-based systems are useful when solid geometry is reliable. Kostira emphasizes STEP geometry and applies shop-defined material and process rates. MetronQ describes recognition of holes, threads and pockets for milling and turning. These tools still need a machinist to check access, tolerances, fixturing and realistic cycle times.

Mixed or highly variable work

If your shop quotes CNC, sheet metal and outside processing in one workflow, prioritize editable operations, saved assumptions and integrations over automatic geometry recognition alone. Veriti focuses on repeatable rules and saving the inputs behind each quote. Paperless Parts is a candidate when customer portals, modules or integrations require a broader implementation. Ask each vendor to demonstrate one routine part and one difficult part from your own backlog.

Essential capabilities to verify

Rate-card ownership

You should be able to enter and revise machine hourly rates, labor rates, material costs, setup charges, overhead, markup, outside-processing prices and minimum-order rules. If a vendor supplies hidden defaults that cannot be inspected, your quote may look precise while being impossible to audit.

Editable operations and assumptions

Automated recognition is a starting point. Look for line-item editing, operation insertion, quantity breaks, scrap or yield allowances and a clear record of who changed a value. Kostira explicitly keeps the estimator responsible for material, operations, hours and final selling price; that is the appropriate mental model for every product in this category.

File support

Confirm formats with real files, not just a logo list. HawkQMS lists G-code, STEP, STL and DXF. Kostira emphasizes STEP. Drawing-first products may accept PDF files but still require manual interpretation of tolerances, finish and revision notes. Check how the system handles missing units, multiple bodies, sheet-metal flat patterns, assemblies and drawings with revisions.

Outputs and handoff

At minimum, export a customer-ready PDF and an internal cost breakdown. XLSX output is useful when a buyer wants to audit or continue analysis in a spreadsheet; Kostira lists both PDF and XLSX. Also verify revision numbering, quote expiration, tax or freight fields, purchase-order conversion and whether approved values can flow to your ERP or job traveler.

Customer-facing workflow

A portal can shorten the path from request to order but adds security and operational responsibility. Tempus Tools describes a web store with uploads and instant pricing. HawkQMS lists a self-serve portal with shop branding and payment support. Determine whether quotes require estimator approval, whether customers can see internal assumptions, and how rejected or expired quotes are handled.

Product-by-product guidance

Tempus Tools: fabrication-first quoting and web ordering

Tempus Tools says it is designed for small fabricators and job shops focused on laser cutting. Its strongest differentiator is the combination of fabrication quoting and a customer web store: customers can upload parts, view instant prices and place orders. That can fit a shop with repeatable geometry and a high volume of similar requests.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The three published tiers are Starter, Regular and Advanced. The vendor says additional quoting users cost half the listed user price, non-quoting users are free, and there are no setup or server fees. Confirm which fabrication processes, file types, approval steps and order-payment features are included in the tier you need. A portal that calculates a price without your bend, weld, finishing and inspection rules may create more manual correction than it saves.

PriceFab: accessible entry pricing for drawing-based estimates

PriceFab says it reads drawings, identifies every process and builds a structured quote with line items, labor rates and markups set by the shop. That makes it attractive to a solo contractor who needs more structure than a spreadsheet but cannot justify a large implementation. Its Shop tier is described as supporting up to five team seats, which may fit a small estimating group.

The vendor claims 90% less time quoting and illustrates a complex job falling from four hours to under 30 minutes. Those are marketing claims from the product page, not an independent benchmark; measure your own revision time during a pilot. PriceFab also says uploaded files are analyzed in memory and discarded immediately while extracted metadata is retained. Confirm current retention, access controls, encryption, model-training policy and deletion procedures before sending confidential customer drawings.

Kostira: STEP-driven CNC decision support

Kostira is browser-based CAD-to-quote software for small and midsize CNC machine shops, toolrooms and job shops. It reads STEP geometry, applies the shop’s material and process rates and produces an editable cost breakdown with PDF and XLSX export. The page updated July 17, 2026, labels it open beta and states that an account is free with no card.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Its explicit limitation is also a useful buying signal: the estimator remains responsible for material, operations, hours and final selling price. Test models with deep pockets, thin walls, tight tolerances, multiple setups and non-machined features. Compare its suggested operations with the process plan your lead machinist would actually run, then record the overrides you make so rates and rules can be improved.

