Crashes, No Sound, or Screen Glitches?

For a controlled collection of PDFs, web pages, presentations or videos, a source-bounded notebook such as Google NotebookLM or Microsoft 365 Copilot Notebooks is usually the right starting point. For answers that span workplace applications, Notion Enterprise Search or Glean are the more relevant category.
These products are not interchangeable. A notebook answers from the references you add; an enterprise search system retrieves from connected services while respecting their permissions. Use the comparison and evaluation process below to match the tool to your corpus, licenses, connectors and governance requirements rather than choosing from an unverified accuracy ranking.

What “AI knowledge management” covers
The phrase combines two different retrieval jobs:
- Source-bounded notebook assistants answer questions about a selected set of references. You decide which files, links or messages enter the notebook, then ask for summaries, comparisons or explanations grounded in that set.
- Enterprise search and answer systems search across a company’s connected applications. Their value depends on connectors, permission handling, indexing freshness and the ability to show where an answer came from.
A notebook is not automatically a company-wide index. Conversely, an enterprise search product may be excessive if you only need to interrogate one project folder or a research packet. “Cited” also means only that a product displays references; it does not prove that every citation supports the answer. Treat citation correctness as a test requirement.

Google NotebookLM: focused answers from a chosen source set
What it does
NotebookLM is designed around a notebook containing references you select. Google’s help materials describe adding PDFs, websites, Google Docs and Slides, and YouTube URLs, then asking questions and receiving responses with citations. That source boundary makes it useful when you need an assistant to stay within a syllabus, policy collection, product brief, interview archive or project folder rather than search an entire company.
The product’s cited-response design lets a reader inspect the passages or references behind an answer. Inspection is still necessary: a citation can be present while the response misreads a table, combines statements from different documents or overlooks a conflicting source.
Plan limits and account checks
Google’s detailed Pro help page is localized in Portuguese. It reports higher limits, including up to 300 sources per notebook for Pro compared with 50 for the standard tier described on that page: Google’s localized Pro feature page. Because limits and plan names can change by region, check the current localized plan documentation before committing to a corpus size. Do not treat the 300-source figure as a universal entitlement.
A reliable NotebookLM workflow
- Define the notebook boundary. Separate unrelated projects, departments or confidentiality levels into different notebooks. A smaller, coherent source set is easier to audit.
- Add authoritative references. Prefer the current policy, specification or approved report over duplicate drafts. Record the owner and date of each source outside the notebook so you can refresh it deliberately.
- Ask scoped questions. Start with “According to the supplied sources…” and name the document or section when a dispute matters. Ask for a comparison table when the source set contains competing requirements.
- Open every important citation. Check that the cited passage actually supports the claim, preserves qualifiers such as dates and regions, and does not omit an exception elsewhere in the source.
- Test missing-information behavior. Ask about a fact that is intentionally absent. A trustworthy workflow should make the absence visible instead of filling the gap from an unknown source.
- Refresh deliberately. Replace superseded files or links and rerun a small set of regression questions after a major source change.
Where it fits—and where it does not
- Good fit: literature review, training material, a client brief, a product launch packet or a personal research library.
- Weak fit: a request to search every team’s chat, drive and ticket system, or to enforce organization-wide access policies across many applications. The supplied documentation does not establish NotebookLM as a cross-enterprise connector index.
Microsoft 365 Copilot Notebooks: notebooks tied to Microsoft content
Grounding model
Microsoft describes the notebook experience in direct terms: “Copilot will provide an answer grounded on the references in your notebook.” (Microsoft Support, August 2026.) You add references, then ask Copilot about the notebook’s contents. The answer is intended to use those references rather than an unspecified collection of data.
Microsoft’s August 2026 support article lists DOCX, PPTX, XLSX, PDF, Loop, OneNote, TXT and Markdown files, as well as web URLs. For licensed work or school Copilot, it also lists Outlook emails, Teams meetings, SharePoint sites and pages, and folders. The ability to use those workplace references depends on the account’s license and service configuration.
Reference limits that affect design
| Entitlement described by Microsoft | Reference behavior | Qualification |
|---|---|---|
| Copilot Chat | Up to 50 references can be added; all 50 are used for grounding. | Product limit documented by Microsoft; confirm the current account entitlement. |
| Work or school Microsoft Copilot | A separate licensing page summarizes up to 300 sources per notebook. | License-dependent capability; a SharePoint or OneDrive service plan is required to create notebooks. |
| Licensed Copilot support article | More than 300 references may be added, but the first 300 are used for grounding. | Do not assume references after the first 300 influence an answer. |
See Microsoft’s Copilot Notebooks licensing page and reference guidance for the entitlement details. Microsoft says references such as SharePoint sites, document libraries or folders, and OneDrive or SharePoint document links stay current as the underlying data changes. The same documentation warns that some capabilities roll out gradually, so a listed feature may not yet appear in every tenant.
How to pilot it
- Confirm the identity and service prerequisites. Verify whether the user has Copilot Chat or work/school Copilot and whether the tenant has the required SharePoint or OneDrive service plan.
- Create a notebook for one job. For example, combine the current project charter, meeting notes and approved spreadsheet rather than an entire department’s history.
- Add references in their native locations. Use supported files or links, then note which items are licensed workplace references such as Teams meetings or SharePoint folders.
- Ask Copilot about the notebook’s contents. Request a cited answer, a list of unresolved conflicts and the date of each source when the decision is time-sensitive.
- Check the grounding window. If the notebook exceeds 300 references for a licensed account, organize the corpus so the most authoritative material is within the first 300 used for grounding.
- Retest after rollout changes. Microsoft states that features can roll out gradually; record the tenant, license and date when evaluating results.
Best fit
Choose Copilot Notebooks when your organization already stores working material in Microsoft 365 and wants notebook-level answers without copying everything into a separate repository. It is less suitable as a neutral, multi-vendor search layer when the majority of knowledge sits outside Microsoft’s supported references or when users lack the required licenses.

