For most organizations, shortlist Microsoft 365 Exchange Online, Google Workspace, Fastmail, Proton Mail for Business, and Zoho Mail. Microsoft 365 is the closest operational replacement when Outlook, Office, Teams, Microsoft identity, or Exchange administration are important. Google Workspace suits Gmail-and-Docs teams; Fastmail suits companies that want focused hosted mail and calendars; Proton Mail suits privacy-led requirements; and Zoho Mail suits mail-first, cost-sensitive, or Zoho-suite organizations. Amazon WorkMail should not be chosen for a new long-lived deployment because AWS says support ends on March 31, 2027.
What changes when you replace on-premises Exchange
A hosted mail service removes the need to buy, patch, monitor, and replace Exchange servers, but it does not remove your organization’s responsibilities. The provider operates mailbox infrastructure and service availability. Your team still owns identity, domain records, authentication, access policy, retention decisions, migration validation, and user support.

The most important decision is therefore not simply which product has the lowest subscription price. It is which operating model preserves the workflows your business actually uses: Outlook profiles, shared mailboxes, delegates, public folders, archives, mobile access, line-of-business SMTP relays, legal holds, and collaboration applications.
- Choose Microsoft 365 Exchange Online when Outlook, Office, Teams, Microsoft identity, or hybrid Exchange administration are central.
- Choose Google Workspace when Gmail, Calendar, Drive, Docs, Meet, and browser-first collaboration are the standard.
- Choose Fastmail when you need dependable custom-domain mail and calendars without a bundled office suite.
- Choose Proton Mail for Business when privacy and encryption are primary requirements and your users can accommodate Proton Bridge or Proton’s own clients.
- Choose Zoho Mail when mail is the priority, budgets are tight, or your organization already uses Zoho applications.

All five are subscription services. Your total cost includes licenses, storage or security add-ons, migration labor, user training, support, and any separate tools needed for documents, meetings, identity, or transactional email.
#1 Best Overall
Microsoft 365 Exchange Online: the closest Exchange replacement
Exchange Online is the most direct move for a company that already depends on Outlook and Microsoft identity. Microsoft’s migration advisor evaluates the existing environment, mailbox count, and administration model, then recommends a route. Documented options include hybrid, staged, cutover, and express migrations for email, calendars, and contacts.
Which Microsoft migration path fits
- Full hybrid: intended for large organizations that need directory synchronization and free/busy integration while users move in stages.
- Minimal hybrid: aimed at medium-sized organizations that need a shorter coexistence period than full hybrid.
- Express: designed for smaller organizations seeking a faster migration with less hybrid administration.
- Staged or cutover: useful when the source environment and mailbox population make a simpler batch or one-time move practical.
Published Exchange Online plan anchors
| Plan shown by Microsoft | Displayed price | Mailbox and notable features | Qualification |
|---|---|---|---|
| Exchange Online Plan 1 | $4 per user per month | 50 GB primary mailbox | Displayed-page price; taxes, regional terms, and billing conditions must be rechecked |
| Exchange Online Plan 2 | $8 per user per month | 100 GB primary mailbox, larger archive, and DLP features | Displayed-page price; taxes, regional terms, and billing conditions must be rechecked |
These mailbox plans do not by themselves describe every Microsoft 365 security, collaboration, identity, or compliance capability. Confirm the exact bundle and add-ons needed for MFA enforcement, conditional access, retention, eDiscovery, audit, encryption, and device management.
Where Microsoft 365 migrations commonly need extra work
- Shared mailboxes and delegates may have permissions that do not map cleanly without testing.
- Archives and public folders require an inventory and a destination design; do not assume every archive is automatically preserved.
- Outlook add-ins, mobile profiles, SMTP relays, and applications that submit mail must be reconfigured and tested.
- Retention, legal hold, eDiscovery, and audit requirements depend on the selected security and compliance tier.
Google Workspace: Gmail plus a full collaboration suite
Google Workspace replaces Exchange with custom-domain Gmail and a browser-centered collaboration stack: Calendar, Drive, Docs, Sheets, Slides, Meet, Chat, the Admin Console, and security controls. It is strongest when users already prefer Gmail’s interface and Google’s document-sharing model.
Business edition pricing and limits
| Edition | Price shown | Storage and meeting details | Other stated capabilities |
|---|---|---|---|
| Business Starter | $7 per user per month with annual commitment; $8.40 with monthly billing | 30 GB pooled storage per user; meetings for up to 100 participants | Custom business email |
| Business Standard | $14 per user per month with annual commitment | 2 TB pooled storage per user | Workspace collaboration features |
| Business Plus | Not stated in the supplied pricing details | 5 TB pooled storage per user | Vault, eDiscovery, and enhanced controls |
| Enterprise | Not stated in the supplied pricing details | Not stated | No user limit |
Business editions are limited to 300 users. Recheck current regional pricing, taxes, storage definitions, and plan limits before purchase because Google changes offers and billing terms.
Migration and administration checks
Plan how mail, calendars, delegated access, contacts, and groups will behave in Gmail. If your organization uses shared drives, Vault retention, endpoint management, identity federation, or applications tied to Exchange protocols, include those dependencies in the pilot rather than treating mail delivery as the whole project.
Fastmail: focused hosted mail and calendars
Fastmail is appropriate when the requirement is excellent business email and calendars rather than an all-in-one office suite. Its business offering includes custom-domain addresses, additional role addresses such as sales@ and support@, a domain setup wizard, 24/7 support, multi-data-center backup, two-factor authentication, spam and phishing protection, search, mobile access, and integrations.
Rank #2
The trade-off is architectural: documents, meetings, chat, and identity remain separate decisions. Before selecting Fastmail, verify single sign-on, retention and archiving, administrative recovery, supported client protocols, and records-management obligations. Test the exact Outlook, Apple Mail, Thunderbird, mobile, and automation workflows your staff depends on instead of assuming feature parity with Exchange.

