There is no single Microsoft service that Copilot has replaced. Microsoft has made several separate changes: Cortana features were retired in stages, the Microsoft 365 People, Files and Calendar companion apps are scheduled to retire, consumer Skype is moving toward Teams, and the Microsoft 365 (Office) app was renamed the Microsoft Copilot app. Those are different events, with different alternatives and migration steps.
The practical answer depends on the task you need to continue. Windows 11 Voice Access is Microsoft’s documented direction for voice control. Copilot and Copilot in Microsoft 365 apps address assistance with work and information, but are not feature-for-feature substitutes for every Cortana capability. Your contacts, files and calendar data are expected to remain in Microsoft 365 services after the companion apps retire. Consumer Skype users should assess Teams and their calling entitlement, while Skype for Business is a separate product and is not affected by the consumer change. The Microsoft 365 app rename does not mean Word, Excel, Outlook or PowerPoint have been replaced.

What Microsoft is actually replacing, retiring or renaming
“Replaced by Copilot” combines four different product stories. Separating them prevents a common mistake: choosing a chat assistant when what you really need is voice control, a contact list, a calendar view or a phone number.
| Service or app | Type of change | Documented timing | What to use or check |
|---|---|---|---|
| Standalone Cortana in Windows | Retired voice-assistance feature | Retired in spring 2023 | Windows 11 Voice Access for voice control; Copilot-related assistance for other tasks |
| Cortana in Teams mobile, Teams display, Teams Rooms, Outlook mobile and Microsoft 365 mobile | Retired integrations | Retired in fall 2023 | Use the current voice, search and assistant features in each app; no universal one-for-one replacement is documented |
| Outlook mobile voice search and Play My Emails | Retired mobile features | Retired in June 2024 | Use the app’s currently available search and mail-reading workflows, checking your account and app version |
| Microsoft 365 People, Files and Calendar companion apps | Scheduled app retirement | December 16, 2026 | Continue using the underlying Microsoft 365 services; Microsoft says contacts, files and calendar events remain available |
| Consumer Skype | Migration toward Teams | Microsoft announced the move on February 28, 2025 | Review Teams availability and whether your paid Skype services provide Skype Dial Pad access through Teams Free |
| Microsoft 365 (Office) app | Rebrand, not an application replacement | Renamed the Microsoft Copilot app across web, mobile and Windows | The app still provides access to other Microsoft 365 productivity apps |
This distinction matters because a retirement removes a feature, a migration moves a capability to another product, and a rebrand changes a name or entry point. Only the first two require you to find a replacement workflow.

Best alternative to Cortana: match the replacement to the job
Cortana was used for several different jobs, so “the Cortana replacement” is not one product. Start by identifying whether you used it to control Windows, ask for assistance, search work content or interact with a mobile app.
For hands-free Windows control: Windows 11 Voice Access
Microsoft points Windows users to Voice Access in Windows 11 for voice control. This is the closest documented direction when your requirement is operating the computer by speaking: controlling the interface and issuing commands rather than holding a conversation with an assistant.
Voice control and an AI assistant should not be treated as interchangeable. A control feature is evaluated by whether it can operate the interface reliably and accessibly. An assistant is evaluated by the quality of its answers, the content it can use and the permissions attached to that content. If accessibility or hands-free operation is your priority, test Voice Access with the applications and controls you actually use instead of assuming that Copilot will perform the same commands.