Notion Enterprise Search: answers across a connected workspace
Scope and connectors
Notion positions Enterprise Search as a way to find answers across Notion and connected applications, with cited sources. Its help documentation names connectors for Slack, Microsoft Teams, Google Drive and Jira and says administrators or users can control which apps, documents and web sources are included: Notion’s Enterprise Search help page. The product overview is available at Notion Enterprise Search.
This model addresses a different problem from a document notebook. Instead of assembling a temporary packet, you search the systems where teams already work. The practical questions are whether your required connector is available in your plan and geography, how often data syncs, how source permissions are applied, and whether the displayed citation opens the authoritative item.
Implementation checklist
- List the applications that hold decisions, not just the applications that are popular.
- Map groups and document permissions before enabling a connector; a search result must not reveal content a user could not otherwise open.
- Define which web sources are allowed and who owns them. Public pages can become stale or change without notice.
- Test a question that crosses two systems, such as a project decision in Notion and an action item in Slack, then inspect both citations.
- Measure freshness by editing a test document and recording when the new text becomes searchable.
Notion’s feature statements are vendor claims. The available material does not establish connector completeness, answer accuracy or a neutral comparison with other enterprise search products.

Glean: a dedicated enterprise-search candidate
Glean’s documentation describes it as an enterprise AI coworker that helps users find answers based on company knowledge and connected systems. The page was last updated September 25, 2026: What is Glean?. That description supports evaluating Glean when the goal is an organization-wide search and answer layer rather than a single project notebook.
The cited documentation does not state pricing, a complete connector catalogue or a comparative performance result. Obtain those details for your tenant and region before treating Glean as a shortlist winner. During a pilot, focus on permission fidelity, indexing freshness, source traceability and coverage of the systems that actually contain your organization’s decisions.
Choose by information architecture, not by a universal ranking
| If your situation is… | Start by investigating… | Decisions to verify |
|---|---|---|
| A bounded pile of documents for research, onboarding or one project | NotebookLM or Copilot Notebooks | Supported source types, source caps, citation inspection, sharing controls, privacy terms and plan-specific limits. |
| Answers across the workplace apps a team already uses | Notion Enterprise Search or Glean; also assess Microsoft Copilot in a Microsoft 365 environment. | Connectors, permission handling, sync freshness, citation traceability, rollout status and license eligibility. |
| One tool inside an existing productivity suite | Copilot Notebooks if the corpus is mainly Microsoft content; Notion if knowledge is mainly in Notion and its supported connectors. | Whether the useful features are included in your current subscription and which content can actually be referenced. |
| Strict separation between clients, projects or confidentiality levels | A notebook-per-boundary design, regardless of vendor. | Sharing defaults, revocation behavior, export and deletion controls, and how updates propagate. |
Ask these questions before scheduling a demo:
- Where do the authoritative documents live today?
- Do users need answers from one curated collection or from multiple applications?
- Which connectors and permission groups are mandatory?
- Can a user open every citation the system displays?
- What happens when a source is deleted, renamed or superseded?
- What source or reference limit applies to the exact account and plan?
A practical evaluation plan
1. Inventory the corpus
Classify sources by system, owner, sensitivity, update frequency and authority. Mark duplicates and expired versions. This inventory reveals whether a notebook can cover the job or whether a connector-based index is necessary.
2. Build a representative question set
Use real questions from support, onboarding, operations and management. Include straightforward lookups, multi-document comparisons, date-sensitive questions, conflicting instructions and deliberately missing facts. Do not evaluate only polished demonstrations.