Proton Mail for Business: privacy-led email
Proton Mail for Business provides centralized user administration, storage allocation, permissions, encrypted web/mobile/desktop applications, retention rules, and compliance support. Easy Switch can migrate email, labels, contacts, and calendars.
Proton Mail Bridge connects Proton accounts to Outlook, Apple Mail, Thunderbird, and other IMAP/SMTP clients. Bridge adds a deployment and support task: decide which devices need it, how updates are managed, and how administrators recover access when a user changes devices.
Proton states that every email within Proton Mail is end-to-end encrypted so that Proton cannot read the messages. That privacy model is valuable for sensitive communications, but it requires a careful review of external-recipient workflows, administrator access policy, recovery procedures, legal hold and eDiscovery expectations, and regional compliance rules. Confirm that the encryption and retention model fits your organization’s legal obligations before migrating.
Zoho Mail: mail-first administration and migration flexibility
Zoho Mail supports custom-domain email with SPF, DKIM, BIMI, and DMARC, desktop/mobile/offline access, spam and phishing protection, TLS, S/MIME, AES-256 encryption, role-based administration, audit logs, eDiscovery, retention, backup, and migration tools.

Zoho’s migration documentation instructs administrators to add and verify domains, create users and groups, run a sample migration, and change MX records during cutover planning. Its Exchange Migration Wizard supports on-premises Exchange without POP or IMAP, as well as PST, EML, Exchange-server, and Active Directory scenarios.
| Source route | Data Zoho states it can migrate |
|---|---|
| PST or EML | Mail, contacts, calendars, tasks, and notes |
| Direct Exchange-server migration | Email only |
| Google Workspace, Microsoft 365, or IMAP providers | Emails, contacts, and calendars through Zoho’s migration tool |
That difference matters: if calendars, tasks, or notes are business records, select a source route that preserves them and verify the result with a pilot. Also validate plan-level storage, ActiveSync, S/MIME, retention, SSO, support, and application integrations.
Why Amazon WorkMail is not a forward-looking choice
AWS states: “On March 31, 2027, AWS will discontinue support for Amazon WorkMail. After March 31, 2027, you will no longer be able to access Amazon WorkMail.” Treat WorkMail as an existing-customer migration case, not as a new long-lived Exchange replacement. Any organization still using it should establish a destination, export requirements, user communications, and a migration deadline well before that date.
Choose by workflow, not by mailbox price
Choose Microsoft 365 when compatibility is the priority
Select Exchange Online when Outlook profiles, Office files, Teams, Microsoft identity, directory synchronization, free/busy, or Exchange administration are non-negotiable. It generally minimizes user change, but the project still needs a detailed permissions, archive, public-folder, and compliance inventory.
Choose Google Workspace when collaboration is browser-first
Select Workspace when Gmail, Drive, Docs, Meet, and shared editing are already your users’ preferred tools. Budget for a change in delegated mail, calendar sharing, file ownership, and retention practices rather than treating the project as a mailbox copy.
Choose Fastmail when you want independent best-of-breed tools
Select Fastmail when a focused mail/calendar service is desirable and your organization is comfortable sourcing meetings, documents, chat, identity, and records systems separately. Confirm administrative and compliance controls before committing.
Choose Proton when privacy requirements dominate
Select Proton when encrypted communications and privacy protections outweigh the operational simplicity of a conventional Exchange-compatible service. Pilot Bridge, recovery, external mail, and legal workflows with real users.
Rank #4
Choose Zoho when cost and mail administration lead
Select Zoho when custom-domain mail, authentication, migration options, and a broader Zoho environment matter more than matching every Exchange feature. Verify the exact migration route for non-mail data.

