Backup as a Service (BaaS) is not a single product category with a standard price. Providers differ in the workloads they protect, the infrastructure you must operate, the recovery options included and the way they meter storage, management, transfers and restores. The practical way to choose is to set recovery objectives for each workload, verify coverage, then compare the complete cost for one normalized scenario.

AWS Backup is a policy-driven choice for organizations centered on AWS and selected hybrid systems. Google Cloud Backup and DR separates storage, management and transfer charges and can fit teams that want workload-specific controls in Google Cloud. Druva presents a broad, SaaS-delivered platform spanning data-center, cloud, productivity, endpoint, identity and CRM data. Other enterprise platforms are commonly quote-based. None should be treated as universally best without matching your workload and recovery requirements.

What backup as a service includes

BaaS is a provider-operated service that copies data from your systems to managed storage and supplies the controls needed to retain, monitor and recover those copies. The provider usually runs the storage service and much of the control plane; you still define policies, identities, retention and recovery procedures. Some offerings are native to one cloud, while others cover multiple clouds, software-as-a-service applications, endpoints and on-premises infrastructure through agents or appliances.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A useful BaaS evaluation separates five layers:

  • Protection source: virtual machines, databases, file and object storage, SaaS applications, endpoints, identity directories or physical and virtual infrastructure.
  • Policy and orchestration: schedules, retention, legal holds, replication, encryption, immutability and alerting.
  • Storage destination: a provider vault, a customer-controlled account, a self-managed repository or a combination of hot, cool and archive tiers.
  • Recovery service: file-level recovery, full-system restore, point-in-time database recovery, cross-region recovery, sandbox testing or disaster-recovery failover.
  • Operations and governance: administration, audit trails, role separation, reporting, support and compliance evidence.

Two services can both advertise “cloud backup” while one protects only cloud virtual machines and the other protects Microsoft 365, identity, laptops and on-premises databases. Compare the actual protection matrix, not the label.

Start with recovery objectives, not a vendor shortlist

Define recovery point objective (RPO) and recovery time objective (RTO) for every important workload before looking at prices. RPO is the maximum tolerable age of recovered data; RTO is the maximum acceptable time to resume service. A payroll database may need a much tighter RPO and faster restore than an archive file share.

Questions to answer for each workload

  • What is the source system and where does it run: public cloud, SaaS, endpoint, data center or a hybrid combination?
  • How often must protection run, and is continuous or near-continuous capture required?
  • Is a file, object, database table, virtual machine or complete application the smallest useful restore unit?
  • Must recovery happen in the same region, another region or a different cloud?
  • How many concurrent restores could occur during an incident?
  • How often will you perform an isolated restore test, and how large will each test be?
  • Which retention periods, legal holds and residency requirements apply?

Writing these answers into a one-page workload matrix prevents a low storage quote from masking an RTO that the service cannot meet. A secondary 2026 comparison also advises setting recovery targets before selecting a platform; treat that as a planning sequence rather than a vendor ranking.

How the major options differ

Service or category Workload and operating model Pricing structure described by public documentation Best fit to investigate
AWS Backup Fully managed, centralized and policy-based protection for AWS data stores and selected hybrid workloads such as VMware environments. Backup plans set frequency and retention; encrypted vaults hold recovery points. Separate meters can apply to backup storage, data restored, restore testing, cross-Region transfer, backup search and Audit Manager. AWS Config-related configuration items are priced separately when used for Audit Manager reporting. Organizations already operating mainly in AWS that want one policy and reporting layer across supported AWS services.
Google Cloud Backup and DR Workload-specific protection with backup vault or self-managed storage destinations. The service separates backup storage, backup management and transfer. Charges vary by workload, region, protected front-end capacity, retained data, vault versus self-managed destination and inter-region or multi-region transfer. Data that remains after protection becomes inactive can incur a long-term retention management charge. Google Cloud teams that need explicit control of storage location and workload-based management billing.
Druva SaaS platform covering data-center VMs, files, NAS and databases; public-cloud services; Microsoft 365 and Google Workspace; endpoints; identity systems; and CRM applications. The SaaS Universal License is described as per-user with dynamically pooled storage. Public plans are organized by data domain rather than one universal rate. Organizations seeking one managed platform across infrastructure, productivity, endpoint, identity and CRM data.
Other enterprise BaaS platforms Offerings in the 2026 market landscape include multi-cloud, SaaS and hybrid protection services, often with appliances, agents or managed recovery options. Many are quote-based; workload count, protected capacity, stored volume and retention are common pricing drivers. Public comparison figures may be regional, dated or based on only one service tier. Teams needing broad application coverage, dedicated support or recovery services beyond a native cloud console.

