Best alternatives to paid cloud storage for photos and documents: a practical 2026 guide

The best replacement for a paid cloud plan is usually a combination, not one service: keep a small free cloud library for files you need everywhere, maintain a second copy on an external drive, or run a network-attached storage (NAS) system if you accept hardware and maintenance. Privacy-focused cloud storage is another option when provider access and encryption matter more than free capacity.

No free service simultaneously delivers large capacity, automatic phone backup, effortless sharing, document editing and the low-maintenance resilience of a paid account. Choose the compromise that fits your priority—lower recurring cost, privacy, control or less work—then test that you can restore your files before deleting the originals.

Why replacing paid storage is harder than replacing a photo gallery

Photos and documents have different needs. A phone library benefits from automatic upload, search and sharing. Documents need dependable synchronization, version awareness, editing and export. A service that handles one well may be awkward for the other.

Cloud synchronization is also not the same as backup. A synced deletion, compromised account or lost device can propagate a problem. Every setup in this guide should have a second copy that you can restore independently.

Many people search for an alternative to Google Photos when the underlying problem is broader: a recurring charge for both photos and documents. The options below address both file types where the product supports them.

Compare the four practical routes

Route Best for Photos and documents Main costs Main trade-off
Free cloud allowance Small active collection and basic access on several devices Usually both, but quotas may be shared with email and other files No new subscription; you spend existing account capacity Limited space and provider-account dependence
Privacy-oriented cloud People prioritizing encryption and provider access controls Both, with editing and sharing depending on the service Free tier is small; larger plans cost monthly Less free capacity and possible differences in apps or sharing
External USB drive A straightforward local copy without another cloud bill Both, in ordinary folders and file formats One-time drive purchase and replacement over time You must connect, protect and periodically update it
NAS with photo software Households needing a larger, self-hosted library Both; photo software adds galleries while the NAS stores documents NAS, drives, electricity, administration and a separate backup Setup and maintenance remain your responsibility

Compare candidates on usable capacity after your existing account use, total cost over time, end-to-end encryption and key recovery, automatic phone upload, desktop and mobile support, document editing, sharing, exportability and maintenance. For a NAS, add drive capacity, redundancy, network and energy requirements, remote-access security, software support and the price of an off-site backup.

Option 1: use a free cloud allowance strategically

Understand the shared quota

Google states that each account includes up to 15 GB, shared across Gmail, Google Drive and Google Photos. Its wording is explicit: “Each Google Account comes with up to 15 GB of storage.” The allowance is therefore not 15 GB reserved for photographs. Existing mail attachments, Drive files and photo originals all reduce the same available space. See Google Photos Help for the current policy.

Before moving anything, check the storage dashboard and subtract mail, documents and device backups. A collection that appears to fit on paper may fail after normal account use. This route works best for a small, active set: recent phone pictures, passports or receipts you need while travelling, and a limited set of working documents.

Know the account-status risk

Google says Photos content may be deleted after two or more years of inactivity, or after two years over the storage quota. In the inactivity case, it says it provides at least three months’ notice. Check account activity and quota status rather than treating a free account as a permanent archive. Export the library before closing an account or allowing it to remain over quota.

Make a free tier useful

  • Keep only current, high-value material in the free account.
  • Move finished projects and older originals to a local drive or another location.
  • Store documents in ordinary, downloadable formats so they are easy to export.
  • Review the quota monthly; a full mailbox can consume the space you expected to use for photos.

Option 2: choose a privacy-oriented cloud for a small library

What the free Proton Drive tier includes

Proton Drive lists 5 GB free for photos and documents, end-to-end encryption, and online document and spreadsheet editing on its pricing page: Proton Drive plans. Five gigabytes is enough for a modest document archive or a carefully selected photo collection, not an unlimited camera roll. Encryption can reduce provider access to file contents, but you still need a recovery method for your account credentials and any encryption keys the service requires.