For help with information and work content: Copilot and Copilot in Microsoft 365 apps
Microsoft describes Copilot and Copilot in Microsoft 365 apps as options for assistance tasks. They are more relevant when you want help understanding or creating content, finding information in an authorized work context or completing a productivity task. Availability and behavior depend on the account, app and licensing context, so check the features presented in your own Microsoft environment.
Do not describe these tools as identical replacements for every Cortana function. The documented guidance separates Windows voice control from assistant features, and it does not promise that a former Cortana command, reminder, mobile integration or mail-reading behavior will work the same way in Copilot.
For the retired Outlook mobile voice features
Outlook mobile voice search and Play My Emails retired in June 2024. If you depended on either, the practical replacement is a current workflow in the Outlook mobile app or another approved accessibility tool, not an assumption that Copilot restored the retired feature. Check the controls visible in your account and app version, and verify that the workflow meets your needs for searching, reading and responding before relying on it.
A Cortana replacement checklist
- Write down the exact action you need: Windows control, dictation, search, reminders, content assistance or mail playback.
- Test Windows 11 Voice Access when the action involves operating the interface by voice.
- Test Copilot or Copilot in Microsoft 365 apps when the action involves assistance with content or information.
- Check the operating system, account type, app version and licensing requirements before promising a feature to other users.
- For accessibility-critical workflows, test pronunciation, microphone behavior, error recovery and operation inside the applications you use daily.
What happens to the Microsoft 365 People, Files and Calendar companion apps
Microsoft 365’s companion apps for People, Files and Calendar are scheduled to retire on December 16, 2026. Microsoft Support states: “The Microsoft 365 companion apps will be retired on December 16th, 2026.” The retirement concerns those companion app experiences, not the underlying data.
Microsoft says files, calendar events and contacts remain in Microsoft 365 services after the apps retire. That means the key decision is how you will reach the same information, rather than which replacement app will contain a new copy of it.
What to do before the retirement date
- Inventory your use. List whether you rely on People for contacts, Files for document access, Calendar for an at-a-glance schedule, or all three.
- Confirm the account. Sign in with the Microsoft account or work account that owns the data and verify that the expected contacts, files and calendar events are present in the underlying Microsoft 365 services.
- Recreate daily entry points. Replace shortcuts, bookmarks and phone-home-screen icons that open the companion apps with the Microsoft 365 service your organization provides.
- Check sharing and permissions. Open shared files and calendars, not only personal items, and confirm that your account still has the access needed for work or family use.
- Make an approved backup. If your organization requires a local or separate backup of contacts or files, follow its retention and security policy rather than copying sensitive information to an unapproved location.
- Test on every device. A workflow that works on the web may not have the same controls on a phone or Windows device. Test the devices you use before the retirement date.
What the retirement does not mean
- It does not mean Microsoft has announced deletion of your contacts, files or calendar events.
- It does not mean all Microsoft 365 access ends on December 16, 2026.
- It does not establish that Copilot is a replacement for each companion app’s layout or shortcut.
Because the date is a future, currently documented date, recheck Microsoft’s support guidance and your organization’s notices closer to December 16, 2026. Product labels and migration instructions can change before the retirement takes effect.
What replaced Skype for consumers?
Consumer Skype is a separate case from Cortana and the companion apps. Microsoft announced on February 28, 2025 that consumer Skype was moving toward Teams. The relevant alternative for a consumer Skype user is therefore a Teams-based workflow, but the exact calling capability depends on your account and paid services.

Check whether you need chat, meetings or phone calling
Teams can serve a different purpose depending on whether you need person-to-person chat, group meetings or calls to ordinary telephone numbers. A chat or meeting migration is not automatically a phone-service migration. Before moving contacts or publishing a new number, identify which of those functions you actually use.

Verify Skype Dial Pad entitlement
Microsoft says some paid-service users have Skype Dial Pad access through Teams Free. This is an entitlement question, not a universal promise to every Skype user. Sign in with the account connected to the paid service and verify that the dial pad and calling destinations you need are available. Check current terms before advising a household, school or business that its telephone calling will continue unchanged.
Do not confuse consumer Skype with Skype for Business
Skype for Business is a separate product. Microsoft describes Skype for Business users as unaffected by the consumer Skype change. A migration plan for consumer Skype should not be applied to a Skype for Business deployment without checking the organization’s own communications roadmap.
Consumer calling migration checklist
- Record the contacts, chat history, group memberships and phone-number calling you actually use.
- Sign in to the Teams experience with the account associated with your consumer Skype use.
- Confirm which contacts can be reached and whether your required chat or meeting features are present.
- If you call telephone numbers, verify Skype Dial Pad access, destinations, balance or subscription status and emergency-calling limitations before relying on it.
- Tell contacts which identity or address to use after the move, and keep the old contact method during the transition where possible.
- For Skype for Business, stop and consult the separate business administrator or service plan instead of assuming the consumer migration applies.
Did Microsoft replace Word, Excel, Outlook or PowerPoint?
No replacement is established by the app rename alone. Microsoft renamed the Microsoft 365 (Office) app the Microsoft Copilot app across the web, mobile and Windows. Microsoft also says the renamed app continues to provide access to other Microsoft 365 productivity applications.
The name change affects the launcher or entry point. It does not demonstrate that Word, Excel, Outlook or PowerPoint have been discontinued or absorbed into Copilot. If a user opens the renamed app and sees Copilot more prominently, that is a navigation and branding change, not proof that the productivity applications have been replaced.

