Google Meet and Microsoft Teams users can start with their existing suites; teams that need cross-platform transcription, searchable meeting records, or CRM workflows can consider dedicated assistants such as Otter, Fireflies, Fathom, and Fellow.

A tool included in the ecosystem your organization already uses may reduce setup and keep notes closer to existing accounts and permissions. That convenience depends on license eligibility and feature settings, so check what your specific users can access rather than assuming a suite subscription includes every assistant feature.

How the tool captures a meeting
Capture may happen through a visible meeting bot, a desktop or browser app, a mobile app, or an uploaded recording. These methods are not interchangeable: a bot may be visible to participants, while local recording can have different setup and consent implications. Confirm what joins or records, when capture starts, and what participants can see.
Live help or post-meeting follow-up
Live transcription is useful when people need to follow the conversation as it happens. Summaries and action items are primarily for work after the call. Otter describes live transcription; Fireflies and Fathom describe post-meeting summaries, search, and related workflows. Decide which need matters most before comparing feature lists.

Search and connected work tools
If people need to find a decision from a past call, ask questions across meeting records, or move notes into a CRM, chat, or project system, check that the tool supports the relevant workflow. Vendor descriptions identify search and integrations as capabilities, but availability can depend on the plan. Verify the exact integration and entitlement you intend to use.

Do not infer accuracy from a feature list, a vendor’s headline statistic, or a third-party test as if it were a result for your own meetings. The available published comparison reports that its author tested eight assistants across 47 meetings over three weeks, but that is that publisher’s test—not a test by this article’s publisher. Its accuracy and summary-quality findings should not be transferred to other teams or represented as independent universal scores.

For a practical evaluation, use meetings your team is allowed to process and check whether the output preserves speaker attribution, decisions, names, dates, and action owners. Compare the transcript with the recording, then check whether the summary distinguishes a firm commitment from a suggestion. Treat this as your organization’s evaluation, not a substitute for documented independent benchmarks.
What should you check for consent, privacy, and governance?
Before enabling capture, establish who may start it, how participants are notified, who can view the transcript and notes, where records are stored, and how long they remain available. Also check whether the organization can control sharing and deletion, and whether the vendor’s contractual terms meet your requirements.

Google documents administrator-controlled consent settings for Meet’s “Take notes for me” feature. For other tools, confirm the equivalent behavior and controls in current product documentation and your organization’s terms; do not assume every assistant handles consent or retention in the same way.