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable

Proton says automatic photo backup is available on iPhone and iPad and identifies apps for Android and Windows as well as Apple platforms. Those are vendor statements, not independent performance measurements; confirm that your exact phone, background-upload permissions and sharing workflow work before making it your only copy. Details are described in Proton’s iCloud alternative information.

Paid capacity, if a small upgrade is enough

The pricing page reviewed lists 200 GB for $4.99 per month and 500 GB with bundled services for $12.99 per month. Prices, currency, taxes, bundles and availability can vary by market and can change, so verify the current page before subscribing. If the free 5 GB tier is too small, calculate the cost over several years and compare it with a drive plus replacement and backup costs.

Check the practical limits before moving

  • Test automatic upload while the phone is locked and on mobile data or Wi-Fi, according to your preference.
  • Open a document in the web editor, download it, and verify that formatting survives export.
  • Invite a second person to a test folder and confirm whether their access is view-only or editable.
  • Read the account-recovery terms. Strong encryption is useful only if you can regain access when a phone or password is lost.

Option 3: keep an external USB drive as a local copy

Why a drive is attractive

A USB external hard drive is a simple destination for a photo and document copy. It avoids a second monthly bill, works with ordinary folders and file formats, and can be disconnected when not in use. A 2026 TechRadar backup guide lists high-capacity USB external drives and NAS devices among physical backup routes; it is an editorial guide, not a controlled product test. See the guide for context.

Why one drive is not a disaster plan

One drive is one copy. It can fail, be stolen, be encrypted by malware while connected, or be destroyed with the computer and home. Offline storage is not automatically secure. Keep the drive disconnected except during backup, protect it from moisture and heat, and maintain another copy in a different location or service.

A repeatable drive workflow

  1. Create separate top-level folders such as Photos, Documents and Exports; do not mix temporary phone caches with originals.
  2. Copy the source library rather than moving it. Keep the original device or cloud account untouched until verification is complete.
  3. Compare file counts and representative file sizes. Open photographs, videos, PDFs and office files directly from the drive.
  4. Record the backup date in a text file on the drive and on your calendar.
  5. Disconnect and store the drive somewhere physically separate from the computer. Update it on a schedule that matches how quickly your library changes.

If you encrypt the drive, document the recovery process in a secure password manager or another protected location. An encrypted drive whose key exists nowhere else is an inaccessible archive.

Option 4: build a NAS photo and document library

What a NAS changes

A NAS is a small computer with one or more drives on your home network. It can provide shared folders for documents and run photo-management software. Synology offers Synology Photos for its NAS platform; see Synology Photos. The software can make a household library feel more like a cloud gallery while the files remain under your administration.

  • Easily store and access 1TB to content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop. Reformatting may be required for Mac
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Costs and responsibilities

A NAS is not free storage. Budget for the enclosure, drives, electricity, networking, drive replacement and a second backup destination. Redundancy inside the NAS can keep the system running after one drive fails, but it is not a substitute for a separate backup: fire, theft, accidental deletion and ransomware can affect every drive in the box.

You also become the administrator. Updates, user accounts, remote access, notifications, disk health and restore testing are your tasks. Exposing a NAS directly to the internet increases risk; use the vendor’s supported secure-access method, strong unique passwords and multi-factor authentication where available.

When a NAS is justified

  • You have several household users and a library larger than free cloud quotas.
  • You want local control and are comfortable maintaining hardware and software.
  • You can fund a second, off-site copy for irreplaceable files.
  • You need folders and large originals more than a zero-maintenance service.

Choose another route if you do not want to monitor disks, apply updates or troubleshoot network access. The convenience of self-hosting appears only after the initial work is complete.

What about Apple’s built-in cloud protection?

Apple’s Advanced Data Protection is an optional setting that extends end-to-end encryption to additional iCloud data, including iCloud Drive and Photos. It does not mean every iCloud category is end-to-end encrypted by default; protection differs by data type. Enable it only after reading Apple’s recovery requirements and confirming that your trusted devices and recovery contact or key are current. Treat it as a security setting within Apple’s ecosystem, not proof that any cloud library is independently backed up.