How to explain the rename to users
- Tell users to look for the Microsoft Copilot app name when opening the former Microsoft 365 (Office) app.
- Explain that the app remains a route to the other Microsoft 365 applications they already use.
- Keep existing document, spreadsheet, presentation and mail workflows unless Microsoft separately announces a change affecting them.
- Evaluate Copilot as an additional assistance layer, with the permissions and licensing that apply to the account, rather than as a substitute for the productivity apps themselves.
How to choose the best alternative for your particular task
There is no responsible universal ranking of alternatives in the available Microsoft announcements. A good choice depends on feature coverage and the environment in which the feature must work. Use the following questions before selecting a built-in Microsoft option or investigating another provider.
| Decision area | Questions to ask | Why it changes the answer |
|---|---|---|
| Task coverage | Do you need voice commands, content assistance, contact lookup, file access, a calendar view, chat, meetings or telephone calling? | Each retired or changing Microsoft service covered a different job. |
| Operating system | Is the workflow on Windows 11, another desktop system, a phone or the web? | Voice control and app features are not identical across operating systems. |
| Account compatibility | Is the account personal, work, school or tied to a paid communications service? | Features, permissions and entitlements can differ by account type. |
| Accessibility and voice behavior | Can the alternative recognize your speech, operate the required controls and recover from errors? | An assistant that answers questions may still fail an essential hands-free workflow. |
| Data location and migration | Where will contacts, files, calendar events and conversations live, and can you export or retain them under your policy? | Moving the interface without planning data access can create a practical loss of workflow. |
| Calling requirements | Do you need calls to telephone numbers, a dial pad, a subscription, a balance or a new number? | Chat and meetings do not automatically provide public telephone calling. |
| Price and licensing | Which features are included with your account, and which require a paid plan? | Availability cannot be inferred from the product name or a free download. |
| Administration and privacy | Who controls retention, permissions, recordings and access to work content? | Consumer and organizational services can have different governance requirements. |
Practical replacement choices by scenario
“I used Cortana to control my PC.”
Start with Windows 11 Voice Access and test the commands you need. Copilot may help with other questions or content tasks, but it should not be treated as a guaranteed voice-control substitute.
“I used Cortana to get help with work information.”
Evaluate Copilot or Copilot in Microsoft 365 apps within the account and apps where your work content is available. Confirm permissions, licensing and the specific actions you need rather than assuming every former Cortana integration is present.
“I used the People, Files or Calendar companion app.”
Move your shortcut to the underlying Microsoft 365 service, verify that your contacts, files and calendar events are visible there, and test shared items before December 16, 2026.
“I used Skype to call people.”
Separate internet chat and meetings from telephone calling. Test the Teams path, then verify whether your account has the required Skype Dial Pad access through Teams Free or another permitted calling arrangement.
Best Value
“I think Microsoft 365 was replaced by Copilot.”
It was the Microsoft 365 (Office) app that was renamed the Microsoft Copilot app. The renamed app still provides access to Microsoft 365 productivity applications; the name change by itself is not a Word, Excel, Outlook or PowerPoint replacement announcement.
How to evaluate a non-Microsoft alternative
If the documented Microsoft options do not cover your task, compare another service against the same requirements instead of choosing by brand recognition. Confirm the supported operating systems and account types, test accessibility and voice behavior, map where data is stored and how it can be migrated, and verify calling or phone-number requirements. Then compare the recurring price, licensing limits, administrative controls and support commitments that apply to your region and account.
For work data, obtain the required organizational approval before connecting a new assistant or communications service. A feature that can read mail, files, contacts or calendars may require a different security review from a simple chat or meeting tool. For personal use, retain a copy of important contacts and documents according to your own backup practice before changing the primary service.
Bottom line: choose by function, not by the Copilot label
Microsoft’s changes do not create one universal “Copilot replacement.” Use Windows 11 Voice Access for the voice-control problem, Copilot or Copilot in Microsoft 365 apps for the assistance problem, the underlying Microsoft 365 services for People, Files and Calendar data, and Teams-related options for consumer Skype after checking calling entitlements. Treat the Microsoft Copilot app name as a rebrand and keep using the Microsoft 365 applications your work requires. Recheck dates, account eligibility and feature availability before each migration, especially the scheduled companion-app retirement on December 16, 2026.
