Both are designed to connect multiple business systems and enforce the source system’s permissions. Dropbox Dash fits organizations centered on Dropbox and nearby SaaS tools. Gemini Enterprise is worth considering when Google Cloud is strategic and the requirement is natural-language search or actions over SharePoint Online. The right choice depends less on the chat interface than on connector coverage, permission synchronization, document parsing, freshness, governance and the results of a proof of concept using real access controls.

| Product | Best fit | What the published material establishes | Important qualification |
|---|---|---|---|
| Glean | A neutral search layer spanning many SaaS and Microsoft sources | Its connector hub lists systems including Asana, Box, Confluence, Dropbox, GitHub, Google Drive, Microsoft 365, OneDrive, Outlook, Salesforce, SharePoint, Slack and Teams. Glean says source permissions are fetched and enforced so users see only content they are already allowed to access. | The “275+ native and MCP-based connectors” figure is a vendor claim; verify the current count, connector maturity and the systems you actually use. |
| Coveo | Organizations that need broad connectors plus detailed relevance and content-security controls | Its directory lists native sources such as Box Business, Dropbox Business, Google Drive, Jira Software and SharePoint Server. Its documentation also covers SharePoint Online indexing for SharePoint and OneDrive content. | Compare connector depth, permission synchronization and the implementation effort needed to tune relevance. |
| Dropbox Dash for Business | Dropbox-centered teams wanting one search box across adjacent workplace tools | Dropbox describes Dash as AI-powered universal search and says it integrates with tools including Google Drive, OneDrive and Notion, with advanced content-access control. | Confirm current integrations, identity options, administrative controls and coverage for repositories outside the Dropbox ecosystem. |
| Gemini Enterprise with the SharePoint Online data store | Organizations investing in Google Cloud AI that need natural-language search or actions over SharePoint Online | Google Cloud documents search and actions over SharePoint Online documents, lists and sites. Federated results are based on the signed-in user’s permissions, and Microsoft Graph and SharePoint permission scopes are documented. | Federated mode has file-type and attachment limitations and can parse complex PDFs, OCR and multi-column layouts less reliably; Google recommends standard ingestion for those documents. |
For a genuinely mixed environment—Slack, Google Drive, Dropbox, Microsoft 365, CRM and project systems—start with Glean and Coveo. If most governed content lives in Dropbox, evaluate Dash alongside them. If SharePoint Online is the target corpus and Google Cloud is already your AI platform, test Gemini Enterprise in both federated and ingestion modes.

Why replacing the storage system is usually the wrong first move
OneDrive and SharePoint are repositories and collaboration platforms. Enterprise search is a layer that helps people find and use information wherever it resides. Replacing storage just to obtain AI answers can create a migration, retention and permissions project before you have proved that search is the bottleneck.

A search layer must solve five separate problems:
- Discovery: finding relevant content across repositories with different metadata, naming conventions and APIs.
- Authorization: carrying source access-control lists into the index and enforcing them when a result or generated answer is shown.
- Freshness: reflecting a new document, edit, deletion or permission change quickly enough for the business process.
- Understanding: extracting text, tables, images, OCR, attachments and multilingual content rather than treating every file as plain text.
- Answering: grounding a response in retrieved passages, showing citations or links, and preventing an assistant from crossing a user’s access boundary.
An attractive chat window cannot compensate for missing connectors, stale ACLs or an index that cannot read the documents employees actually use.
Glean: broad cross-application coverage with inherited permissions
Where it fits
Glean is the clearest candidate when employees need one search experience over many business applications. Its official connector hub names Asana, Box, Confluence, Dropbox, GitHub, Google Drive, Microsoft 365, OneDrive, Outlook, Salesforce, SharePoint, Slack, Teams and other systems. That breadth can reduce the need to build separate search experiences for each department.
Permission behavior
Glean’s product documentation states: “All data permissions are inherited and strictly enforced, so users only see what they’re allowed to.” Its connector documentation says connectors bring content into Glean and fetch and enforce source permissions. Treat this as a design claim to verify in your own tenant: test direct permissions, group membership, nested groups, inherited folders, revoked access and deleted accounts.

Glean describes “275+ native and MCP-based connectors.” This is a current vendor claim rather than an independent benchmark, and the number alone does not tell you whether a connector supports every object type, historical content, comments, attachments, incremental updates or source-specific ACLs. Ask for a capability matrix for your exact repositories and API editions.