HawkQMS: CNC shop workflow and customer portal

HawkQMS targets small and midsize CNC job shops described as roughly two to 50 machines. It lists G-code, STEP, STL and DXF inputs and lets a shop configure cycle time, material cost, machine hourly rate, markup, overhead, setup, minimum-order and quantity-break rules. The customer portal includes shop branding and payment support.

This combination is most relevant when quoting is tied to customer self-service rather than an estimator’s desktop alone. Ask for a role-based demonstration: estimator, salesperson, customer and administrator. Check whether machine rates can vary by work center, whether a customer can submit a revision without creating a duplicate part, and how portal orders are held for engineering review.

Veriti: consistency and traceability

Veriti describes CNC quoting as converting a drawing and quantity into priced operations, hours, material, outside processing and margin. Its differentiator is repeatability: the same rules produce comparable prices and the inputs behind each quote are saved. That history is valuable when two estimators quote the same family of parts or when a customer asks why a revision changed the price.

During evaluation, inspect the audit trail rather than only the finished PDF. You want to see the source quantity, material price, operation assumptions, markup and revision date, plus a way to distinguish a deliberate override from a changed global rate.

QuotedPart: straightforward shop-rate review

QuotedPart is positioned for CNC and sheet-metal job shops. It says users can estimate with their own shop rates and review material, setup and machining costs before sending a quote. The stated 14-day free period includes every feature and does not require a card, but verify that trial duration and export limits remain current.

Use the trial to rebuild several quotes you already won and lost. Compare not only the final selling price but also the time spent correcting operations, adding outside processes and preparing the customer document. A fast trial quote that cannot preserve your assumptions is less useful than a slower quote with a reliable audit trail.

MetronQ and other CNC candidates

MetronQ describes automatic milling and turning quoting with feature recognition for holes, threads and pockets and machining-time estimates based on machine and rate data. PartPilot, Quotara and similar products also appeared as CNC candidates, but public information is insufficient here to rank them on security, geography, integrations or price. Treat them as discovery leads and require the same representative-file demonstration you give every vendor.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Paperless Parts: broader workflow, custom scope

Paperless Parts uses custom pricing rather than a public rate card. The comparison information indicates that price can vary with shop size, complexity, modules, integrations, onboarding and training. That model may fit a shop that needs a customer portal, workflow automation or connected systems more than a low monthly entry price. Request a written scope that separates subscription, implementation, training, integration and support costs.

Pricing and total cost

PriceFab has the lowest clearly published paid entry point among the products listed: $49 per month for Solo. Its Free tier allows three quotes per month, while Shop is $149 per month for up to five seats and Pro starts at $399 or more per month. Tempus Tools publishes fabrication tiers from $100 to $500 per month, with lower monthly equivalents for annual billing. Kostira’s open-beta page states free access, but beta availability and limits can change.

Custom-priced products require a total-cost view. Include implementation, data migration, training, support, integrations, portal payment fees, additional users, storage and the labor needed to maintain rate cards. For every vendor, ask for a quote based on one repeat part and one difficult part. Compare setup time, assumptions, revision effort, export quality and the cost of keeping the system accurate—not just the subscription.

A practical evaluation process

  1. Document your current method. List every input in a typical quote: material source and price, setup, cycle time, labor, machine rate, outside processing, inspection, freight, overhead, markup, minimum charge and quantity breaks.
  2. Prepare representative files. Include a routine repeat job, a difficult geometry or drawing, a revision, and a part requiring outside processing. Remove confidential data if the vendor cannot explain retention.
  3. Run the same jobs in each system. Record time to first draft, number of manual corrections, missing operations, rate changes and final export steps. Do not rely on a vendor’s advertised time reduction.
  4. Have production review the route. A lead machinist or fabricator should check setups, tooling assumptions, access, tolerances, finishing and realistic hours.
  5. Test revision and approval controls. Change material, quantity and one operation. Verify that the quote shows what changed and that an approved price cannot be overwritten casually.
  6. Check security and ownership. Ask where files and extracted metadata are stored, who can access them, how long they remain, how they are deleted and whether they are used to train models.
  7. Calculate total cost of ownership. Add seats, onboarding, integration, support, payment processing and the internal time required to maintain rates.
  8. Run a controlled pilot. Use a limited group and a defined set of parts. Keep your existing quoting method available until the new process produces consistent, reviewed results.

