Best for connected business workflows: Fireflies, which documents live notes, assigned action items, transcripts and connections to CRM, project-management, applicant-tracking and Slack tools. Best for Teams organizations: Microsoft Teams intelligent recap, provided your organization has the required license. Before buying anything, check whether Google Meet’s own “Take notes for me” already covers your needs.
The right choice depends less on video quality than on what happens after the call: do you need a recap in Google Docs, an email draft to edit, tasks assigned to people, or notes routed into operational systems? Also check consent rules, retention requirements, administrator controls and the plan limits that apply to your meeting volume.

First, check whether Google Meet already solves the problem
Google Meet’s “Take notes for me” is the lowest-friction option when your organization already pays for an eligible Google Workspace edition or Google AI plan. It automatically creates structured notes in Google Docs and gives the meeting organizer a recap link after the call. A late participant can use “Summary so far” to catch up without asking the group to repeat the discussion.

- Omnidirectional Microphone - It is not a Speaker or Speakerphone, it is a condenser microphone. The microphone has an omnidirectional pickup pattern with a pickup distance of 11.5 ft, making it easy to capture the most subtle sounds from 360° directions and transmit the sound more loud and clear. Participants can hear each other without raising their voices.
- Made for Conferences - This microphone is perfect for small or medium meetings over an internet network by using Skype/GoToMeeting/WebEx/Hangouts/Fuze/VoIP/Zoom and other softwares. You can also use it for court reports, seminars, remote training, business negotiations, video chats, etc.
- Plug & Play, No Drivers Required - The microphone is compatible with all operating systems - both Windows and macOS. You just need to plug the microphone to start recording. If there is no response after inserting the mic, please go to the microphone setting of your computer and select the mic as the INPUT device.
- Convenient Mute Button - Quickly mute/unmute your microphone. The built-in blue indicator light for checking whether the USB microphone is working.
- Well Designed Cable - The microphone is constructed of sturdy and metal material and the base is fitted with an anti-slip mat which keeps it stable on desktop during use. It is small, convenient and does not require much space when in use. Connected with a 1.8m nylon shielded wire, it effectively eliminates signal interferences to achieve the best recording results.
Google lists English, French, German, Italian, Japanese, Korean, Portuguese and Spanish. The feature handles one spoken language at a time; it does not currently support a meeting in which participants switch between multiple languages. Eligibility and administrator settings vary, so confirm both in the Google Admin console and your plan documentation before assuming the feature is available.
When Meet is enough
- Your calls are held only in Google Meet.
- Notes can remain in Google Docs and do not need to be pushed into another system.
- A recap link and a readable summary are sufficient; you do not need a separate email-writing workflow.
- Your language and organization license are supported.
- Your administrator is comfortable with where the document is created and who receives access.
When to look elsewhere
- You regularly join meetings hosted on several platforms.
- You need a polished follow-up email that someone can edit before sending.
- Action items must be assigned or synchronized with CRM, project-management, recruiting or chat tools.
- Your administrator cannot enable the required Google feature.
- You need a single archive spanning meetings held in Meet, Zoom and Teams rather than separate Google Docs.
Fathom: the strongest documented cross-platform choice
Fathom’s support documentation lists Google Meet, Zoom and Microsoft Teams support. Its AI features include summaries, action items and follow-up email drafts. The important distinction is that the email is a draft: Fathom says you can copy it into the email client of your choice. That documents draft creation, not automatic sending, scheduling or delivery tracking.
Its own wording is: “Using the action items from your meeting, Fathom generates a follow-up email that you can copy and paste into the email client of your choice.” This makes Fathom useful when a human should check commitments, names and tone before the message goes out. It also means your team still needs an email owner and a process for deciding when the draft is approved.
What the free plan does and does not establish
The current pricing page lists unlimited recordings, storage and transcription on the Free plan. It limits advanced summaries and certain advanced AI features to the first five calls each month. Paid tiers list follow-up email features and additional AI capabilities. The page’s plan names, limits and prices are volatile; verify the live pricing page for your region before choosing a plan. “Unlimited transcription” should not be interpreted as unlimited access to every advanced summary or workflow feature.
