Provider pages and comparison articles describe different plans and inclusions, which explains why a single service can have more than one quoted figure. Before comparing totals, request a quote for the same number of users, billing term, countries, phone numbers, and required features.
How do the leading services differ?
Zoom Phone: a natural shortlist choice for existing Zoom teams
Kurums’ 2026 comparison names Zoom Phone its top pick and points to low entry pricing, call quality, and AI Companion summaries and transcription. Its appeal is strongest when a business already uses Zoom and wants calling to fit into that environment. Confirm the available plan features and regional pricing directly; the comparison’s estimate does not establish which tier includes every feature your team needs.

RingCentral RingEX: broad communications and integrations
RingCentral describes RingEX as combining voice, video, messaging, SMS, and fax, with native AI and integrations. The company says it offers a 99.999% uptime SLA and more than 500 native integrations; these are RingCentral’s claims, not a like-for-like independent benchmark. TechRadar also describes capabilities including call logging, monitoring and recording, online fax, HD voice, collaboration, contact-center routing, analytics, and integrations. Check which capabilities are included in the specific tier under consideration.
Nextiva: voice plus customer-experience tools
Nextiva describes a service that includes voice, SMS, video meetings, team messaging, integrations, and customer-experience tools. Its product page lists Outlook, Google Workspace, Salesforce, and Microsoft Teams integrations, and advertises 24/7 support and a 99.999% uptime figure. Those support and uptime figures are company claims. Nextiva also advertises “up to 60%” savings versus analog service; that claim is not a guaranteed saving for an individual business. Compare a written quote against your existing phone bill and verify support coverage for your plan.

8×8: investigate for international calling
Kurums identifies 8×8 as a candidate for international calling, describing unlimited calling to many countries on higher tiers. “Many countries” does not establish that your destinations are included or that the feature is available on the plan you are quoted. TechRadar describes features across 8×8 Express and X Series that include caller ID, forwarding, queues, ring groups, auto-attendant, team messaging, voicemail and transcription, plus Microsoft 365 and Google Workspace integrations. Confirm the included countries, fair-use terms, and tier before committing.
Dialpad: AI-first calling features
Kurums positions Dialpad for AI-assisted calling, including real-time transcription, sentiment analysis, and call summaries. Verify the plan limits and which AI features are included for your users; an entry tier or regional plan may not match the feature set that prompted your interest.

Ooma Office: a simpler small-office option
Kurums presents Ooma Office as a relatively affordable option for low-complexity small-business calling, and TechRadar describes it as an internet-based service aimed at small businesses, noting setup and value. If you plan to use physical phones, verify the exact handset and configuration against Ooma’s supported hardware information before buying.
Microsoft Teams Phone and GoTo Connect: stack-dependent alternatives
TechRadar describes Microsoft Teams Phone as a fit for businesses already using Teams, with Microsoft 365 integration and calling from Windows, iOS, and Android. GoTo Connect is described as offering more than 100 calling, collaboration, and mobile features alongside video conferencing. In either case, assess how the phone service fits your existing collaboration tools and whether its calling features satisfy your requirements; the cited comparison does not provide a comparable price figure for either option.

How much should a business phone system cost?
Use per-user prices as a first filter, not as a final budget. The actual bill can depend on billing term, seat count, taxes, promotions, and add-ons. Higher-tier AI, analytics, contact-center, and international features can make an entry price a poor guide to the package you need. Ask vendors to itemize recurring charges and one-time costs, including any hardware or migration charges that apply to your deployment.
Compare quotes on the same assumptions: user count, locations, local and international destinations, included numbers, required call-flow features, integrations, recording or transcription needs, support level, and contract length. If you need queues or advanced routing, price the tier that includes those functions rather than assuming they come with the lowest advertised plan. Google Voice’s $10 starting figure in Nextiva’s comparison is likewise not evidence that it includes the same capabilities as another provider’s higher-priced tier.

What should you check before choosing a provider?
Start with the way your business handles calls, then verify operational requirements with each provider. A feature name alone does not tell you whether the function is included, restricted, or suitable for your workflow.
- Call handling: Check auto-attendant or IVR, ring groups, call queues, forwarding, voicemail, recording, and transcription against the actual plan.
- Calling footprint: Confirm number availability and porting for your locations, coverage in the regions where staff work, and the countries and calling terms included in international plans.
- Apps and integrations: Test the CRM, Microsoft 365, Google Workspace, or other tools your team relies on, including what call data is logged and where.
- Devices: Confirm whether staff can use mobile and desktop apps, desk phones, or a mix, and check supported devices before purchasing hardware.
- Reliability and support: Read the SLA and support terms for the exact service and plan. A provider’s uptime claim is not a substitute for comparing definitions, exclusions, and remedies.
- Security and compliance: Ask whether the service meets the obligations relevant to your business and jurisdiction, and verify the details in the provider’s documentation.
- Contract and migration: Clarify contract length, cancellation terms, number-porting process, implementation responsibilities, and any hardware costs.
There is no common independent benchmark in the cited material for uptime, call quality, or total cost across these providers. Treat vendor claims and editorial price estimates as starting points for verification, not as a controlled head-to-head result.
Can you use a desk phone with a cloud phone service?
Yes. A business VoIP or SIP desk phone can be a physical companion to a cloud service, but compatibility is not universal. Nextiva documents desk-phone use and certified VoIP hardware, while TechRadar discusses compatibility with existing PBX phone hardware. Neither point establishes that every handset works with every provider or plan.
Before ordering a phone, check the provider’s supported-device list for the precise model and hardware revision, and ask whether it can be provisioned for your account. Also confirm its power requirements, region compatibility, and any configuration or licensing needs. Do not assume that a phone advertised as SIP-compatible is certified or supported by a particular service.