Choose by priority, not by a universal ranking

Your priority Most suitable starting point What to add
Spend nothing and access a small set everywhere Use the free allowance you already have An external drive for older originals
Provider privacy and encrypted storage Use the 5 GB privacy-oriented tier for selected files A local export and a second recovery location
No recurring cloud bill External USB drive A second drive stored elsewhere or a limited cloud copy
Large household library with local control NAS with photo software Off-site backup, monitoring and documented recovery
Minimal maintenance A modest cloud tier, even if paid Periodic local export so the provider is not the only copy

Estimate capacity from your current library, not from the headline quota. Include videos, scanned documents, duplicate exports and future growth. Then compare the three-year total: subscriptions, drives, replacement cycles, electricity and your time.

Migration plan: move photos and documents without losing originals

1. Inventory before changing anything

List every source: phone, computer, memory card, existing cloud account, messaging-app exports and old drives. Separate originals from edited copies and identify document formats that need special software. Record the current total size and the number of files.

Seagate Portable 4TB External Hard Drive HDD – USB 3.0, 1-Year Rescue | Everyday HDD storage. Plug-and-play backup. Windows & macOS. Adobe CC trial included. 1-Year Warranty
  • Easily store and access 4TB of content on the go with the Seagate Portable Drive, a USB external hard drive.Specific uses: Personal

  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

2. Decide what must be available everywhere

Put travel documents, current work, contacts and recent photos in the active location. Put historical material in the local archive. This division keeps a limited free quota useful without pretending it can hold your entire lifetime library.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Export first

Download an independent copy before cancelling a plan, deleting files or changing account settings. Google’s inactivity and over-quota policies make this especially important for Photos users. Preserve original dates and metadata where the export tool offers that choice, and keep the export untouched until the destination is verified.

4. Configure uploads and document sync

Turn on automatic phone upload only after selecting the destination folder and Wi-Fi or cellular behavior. For documents, decide whether you need two-way synchronization or a one-way archive. Two-way sync is convenient but can replicate deletions; an archive workflow is slower and safer for finished material.

5. Verify a real restore

On a different device, download several photos at full resolution, open a PDF and an editable document, and restore a folder from the external drive or NAS. Check filenames, dates, permissions and sharing links. A backup is not proven until a restore works.

6. Set maintenance reminders

Review cloud quota and account activity monthly. Connect and update a local drive on a calendar. For a NAS, review drive-health alerts, install updates, test remote access only when needed and perform a documented restore at least occasionally. Replace any destination that cannot produce a readable file.

Common failure modes and fixes

The free account fills unexpectedly

Inspect Gmail attachments, Drive files and duplicate photo uploads because they share the quota in Google’s case. Delete only after exporting, then move older originals to the local archive.

Phone photos stop uploading

Check background permissions, battery-saving restrictions, network settings and account capacity. Test with a new photo while the app is open, then confirm that the full-resolution file appears on another device.

Documents look different after export

Open the downloaded file in the application you actually use. If layout or formulas change, keep an editable local copy in the original format and use the cloud editor for collaboration rather than as the sole archive.

A NAS is unreachable

Start on the home network, check power and disk-health alerts, and confirm the user account. Do not expose management ports casually. If the system remains unavailable, use the separate backup destination instead of treating the NAS as the only recovery path.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You cannot recover an encrypted account or drive

Follow the provider’s recovery procedure or your documented drive-key plan. If no recovery method exists, encryption has protected the data from everyone—including you. Store recovery information separately from the device it unlocks.

Bottom line

For most people, the dependable low-cost answer is a layered setup: a free or privacy-oriented cloud tier for the small set you actively use, plus an external drive containing the full library. Choose a NAS when you genuinely want to operate storage hardware and can fund an off-site backup. Whichever route you select, export before leaving a provider and prove that you can restore a photo and a document before deleting the originals.