Questions to ask during evaluation
- How quickly do edits, deletions and permission changes propagate for each source?
- Which Slack channels, Teams chats, comments, attachments and shared-drive objects are indexed?
- Can administrators inspect failed crawls, skipped files, ACL mismatches and stale documents?
- What controls govern answer grounding, citations, retention, residency and model use?
Coveo: connector breadth with relevance and security tuning
Where it fits
Coveo is a strong option when search quality must be tuned for different audiences, catalogs or knowledge domains. Its connector directory lists native sources including Box Business, Dropbox Business, Google Drive, Jira Software and SharePoint Server. Separate implementation documentation describes connecting SharePoint Online so SharePoint and OneDrive content can be indexed with other sources.
Permission and relevance work
Coveo’s implementation material emphasizes content-security and relevance-tuning controls. Those controls are useful when a single global ranking is not enough—for example, when support agents need current procedures prioritized while engineers need design history. They also mean more implementation responsibility. Compare the skills, administration time and monitoring required to map identities, synchronize ACLs, configure pipelines and tune ranking.
Connector depth matters more than a checklist
Confirm whether a listed connector supports the records your users search. A SharePoint connection may differ in support for sites, lists, pages, document libraries, versions, attachments and custom fields. A Google Drive connection may treat shared drives and shortcuts differently from personal files. Require a written object-level inventory and test it with representative content.
Dropbox Dash for Business: a Dropbox-centered universal search
Where it fits
Dropbox positions Dash as “AI-powered universal search — one search box for all your content, no matter what it is or where it’s stored.” Its business announcement names integrations with Google Drive, OneDrive and Notion and describes advanced content access control. This makes Dash a sensible candidate for teams whose working set is primarily Dropbox plus a limited set of adjacent SaaS tools.

What to validate
Do not infer that a universal-search message means every enterprise system has equal coverage. Verify the current integration list, supported object types, indexing schedule, identity provider support, audit events, retention behavior and administrative delegation. Test whether a user sees the same result set they would receive in Dropbox, Google Drive or another connected system after a share is removed.
When it may not be enough
If the organization needs deep coverage across many business applications, complex relevance controls or a large number of custom sources, compare Dash with a neutral enterprise-search platform. Keep Dash in the shortlist when Dropbox governance and user adoption are the primary constraints.
Gemini Enterprise with SharePoint Online
What it provides
Google Cloud documentation updated October 8, 2026 says the Microsoft SharePoint data store for Gemini Enterprise lets users search and perform actions on SharePoint Online documents, lists and sites. It documents Microsoft Graph and SharePoint permission scopes. In federated mode, results are based on the signed-in user’s permissions.

Federated mode versus standard ingestion
Federated search retrieves from SharePoint at query time. It can reduce duplicate storage and can reflect source changes directly, but the response depends on the live connector, API limits and the source’s searchable representation. Google documents no attachment search in federated mode and variable coverage for some file types.