Common failure modes and fixes

The geometry estimate is too low

Automatic feature recognition may miss fixturing, tool changes, probing, deburring, inspection or a second setup. Add explicit operations, validate cycle-time assumptions against completed jobs and require production review for unusual parts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Material prices make old quotes unreliable

Assign an owner and review cadence for material and outside-processing rates. Record the effective date of each rate so an estimator can explain why a revision differs from an earlier quote.

Different estimators produce different margins

Centralize markup, overhead and minimum-order rules, then restrict who can change them. Preserve an override reason when a salesperson or owner deliberately departs from the standard rule.

Customers receive an unreviewed instant price

Use approval gates for new materials, unusual tolerances, low quantities, rush work and any job below a margin threshold. A portal should accelerate routine work, not bypass engineering judgment.

The system cannot fit existing operations

Before signing, map one quote through order entry, scheduling, purchasing, production and invoicing. If the tool exports only a polished PDF but leaves values to be retyped, include that labor in the business case or select a platform with the needed integration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do you need a full ERP?

You likely need estimating software first when the main pain is slow, inconsistent quotes and your existing systems already handle orders, purchasing and production. A quoting tool can standardize rates and produce reviewable customer documents without replacing shop management.

Consider an ERP or a broader manufacturing platform when quoting must create jobs, reserve material, trigger purchasing, schedule machines, track actual-versus-estimated hours and invoice without re-entry. Ask whether the quoting product has a supported integration or export that preserves part number, revision, operations, quantities and approved price. Buying an ERP solely to fix a spreadsheet quoting problem can add implementation risk; buying a standalone estimator without a handoff plan simply moves the retyping.

Decision guide

  • Choose Tempus Tools when laser or fabrication quoting and customer self-service are the center of your business.
  • Choose PriceFab when you need an affordable, drawing-oriented workflow with editable line items and a small number of seats.
  • Choose Kostira when CNC estimates begin with STEP files and you want shop-owned rates plus PDF and XLSX cost breakdowns.
  • Evaluate HawkQMS when a two- to 50-machine CNC shop needs multiple file formats, configurable rules and a branded customer portal.
  • Evaluate Veriti when consistency, saved assumptions and traceability matter more than a public price.
  • Test QuotedPart when you want a short, no-card trial to validate shop-rate and cost-review workflows.
  • Investigate MetronQ for feature-recognition-assisted milling and turning estimates, subject to a hands-on file test.
  • Request a scoped proposal from Paperless Parts when integrations, portals and workflow breadth justify custom pricing.

Questions to ask before signing

  • Which file formats and units are supported, and what happens when a file is incomplete or revised?
  • Can our estimator edit every operation, hour, rate, markup and outside-process charge?
  • Is each override recorded with a user, timestamp and reason?
  • Can we maintain separate rates by machine, material supplier, customer or currency?
  • What approval gates prevent an automatic price from reaching a customer?
  • Can the quote export include internal cost detail separately from the customer-facing price?
  • How are drawings, geometry and extracted metadata stored, retained and deleted?
  • What are the limits on seats, quotes, storage, portal orders, API calls and exports?
  • What onboarding, training, support and integration fees are separate from the subscription?

Frequently Asked Questions

Can these tools quote directly from STEP files?

Kostira explicitly emphasizes STEP geometry. HawkQMS lists STEP among its supported inputs. Other products may begin with drawings or manually entered job descriptions, so confirm behavior with your own files before buying.

Is automated quoting accurate enough to send prices without review?

No product should be assumed to replace estimator judgment. Geometry tools can miss setups, tooling, inspection, finishing, outside processing or unusual tolerances. Use approval rules and have production review representative estimates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What is the least expensive paid option listed?

PriceFab publishes a Solo plan at $49 per month. Its Free tier allows three quotes per month. Confirm current limits and terms before relying on those figures.

How should a two- to 50-machine CNC shop compare vendors?

Test file support, machine-specific rates, operation editing, quantity breaks, audit history, customer-portal controls and integration handoffs using one repeat part and one difficult part. HawkQMS is explicitly aimed at this shop-size range, while Kostira and Veriti address different workflow priorities.

What should I do if my shop rates change frequently?

Assign an owner for material, labor, machine and outside-processing rates, record effective dates, and verify that the software preserves the assumptions used for each historical quote.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