For budgeting, estimate the number of calls that need advanced summaries rather than only the total number of recordings. A team with many short internal calls may reach the five-call advanced-feature threshold quickly, while a light user may remain within Free. Confirm whether billing is per user, whether a shared workspace is required and which administrator controls apply; those details can change independently of the headline feature list.

A practical Fathom workflow
- Confirm that the meeting platform is supported and that participants have agreed to recording or transcription.
- Start the meeting and enable Fathom according to your organization’s process.
- After the call, inspect the summary and action-item list rather than forwarding it immediately.
- Correct owners, dates, terminology and decisions that the transcript may have rendered incorrectly.
- Generate the follow-up draft, copy it to your email client, make any final edits and send it yourself.
- Save the approved message or a link to it with the meeting record so the team can distinguish a sent commitment from an unsent draft.
Choose Fathom when the central requirement is “turn this conversation into a usable recap and an email I can review.” Do not choose it on the assumption that the documented workflow sends email automatically. If your main requirement is automatic creation of tasks in a business system, compare Fireflies’ connector coverage instead.
Fireflies: best when notes must reach other work systems
Fireflies emphasizes capture plus downstream workflow. Its product documentation describes live notes, a real-time transcript and action items that can be assigned to participants. It also describes connections for CRM auto-fill, project-management task creation, applicant-tracking workflows and Slack notes or alerts.
The Fireflies Notepad is described as a place containing the summary, transcript, recording and action items. From there, users can review, edit, share and send notes to other tools. These are vendor-documented capabilities, not an independent assessment of accuracy or reliability. Integration names and limits should be checked for the exact products your team uses.
Questions to answer before selecting Fireflies
- Which exact CRM, project-management, applicant-tracking or Slack integration do you need?
- Does that connector appear on your current plan, or does it require an upgrade?
- Should every meeting create a task, or only meetings with explicitly assigned owners?
- Where will edited notes live if the destination system rejects a field or exceeds its limits?
- How will you prevent a recurring meeting from creating duplicate contacts, tickets or tasks?
- Who can edit the Notepad record before it is sent to a customer-facing or regulated system?
A safe Fireflies rollout
- Pick one meeting type, such as weekly sales calls or project stand-ups, for a pilot.
- Define the required fields: decision, owner, due date, customer, project and next meeting.
- Review the live notes and transcript in Notepad before enabling automatic routing.
- Send one edited record to the target work tool and verify field mapping, permissions and duplicates.
- Compare the destination record with the source note, including names, dates and links.
- Only then expand automation to more teams and meeting types.
Fireflies is the better fit when a note has value only after it becomes a task, CRM update or team alert. If you only need a concise recap and an email draft, its broader workflow surface may be more than necessary. Ask the vendor or administrator to demonstrate the exact connector and plan in a test workspace rather than relying on a generic integrations list.
Microsoft Teams intelligent recap: the native choice for Teams users
Microsoft documents AI-generated notes and recommended tasks in the Teams recap experience. That is attractive to organizations that already schedule, record and manage meetings in Teams because participants can remain in the same ecosystem instead of introducing another meeting bot or note repository.

Microsoft states that users need a Teams Premium or Copilot license. Treat that as a licensing checkpoint, not a guarantee that every tenant has the feature enabled: your administrator’s policies, meeting type and current Microsoft documentation still matter. Confirm who in the meeting needs the license, whether guests can view the recap and how your tenant handles recordings and transcripts.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesUse Teams recap when
- Most meetings already occur in Teams.
- Your organization already owns or is considering the required Premium or Copilot licensing.
- Recommended tasks inside the Teams recap are more useful than a separate email-drafting workflow.
- Keeping notes under existing Microsoft access controls is operationally simpler than adding another service.
Look beyond Teams recap when
- Important meetings occur outside Teams.
- You need a follow-up email draft that can be copied into any mail client.
- Notes must be routed into a CRM, project-management or recruiting system through a documented connector.