1. Inventory the existing environment
Record every mailbox, alias, distribution group, shared mailbox, delegate, calendar, contact list, task, note, archive, public folder, mobile client, Outlook add-in, SMTP relay, application sender, retention policy, and legal hold. Mark owners and business criticality. Include dormant accounts and service identities so they are not discovered during cutover.
2. Build a representative pilot
Include an executive, a delegate, a shared mailbox owner, a user with a large mailbox, mobile users, and every application that sends mail. Test search, folder counts, calendar recurrence, contacts, permissions, archives, mobile notifications, and outbound application messages. A pilot that contains only ordinary users cannot expose the difficult cases.
3. Establish identity and DNS controls
Verify domain ownership, provisioning and deprovisioning, MFA, administrator separation, recovery contacts, and conditional-access or equivalent policies. Prepare SPF, DKIM, and DMARC records for the destination. Keep the existing DNS values documented so rollback is possible.
4. Preserve data before changing mail flow
Export or otherwise preserve information required by retention schedules, legal holds, and internal policy before changing MX records. Confirm where archives, public-folder content, tasks, notes, and delegated calendars will live in the destination. Do not assume that a successful message copy is a complete records migration.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →5. Run the provider migration and reconcile results
Use the selected provider’s migration tool. Compare source and destination folder counts, message counts, calendar items, contacts, permissions, aliases, and archive behavior. Investigate exceptions individually; a tool’s “completed” status does not prove that every item or permission was transferred.
6. Plan coexistence, cutover, and rollback
Define mail routing during coexistence, DNS TTL preparation, the cutover window, user communications, Outlook and mobile reconfiguration, application credential changes, and the exact rollback trigger. Keep the old environment available long enough to resolve late mail and verify that no required data remains only on the source.
7. Monitor after cutover
Track delivery failures, spam placement, authentication reports, help-desk tickets, calendar sharing, mobile enrollment, delegate access, and application-generated mail. Keep transactional messages on a dedicated transactional email service where appropriate; a human mailbox subscription is not automatically a production email API.
Security, compliance, and administration checklist
- Identity: federation or directory integration, lifecycle provisioning, MFA, administrator separation, and emergency recovery accounts.
- Authentication: SPF, DKIM, DMARC, TLS, and policies for legacy authentication or application SMTP.
- Data protection: encryption in transit and at rest, client-side or end-to-end encryption where required, S/MIME needs, and data-location constraints.
- Governance: retention schedules, legal holds, eDiscovery, audit logs, backup, export, and records-management ownership.
- Access: shared mailboxes, delegates, role addresses, aliases, mobile devices, guest access, and administrator recovery.
- Continuity: provider outage procedures, local exports, recovery time expectations, and a tested exit plan.
- Applications: scanners, websites, CRM systems, alerts, scripts, and other services that send or receive mail.
Cost and lifecycle checks before signing
Compare the recurring per-user subscription with one-time migration labor, training, support, storage overages, security or compliance add-ons, and separate collaboration or identity tools. Published prices in this guide are the values displayed in the supplied provider information; taxes, regional availability, billing commitments, plan changes, and promotional terms can alter the amount you pay.

Bottom line
Microsoft 365 Exchange Online is the safest default for an Exchange-and-Outlook organization. Google Workspace is the strongest alternative for Gmail-and-Google-collaboration teams. Fastmail is the focused mail/calendar option, Proton Mail for Business is the privacy-led option, and Zoho Mail is the mail-first, cost-conscious option with broad documented migration routes. Select one only after a pilot proves that your calendars, delegates, archives, applications, retention rules, and client devices work as required.