The table is a starting point, not a like-for-like price ranking. A platform that charges per user may be economical for SaaS data but unsuitable for large databases; a capacity-priced service may reverse that result.

AWS Backup: centralized protection with many billable activities

AWS describes Backup as a fully managed service that centralizes protection across supported AWS resources and selected hybrid environments. You create backup plans with schedules, lifecycle rules and retention, assign resources, and store recovery points in designated encrypted vaults. A central view shows protection and restoration activity, while reporting can expose policy metrics for audit and compliance work.

What to verify before adopting it

  • Confirm that every required AWS resource type and hybrid source is supported in the target Region and account structure.
  • Decide whether backup vaults should be separated by account, environment or sensitivity to limit administrative blast radius.
  • Map backup plans to RPO and retention requirements instead of applying one schedule to every resource.
  • Test cross-account and cross-Region recovery with the identities that will be available during an incident.
  • Document who owns the source service, vault policy, key policy and restore approval.

AWS cost elements

A storage-only estimate is incomplete. AWS documentation identifies charges for backup storage, restored data, restore testing, cross-Region transfer and AWS Backup Audit Manager. The pricing page also describes backup search, including indexed or scanned objects and index storage. Restore-testing charges can depend on the recovery points tested and the amount of storage restored. Audit Manager use can involve AWS Config configuration-item charges in addition to the backup service charges.

Build an AWS estimate from actual operations: protected source capacity, daily change, retention, number and size of restores, test frequency, copied Regions, search indexing and compliance reporting. The same protected capacity can produce very different bills when one team performs frequent restore tests and cross-Region copies while another does not.

Google Cloud Backup and DR: separate storage, management and transfer

Google Cloud Backup and DR presents pricing as distinct components rather than a single backup rate. Backup storage, backup management, inter-region transfer and multi-region upload or download are separate considerations. The billing location and storage rate depend on whether backups are held in a backup vault or a self-managed destination.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Workload and retention effects

Management charges are workload-specific and can be based on protected front-end capacity. The official pricing material includes usage-based examples for protected Compute Engine virtual-machine capacity and a separate storage SKU, but those figures cannot be converted into a general monthly estimate without naming the workload, Region, storage destination and usage period.

Retained data can create a long-term retention management charge after protection becomes inactive. That matters when decommissioned systems must remain recoverable for years: the source may no longer be actively protected, yet its retained copies still generate management cost.

Questions for a Google Cloud design

  • Which workloads are billed by protected capacity, and how is that capacity measured?
  • Will a backup vault or self-managed storage meet residency, isolation and operational requirements?
  • Where will copies be stored, and what transfer charges apply when they cross Regions or move between multi-region locations?
  • How will inactive but retained recovery points be tracked in the cost model?

Druva: broad workload coverage and pooled per-user licensing

Druva separates its plans into Enterprise Data, Productivity Data, AI Data, Digital Identity Data and CRM Data. Listed coverage includes data-center virtual machines, files, NAS and databases; public-cloud services; Microsoft 365 and Google Workspace; endpoints; Microsoft 365 Copilot and Claude; Entra ID, Active Directory and Okta; plus Salesforce and Dynamics 365.

Its SaaS Universal License is described as unified per-user licensing with dynamically pooled storage. That approach can simplify budgeting when users consume several protected applications, because storage is pooled rather than fixed independently for every workload. It can be less predictable if user counts, application assignments or retention expand quickly, so model those changes before signing.

How to test workload fit

  1. List every source that must be protected, including identity and SaaS systems that are often omitted from infrastructure inventories.
  2. Match each source to the specific Druva plan or module that covers it.
  3. Ask how inactive users, shared accounts, service identities and contractors count toward licensing.
  4. Model pooled storage under current data volume, annual growth and the longest retention tier.
  5. Run a representative restore for each application family, not just a file download.