- Your organization cannot justify the additional license solely for meeting notes.
What about Zoom AI Companion?
Zoom’s support material located for this comparison describes meeting-summary emails with links that open content in AI Companion for Web. That establishes a summary-email workflow, but not the complete set of note-taking, action-item and follow-up capabilities, eligibility rules or current licensing needed for a like-for-like ranking. If Zoom is your primary platform, check current Zoom documentation for the exact AI Companion features available to your account before treating it as a full alternative in this list.
Compare follow-up behavior, not just summary quality
“AI meeting notes” can mean several different outputs. Put the desired output in writing before comparing products.
| Output you need | Most relevant documented option | What to verify |
|---|---|---|
| Google Doc recap and a link for the organizer | Google Meet “Take notes for me” | Workspace or Google AI eligibility, admin settings and language support |
| Editable email after reviewing action items | Fathom | Whether your plan includes the email feature and how the draft is copied to your mail client |
| Assigned tasks and operational-system updates | Fireflies | Connector availability, field mapping, permissions, duplicate handling and plan limits |
| Notes and recommended tasks inside an existing Teams environment | Teams intelligent recap | Teams Premium or Copilot licensing and tenant policy |
None of the cited vendor pages establishes that one product is more accurate than the others. Summaries can omit a qualification, confuse speakers or assign an action to the wrong person, so a review step is appropriate for consequential meetings. Test with your own accents, terminology, overlapping speakers and recurring acronyms; a polished layout does not prove that every decision was captured correctly.
Cost and licensing checkpoints
There is no single apples-to-apples price because these options are tied to different ecosystems and entitlements. Google Meet and Teams features may be included in a broader Workspace, Google AI, Teams Premium or Copilot purchase, while Fathom and Fireflies expose their own plan limits and upgrades.

- Smart Voice Enhancement: Eliminate background noise while simultaneously enhancing voices for a professional meeting experience in any environment.
- Plug and Play: Connect via USB-C (includes standard USB adapter) and join meetings in an instant. A wired connection offers a stable and reliable USB speakerphone experience.
- 360° Voice Coverage: A USB speakerphone with 4 high-sensitivity microphones to pick up all voices within 3m in super-high clarity.
- Superior Sound: A 1.75” driver paired with 2 passive bass-radiators adds body and depth to both meeting audio and music.
- What’s In The Box: PowerConf S330 USB Speakerphone, USB-C to USB-A adapter.
- Google: Confirm the exact Workspace edition or Google AI plan, whether an administrator must enable the feature and whether external participants can access the recap.
- Fathom: The Free plan lists unlimited recordings, storage and transcription, but advanced summaries and certain advanced AI features are limited to the first five calls each month. Paid plans list follow-up email capabilities. Check current regional pricing and billing terms.
- Fireflies: Verify whether the connector you need, export volume and assignment features are included in your plan. A free or lower tier may capture meetings but not provide the workflow automation you expected.
- Teams: Confirm the Teams Premium or Copilot requirement, tenant assignment and whether buying a license for occasional meeting organizers is cost-effective.
Calculate total cost using the number of organizers, meetings requiring advanced features, storage or retention needs and downstream integrations. Recheck pricing at renewal because plan names, quotas and included features can change.
Implementation checklist for any AI note taker
- Set consent rules. Tell participants when recording, transcription or an AI note service is active, and follow your organization’s policy and local law.
- Define the canonical record. Decide whether the approved note lives in Google Docs, the tool’s workspace, Teams recap or a connected business system.
- Standardize meeting language. Ask participants to state names, decisions, owners and dates clearly; this improves the usefulness of any generated output.
- Use a meeting template. Reserve headings for decisions, open questions, owners, due dates and next meeting so reviewers know what to check.
- Require human approval. Someone should correct the summary and action items before they become an external email, customer record or project task.
- Test permissions. Confirm who can view recordings, transcripts, summaries and exported notes, including people who were not in the meeting.
- Test failure paths. Decide what happens when a participant declines recording, a connector is unavailable or an export creates a duplicate.