3. Score retrieval and answer quality separately
- Retrieval coverage: Did the system find the right document or passage?
- Grounding fidelity: Does each material sentence follow from the cited text?
- Completeness: Did it include exceptions, dates, units and scope qualifiers?
- Uncertainty: Does it say when the source set does not establish an answer?
- Permission safety: Could a user see anything they could not access directly?
- Freshness: How long after an approved change does the answer reflect it?
4. Inspect citations, not just citation counts
Open the cited source and mark whether it supports the claim, partially supports it or contradicts it. A high citation rate can still hide incorrect interpretation, missing context or a citation attached to only one sentence in a longer answer.

5. Test change and failure paths
Remove a source, change a permission, update a policy and add a conflicting draft. Confirm how the tool behaves after each event. Record errors such as inaccessible citations, stale passages, unsupported file types and answers that silently rely on content outside the intended corpus.
6. Document the operating model
Assign owners for connectors and notebooks, define refresh schedules, establish a process for reporting bad answers, and decide which outputs require human approval. An AI assistant does not replace document lifecycle management.
Licensing, privacy and availability checks
Product limits in this category are account-specific. Microsoft distinguishes Copilot Chat from work or school Copilot and requires a SharePoint or OneDrive service plan to create notebooks. Google’s NotebookLM Pro quota cited above comes from a Portuguese localization and may change by region. Notion connector access and Glean capabilities depend on their current plans and deployment. Confirm all of the following for the intended users:
- Exact subscription and identity type (personal, work or school).
- Source or reference caps, including which references are actually used for grounding.
- Connector availability in the user’s country and tenant.
- Permission inheritance, revocation and audit controls.
- Retention, deletion and training-use terms for uploaded or connected content.
- Rollout status for features documented as gradual or account-dependent.
Vendor documentation is the appropriate place to verify supported features and licensing, but it is not an independent accuracy audit. Keep a dated record of the plan page and tenant configuration used in your evaluation because limits and connector lists can change.
Common failure modes and fixes
The answer cites a source but gets the conclusion wrong
Separate citation presence from citation correctness. Require the evaluator to open the passage, identify the unsupported inference and add a regression question that catches it after future updates.
Best Value
The tool searches only part of the intended knowledge base
Check source caps, connector entitlements and indexing status. In Copilot Notebooks, remember that Microsoft says the first 300 references are used for grounding in the licensed scenario described above. Reorganize the notebook or reduce the corpus to authoritative sources.
Users receive stale information
Measure synchronization time with a controlled edit, then assign an owner for refreshes. For notebook workflows, replace superseded files or links; for connected search, verify connector sync and source permissions.
A citation cannot be opened
Investigate identity and permission mapping rather than assuming the answer is safe. A citation that a reader cannot inspect is a governance and usability defect, especially for regulated decisions.

The assistant answers beyond the supplied material
Ask a known-absent question and require an explicit “not found in these sources” response. Keep notebook boundaries narrow and label any answer that relies on general model knowledge or an external web source.
Bottom line: match the tool to the retrieval boundary
Use Google NotebookLM or Microsoft 365 Copilot Notebooks when the job is to turn a defined collection of documents and links into inspectable answers. Select between them based on source types, account ecosystem and plan limits—not on an unsupported accuracy claim. Use Notion Enterprise Search or Glean when users need answers spanning connected workplace systems and the organization is prepared to manage connectors, permissions and freshness. In every case, run a representative, citation-level pilot before moving sensitive or high-impact decisions into production.
