The right one depends on the work you need the software to do, how many people will use it, what it costs on the plan you would actually buy, whether its AI features are included or metered, and whether your team will keep the records current. Salesforce and HubSpot have the clearest small-business packaging in the vendor material reviewed for this guide. Zoho CRM and Pipedrive are credible candidates, but their official pages do not show plan-level prices or AI limits, so they cannot be ranked against the others on those points.
This guide draws on official vendor pages reviewed on October 7, 2026, a secondary comparison updated in September 2026, and one reader discussion. It does not rely on hands-on testing of these products. Use it as a buying checklist.

Start with the job the CRM has to do
The first decision is scope. A CRM built mainly for a sales pipeline and a customer platform that also covers service, marketing and commerce are different purchases. The wider platform only makes sense if your team will actually use the parts you pay for.
If sales pipeline work is the main need
Start with tools whose official material centres on sales work. Pipedrive’s AI Sales Assistant page presents AI features around sales tasks. The reviewed page does not state which of those features each plan includes or how much usage is allowed, so confirm both before assuming the feature is part of the plan you are quoted.
#1 Best Overall
If you need one customer record across sales, service and marketing
Salesforce’s small-business suites span sales, service, marketing and commerce, and include Slack and AI capabilities across the suites. HubSpot describes its AI-powered Smart CRM and a Starter Customer Platform for startups and small businesses. Both are broader than a pipeline tool. A wider scope usually means more setup and more to learn, so weigh that against the features you will switch on in the first few months.
Compare what you would pay, not the headline price
Salesforce’s small-business pricing page lists Starter Suite at $25 USD per user per month, billed monthly or annually, and Pro Suite at $100 USD per user per month, billed annually with a contract required. The page was reviewed on October 7, 2026. The reviewed pages for HubSpot, Zoho and Pipedrive do not establish a comparable small-team price, so the table below marks those cells as not stated rather than estimating them.

Check whether AI is included, and what limits apply
“AI included” means different things across these products. The reviewed pages establish the following:
- Salesforce: assistive AI is listed in the Starter Suite. The reviewed material does not state usage limits for it.
- HubSpot: Smart CRM is described as AI-powered. The reviewed page does not state an AI usage allowance or a complete small-team cost.
- Zoho CRM: Zia is presented as an AI assistant for Zoho CRM. Which Zia features apply to which edition, region and billing choice is not stated on the reviewed page.
- Pipedrive: AI features are presented around sales work. Plan inclusion and usage limits are not stated on the reviewed page.
Before you accept an “AI included” claim, ask the vendor in writing:
- Is this feature in my edition, or sold separately?
- Is usage capped, credit-based or metered, and what happens when the limit is reached?
- Which users can access it, and which customer records does it read?
- How long is my data retained, and is it used to train models?
Ask what the AI will take off your team’s plate
An AI feature is useful only if it addresses a bottleneck your team already has: slow follow-up, unclear lead priority, scattered customer history, or support tickets that wait too long. Pick one or two of these and test the product against them. A feature nobody opens adds cost without changing the work. None of the vendor pages establish that AI use by itself raises revenue, conversion or staff productivity, so treat any such gain as something to measure in your own pipeline.
Test adoption and data fit before you sign
Small-business CRM projects more often stall on upkeep than on missing features. One reader in a Reddit r/CRM discussion posted September 11, 2026 asked “What CRM should a small business use?” and described looking for software that takes sales work off the team rather than becoming “another database to maintain.” That is a single anecdotal example, not survey evidence, but it names the real test: will people keep the system current once the novelty wears off?
Best Value
Check these items before committing:
- Email and calendar connections: whether they sync automatically and what gets logged to each contact.
- Migration: what you can import from a spreadsheet or your current tool, and who does the field mapping.
- Permissions: whether you can limit who sees which records and reports.
- Reporting and exports: whether you can take your data out in a usable format if you leave.
- Integrations: whether the tools you already use connect directly, and which need a paid connector.
- Admin effort: how many hours a week someone must spend on cleanup, fields and reports.
Read vendor outcome claims with care
HubSpot’s product page states: “After just one year, HubSpot customers acquire 129% more leads, close 36% more deals, and see a 37% improvement in ticket closure rates.” The page gives no publication year, sample or methodology for these figures, and it does not establish that HubSpot’s product caused them. Report them as HubSpot’s own customer outcome claims, not as independent market data, and ask the vendor for references from businesses of your size and type.
Quick Recap
A three-step shortlist
- Cut by scope. Keep only products whose base edition or plan covers the workflows you named. Mark any cell you cannot confirm as unknown until the vendor answers.
- Price the same seat count. Get a written quote for your actual number of users and billing period, with add-ons, contract length and AI usage terms stated.
- Ask for a demonstration with your own records. Have the vendor run the AI feature you care about on a sample of your real contacts and deals, then estimate how long a typical week of upkeep would take your team.
Limits of this comparison
- Packaging changes. Prices, editions and AI limits change over time. Check each vendor’s current page or quote before you buy.
- Privacy and review. The reviewed vendor pages do not describe privacy, permissions or data retention for their AI features in enough detail to make product-specific promises. If AI drafts customer emails or messages, keep a person reviewing them before they are sent, and get the vendor’s written data terms.