- Measure workflow completion. Track whether owners receive tasks, due dates survive the export and follow-up messages are actually sent—not merely generated.
Common pitfalls
- Confusing a transcript with a decision record: A transcript contains conversation, not necessarily the final agreement. Have someone mark the approved decision.
- Assuming “action item” means assigned task: Fathom documents action items and a draft email; Fireflies documents assigned action items and integrations. Verify the actual destination and owner behavior.
- Ignoring multilingual meetings: Google Meet’s listed feature supports one spoken language at a time, so mixed-language calls need a tested process.
- Automating too early: Route a few edited notes manually before enabling CRM, project or Slack automation for every meeting.
- Forgetting guests and access: A recap link or exported note may expose sensitive details to people who were not in the call. Check sharing permissions.
Privacy, retention and governance questions
The cited product pages document features and some license limits, but they do not provide a comparable basis for ranking these services on privacy or security. Review the current privacy, retention, consent, data-use and administrator-control documentation for every shortlisted service and your organization.
- Where are recordings, transcripts and summaries stored?
- How long are they retained, and who can delete them?
- Can administrators restrict external sharing or exporting?
- Are meeting contents used to improve models, and can that use be limited?
- What happens when a connected CRM or chat tool receives a copy?
- How will you handle confidential, regulated or customer-provided information?
- Can a participant request deletion or correction of a transcript?
Decision guide
- Use Google Meet first if you are fully inside Google’s ecosystem and eligible for “Take notes for me.” It provides the shortest path from meeting to Google Doc recap.
- Choose Fathom if participants move among Google Meet, Zoom and Teams and the key follow-up is an editable email draft plus action items.
- Choose Fireflies if the note must become a CRM update, project task, recruiting record or Slack notification, and the exact connector is supported on your plan.
- Choose Teams intelligent recap if Teams is already your organization’s meeting hub and the required Premium or Copilot license is available.
- Investigate Zoom directly if Zoom is central to your organization, but confirm the current AI Companion notes, follow-up and licensing details before ranking it with the options above.
Run a small pilot with real meetings before standardizing. Compare the outputs your team actually needs—approved decisions, correctly assigned owners, due dates and completed follow-up—not just how attractive the generated summary looks.
Frequently Asked Questions
Is Google Meet itself a good alternative to third-party AI note takers?
Yes, if your organization has an eligible Google Workspace edition or Google AI plan and only needs notes in Google Docs. “Take notes for me” also provides “Summary so far” for late arrivals and an organizer recap link. Confirm administrator enablement and language support first.

Is Fireflies better than Fathom for CRM and project workflows?
Fireflies is the stronger documented fit when you need live notes, assigned action items and integrations that can populate CRM records, create project tasks, connect to ATS tools or send Slack notes and alerts. Verify the exact connector, field mapping and plan before purchase.
What license is needed for Teams intelligent recap?
Microsoft documents a Teams Premium or Copilot license requirement. Your administrator must still confirm tenant policies, meeting-type eligibility and who needs the license.
Can these tools handle meetings in multiple languages at once?
Google Meet’s documented note feature supports one spoken language at a time and does not currently support participants switching among multiple languages in one meeting. Check each third-party service directly if multilingual meetings are essential.
Should I trust AI-generated action items without review?
No. Review names, owners, dates, decisions and qualifications before sending an email or creating a customer, project or recruiting record. The cited vendor pages do not establish comparative accuracy.
What privacy checks matter before enabling an AI note taker?
Check participant consent, storage location, retention and deletion, external sharing, administrator access, model-training controls and what happens when notes are copied to CRM, project or chat systems. Apply your organization’s policy and local law.
The Bottom Line
Start with the tool already included in your meeting suite: Google Meet for Google Docs recaps or Teams intelligent recap for Teams organizations with the required license. Choose Fathom when cross-platform meetings and a human-reviewed follow-up email draft matter most. Choose Fireflies when notes must become assigned tasks, CRM updates or Slack workflows. Pilot the exact workflow, verify current plan limits and require human approval before consequential follow-up is sent or exported.