Standard ingestion copies or processes content into the search system. It can provide more complete parsing and richer ranking, but introduces indexing delay, storage and processing cost, deletion workflows and another place where permissions must be synchronized. Google recommends standard ingestion for complex PDFs, OCR-heavy material and multi-column layouts because federated parsing quality can be reduced for those documents.
Permission testing is mandatory
A signed-in user’s permission-aware result is not proof that every workflow is safe. Test a user with access to a single site, a user with inherited library access, a user whose access was recently revoked and a guest or external account. Also test actions, not just search: an assistant that can summarize content must not expose text from a document the user cannot open.
How to compare these products fairly
| Evaluation axis | What to measure | Evidence to request |
|---|---|---|
| Repository coverage | Native systems, object types, custom-connector requirements and API limits | Connector capability matrix; successful and failed object counts from a pilot crawl |
| Permission fidelity | ACL inheritance, group expansion, revocation speed and query-time enforcement | Access-control test script, audit logs and results before and after permission changes |
| Search mode | Federated freshness and completeness versus indexed-ingestion coverage and operating cost | Measured update latency, crawl schedule, skipped-file report and API-throttling behavior |
| AI behavior | Answer accuracy, citations, abstention, actions and grounding controls | Answers to a fixed question set with source links, confidence or abstention behavior recorded |
| Document handling | PDFs, OCR, tables, images, attachments, versions and languages | Pass/fail results on a corpus of real, difficult files |
| Administration | Identity mapping, monitoring, auditability, residency, retention and delegated administration | Configuration walkthrough, event exports and incident-response procedures |
| Economics | Seats, connector or ingestion charges, implementation, support and ongoing tuning | Written quote and a three-year cost model based on actual users, sources and volume |
Federated search or indexed ingestion?
Choose federated retrieval when
- Source freshness is more important than a unified copy of the corpus.
- The source API can enforce permissions and return the required object types.
- Data-residency or duplication rules discourage storing another searchable representation.
- You can accept gaps such as attachment exclusion or limited file parsing.
Choose ingestion when
- Users need complete indexing of difficult PDFs, OCR, tables or multilingual files.
- You need a common ranking model and cross-source answer grounding.
- Search must remain useful when a source API is slow or temporarily unavailable.
- The organization can operate deletion, retention, encryption and ACL synchronization processes.
Many deployments use a hybrid: federate sources that require near-real-time access and ingest sources whose content needs heavier parsing. Document the policy per repository instead of treating the deployment mode as a single global setting.
How to preserve SharePoint permissions while adding AI answers
- Inventory identities and groups. Export the users, security groups, Microsoft 365 groups, guests and service accounts that grant access to the target sites and libraries. Record nested-group behavior and external sharing.
- Choose the access path. For Gemini Enterprise, decide whether each corpus uses federated retrieval or standard ingestion. For another search layer, confirm whether the connector fetches ACLs, maps identities and enforces them at query time.
- Start with a non-sensitive pilot. Include at least one site with inheritance, one library with unique permissions, a restricted folder and a recently deleted document. Do not begin with a flat, universally readable library.
- Build a permission test matrix. Use named test accounts representing ordinary users, managers, contractors, guests and recently deprovisioned employees. Record expected visibility for every document and answer.
- Test change propagation. Grant access, revoke access, move a file, rename a library and delete a document. Measure the time until search results and generated answers reflect each change.
- Inspect citations and actions. Ensure every citation opens only when the user has source permission. Attempt an action on a restricted item and verify that the system refuses rather than paraphrasing hidden content.
- Define operational ownership. Assign teams to monitor connector failures, stale ACLs, API throttling, indexing queues, identity mismatches and incident response.
A practical proof-of-concept plan
1. Select a representative corpus
Use real documents from the highest-value workflows, not a clean demo folder. Include current and obsolete files, duplicate versions, scanned PDFs, tables, images, attachments, meeting notes and content in more than one language if those materials exist in production. Include repositories such as Slack, Google Drive, Dropbox, Microsoft 365, SharePoint, Teams, CRM and project systems only when they are part of the intended scope.
Best Value
2. Create a blind question set
Collect questions employees actually ask and label the expected answer, authoritative source, permitted audience and acceptable freshness. Include questions whose answer is “not found” or “the user is not authorized.” Score retrieval separately from answer writing so a fluent response cannot hide a missing source.
3. Run adversarial permission tests
Ask the same question as users with different access. Search for a document immediately after revocation, through a copied link, by a distinctive phrase and through an AI summary. Record every leak, stale result and incorrect citation as a release-blocking defect.
4. Measure freshness and completeness
Timestamp edits, moves, deletions and permission changes. Measure when each event becomes visible or disappears. Compare the source inventory with indexed objects and categorize skipped files by type, size, encryption, attachment status and parsing failure.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →5. Evaluate answer quality and controls
- Does the answer cite the authoritative passage?
- Does it distinguish conflicting or outdated documents?
- Does it abstain when evidence is insufficient?
- Can administrators trace the retrieved sources and model action?
- Are actions limited to the user’s existing permissions and approved tools?
6. Model the operating cost
Request pricing for the actual seat count, connector set, indexed volume, ingestion frequency, implementation services, support tier and expected tuning effort. Current public vendor materials in this comparison do not establish neutral prices or independent accuracy benchmarks, so a quote and your own measurements are necessary.
Document and AI failure modes to plan for
- Complex PDFs: multi-column layouts, embedded scans and tables can produce incorrect reading order. Compare extracted text with the original page and route critical files through standard ingestion or a validated parser.
- OCR: low-resolution scans, handwriting and mixed languages can create confident-looking errors. Test names, amounts, dates and identifiers character by character.
- Attachments: a connector may index a message but not its attached file. Gemini Enterprise federated mode specifically documents no attachment search; include attachment-dependent questions in the pilot.
- Stale permissions: a correct answer generated from yesterday’s ACL is still a security incident. Monitor revocation latency, not just initial synchronization.
- Duplicate and conflicting content: rank current, authoritative sources above drafts and archived copies, and show dates or version information in citations.
- Over-broad summaries: an answer can combine individually permitted snippets into a conclusion the user was never meant to receive. Test aggregation and cross-document questions with restricted data.
- Connector drift: SaaS vendors change APIs, object models and throttling rules. Require health checks, failure queues, alerts and a documented reauthorization process.
Governance questions before production
- Where are indexes, embeddings, logs and cached snippets stored, and what residency choices are available?
- How are retention requests, legal holds, deletions and source-account closures propagated?
- What audit records show the user, query, retrieved sources, generated answer and action?
- Which administrators can add connectors, alter scopes, export data or change ranking rules?
- Can sensitive repositories be excluded, field-filtered or subject to stricter answer policies?
- What happens when a connector loses authorization or a source is unavailable?
Making the final decision
Select Glean when broad, permissions-aware search across many workplace systems is the primary requirement and you want the shortest path to a cross-application pilot. Select Coveo when connector coverage must be paired with substantial relevance, security and content-pipeline tuning. Select Dropbox Dash when Dropbox is the center of gravity and its current integrations cover the rest of the working set. Select Gemini Enterprise when Google Cloud investment, SharePoint Online search and actions are the main strategic combination, and you are prepared to choose deliberately between federated coverage and standard ingestion.
Whichever platform wins, make permission fidelity, document parsing and operational monitoring acceptance criteria equal to answer quality. A less flashy system that returns complete, current and correctly authorized evidence is safer and more useful than an assistant that speaks fluently over an incomplete index.
