There is no single best backup product for every nonprofit. The right choice depends on where your data lives, what you need to restore first, how quickly you need it back, and who will manage and test the backups. A practical plan covers staff computers and the cloud services your organization uses, keeps an independent or offline copy, and proves through restore tests that the data can be recovered.
What should a nonprofit back up first?
Begin with an inventory of important information and the systems it depends on. Potential entries include donor and beneficiary records, finance and payroll, email, shared documents, program databases, staff computers, and on-premises systems. These are prompts for your inventory, not a checklist every nonprofit must use.

For each dataset, record its system of record, responsible owner, sensitivity, retention obligations, dependencies, acceptable data-loss window, and acceptable time to restore. CISA recommends identifying critical data and interdependencies so recovery can be prioritized, and keeping asset documentation secure. The organization must set its own recovery objectives; there is no universal target for every nonprofit. See the CISA StopRansomware Guide.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsUse the inventory to decide what must be restored first and which backup method fits each location. A cloud-to-cloud service may protect collaboration data; a computer backup tool or external drive may cover files stored on staff devices; an export or archive process may support portability or compliance needs.

Is cloud storage or sync the same as backup?
No. Cloud storage, synchronization, retention features, and a one-time export can help with access or recovery in particular situations, but they do not by themselves establish a complete, independent backup plan. A backup plan needs defined coverage, retention, access controls, and a workable restore process.
Cloud providers also do not remove the organization’s responsibility for its data. Microsoft describes cloud security as an operational partnership and assigns customers responsibility for their data, configurations, and identities in the service models it lists. Availability and security controls are not the same as an organization-specific recovery plan. Read Microsoft’s security overview for nonprofits.
For cloud data, consider whether a separate backup account, provider, or offline copy could reduce the risk of losing access through a single account or provider. CISA recommends frequent backups and advises considering multi-cloud for cloud-to-cloud backups where one vendor account could be affected. An extra copy is useful only if it is sufficiently isolated and can actually be restored.

Which backup approach fits each kind of data?
Microsoft 365
Microsoft 365 Backup is one option to evaluate for Microsoft 365 content. Microsoft lists its price at $0.15 per GB per month on its pricing page checked October 7, 2026. The protected-content calculation includes live SharePoint, OneDrive, and mailbox data as well as specified deleted and versioned content in recycle bins or mailboxes. Consequently, billable volume may exceed the size of files users see in active locations. Microsoft’s pricing example discusses a 365-day recovery window; confirm the current price and configuration before budgeting. Details are on Microsoft 365 Backup pricing.
Microsoft’s directory lists Veeam Data Cloud, Rubrik Data Protection, and AvePoint Cloud Backup Express as preferred solutions built on the Microsoft 365 Backup Storage platform. Microsoft says this designation is not an endorsement or technical certification. Treat the names as possible shortlist entries, not proven winners; compare supported workloads, storage boundaries, retention, restore choices, administration, and quoted cost. See Microsoft 365 Backup Storage.
Google Workspace
Google says eligible organizations can get Google Workspace for Nonprofits at no charge. Its nonprofit edition page lists shared drives and 100 TB of storage shared across users. These are collaboration-plan details, not evidence of an independent backup service, and availability or edition details may vary by country. Check Google for Nonprofits Help.

Shared-drive files are owned by the organization rather than an individual creator, and remain when that person leaves. Keeping team-owned records in shared drives where appropriate can improve continuity, but ownership does not create an independent backup. Google explains this in its shared-drive guidance.
Google’s organization-wide Data Export tool creates an export to Google Cloud Storage; it is an export workflow, not continuous point-in-time recovery. Google says an export to a Google-provided bucket is automatically deleted 60 days from the beginning of the export. For longer retention, an organization can choose its own Cloud Storage bucket. The export is available no earlier than 48 hours after initiation; Google says processing typically takes 72 hours and can take up to 14 days depending on size. Confirm exact data coverage and process requirements before relying on it. See Google’s Data Export instructions.
Staff computers and locally stored files
Files saved only on a staff computer need a backup path separate from cloud collaboration backups. CISA recommends frequent backups of device data to an external hard drive or a properly vetted cloud service. If you use an external drive, store it safely and disconnect it when it is not actively backing up; a permanently connected drive can be exposed to ransomware that deletes or corrupts copies. Guidance is available from CISA’s device-data guidance.

An external hard drive is a scoped option for local files, not an automatic solution for SaaS data. Choose capacity and configuration based on actual device data and backup needs; the cited guidance does not establish a particular brand, model, or size.

Compare candidates against the organization’s inventory rather than a generic “best overall” label. Record answers for these dimensions before committing:

- Coverage: Which exact services, accounts, devices, shared drives, mailboxes, databases, and metadata are protected? If relevant, verify Teams, SharePoint, OneDrive, Exchange, Google Drive, Gmail, and calendar coverage rather than assuming it.
- Recovery: Can an administrator restore a whole account, an individual file or email, permissions, and previous versions? Ask how the provider handles the volume the nonprofit may need to recover.
- Retention and deletion: How long are recovery points kept? What happens when an employee leaves, a license expires, a subscription is canceled, or a retention period ends?
- Isolation and security: Is a copy offline, immutable, separately administered, or otherwise isolated? Review encryption, access controls, audit logs, and data-residency options.
- Operations: Who receives failure alerts, checks backup jobs, controls administrator credentials, and performs restore drills? Account for required staff time or managed-provider support.
- Cost: Include storage, per-user or per-workload charges, restore or egress fees, required licenses, and expected data growth. Verify nonprofit eligibility and current offers with the provider.
- Portability and concentration: Could the organization recover data if its identity provider, cloud account, or backup vendor were inaccessible? Would another provider or an offline copy reduce a meaningful dependency?
Microsoft also advertises a free security assessment and discounted security-portfolio offers for eligible nonprofits. These may help with broader security posture, but they are not backup coverage or substitutes for backups; check Microsoft’s nonprofit security page for current offers and eligibility.

How do you know the backups will work?
A successful backup-job report does not prove that the organization can recover useful data. Assign someone to restore representative files and document the steps, permissions needed, and any dependencies. Include the recovery of data that matters to actual operations, not just a convenient test file. CISA recommends frequent backups; the cited sources do not establish a universal testing schedule or retention period, so set a practical cadence based on the organization’s risks and recovery needs.
Keep administrator credentials and backup documentation accessible to authorized people even if the usual administrator is unavailable, while securing that information against unauthorized access. Revisit the plan when systems, staff responsibilities, or data priorities change.
How can a nonprofit choose without a universal winner?
Match each important dataset to a backup method, then choose the service or combination of services that meets the organization’s coverage, recovery, isolation, operations, and cost requirements. A small nonprofit using Google Workspace and staff laptops has different needs from an organization with Microsoft 365, program databases, and on-premises systems. Verify current pricing, nonprofit eligibility, supported workloads, contract terms, data residency, and recovery procedures before purchase. The cited sources establish decision criteria and platform facts, not an independent head-to-head test or a recommendation tailored to every nonprofit’s jurisdiction, budget, staffing, or recovery objectives.