Public plan pages establish coverage and licensing concepts, not a universal list price. Obtain a quote for your user count, data domains, retention and recovery requirements.

What “tools comparison” should measure

Protected workloads

Build a coverage table with rows for cloud VMs, databases, object and file storage, SaaS applications, endpoints, identity and on-premises systems. Mark each as native, agent-based, appliance-based, partner-integrated or unsupported. A gap in identity or SaaS recovery can be more damaging than a small difference in storage price.

Recovery capability

Check restore granularity, parallel recovery, cross-Region recovery, bare-metal or full-VM recovery, database point-in-time options, sandbox restores and disaster-recovery failover. Ask for documented throughput or service limits rather than assuming that backup ingestion speed equals restore speed.

Security and control

  • Vault or repository isolation from production accounts.
  • Immutability or retention-lock controls that administrators cannot casually delete.
  • Encryption in transit and at rest, including customer-managed key options where required.
  • Separate roles for backup administration, key administration and restore approval.
  • Audit logs that record policy changes, deletions, exports and restores.
  • Account or tenant separation for business units and regulated workloads.

A backup that an attacker can delete with the same credentials used to administer production is not a resilient recovery plan. Review identity boundaries and emergency access as part of the product evaluation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Operational model

Native cloud services can reduce deployment effort but may require separate consoles for SaaS, endpoint or on-premises systems. A multi-workload platform can unify policy and reporting but may introduce agents, appliances, connector maintenance or a larger contract. Compare who patches components, monitors failed jobs, handles support tickets and performs recovery during an incident.

Geography and compliance

Verify Region availability, data residency, retention policy, encryption requirements and evidence needed by your regulators. Availability can differ by workload and country. Record the documentation date and Region for every capability you rely on.

Build a comparable BaaS cost model

Normalize the scenario before comparing any list price. Give every provider the same assumptions:

  • Easily manage files and automatically free up space with the SanDisk Memory Zone app.(5). Non-Operating Temperature -20°C to 85°C
  1. Protected source capacity: current logical data and expected annual growth.
  2. Stored backup capacity: deduplication or compression assumptions, daily change rate and full-versus-incremental behavior.
  3. Schedule and retention: backup frequency, daily, monthly and annual retention, legal holds and archive tiers.
  4. Recovery activity: number, size and destination of normal restores and disaster restores.
  5. Restore testing: frequency, recovery-point age and temporary compute or storage required.
  6. Copies and transfer: cross-Region, cross-cloud or Internet egress volume.
  7. Management units: users, protected front-end capacity, endpoints, workloads, connectors or appliances.
  8. Support and commitments: response tier, minimum spend, contract term and partner services.

Then separate the result into four lines: management or license, backup storage, data movement and recovery operations. Include request, indexing, search, test and compliance meters when the provider documents them. State the Region, currency, unit and date for every public figure. If a provider requires a quote, label it as quote-based instead of inventing a starting price.

Common BaaS buying mistakes

Comparing storage rates alone

Storage is only one line. Restore volume, cross-Region transfer, search indexes, management capacity, user licenses and compliance tooling can dominate the total.

Assuming SaaS data is automatically protected

A SaaS provider’s own retention or recycle bin is not the same as an independent backup with separate administration and long-term retention. Confirm which objects, metadata, permissions and versions are recoverable.

Ignoring identity and access recovery

If identity directories or key systems are unavailable, restoring applications may not restore business operations. Include identity, privileged accounts and key-management dependencies in the recovery sequence.

Skipping realistic restore tests

A successful backup job proves that data was copied, not that the business can recover. Test the largest database, a representative endpoint, a SaaS record set and a complete application stack. Measure elapsed time and document manual steps.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Overlooking deletion and ransomware paths

Review who can delete vaults, shorten retention, revoke keys or disable policies. Use immutable copies, separate accounts and emergency credentials where the service supports them.

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Accepting a quote without unit definitions

Ask whether “capacity” means logical source data, protected front-end capacity, compressed storage, retained copies or active users. Request examples for growth, offboarding and a large restore so the meter is unambiguous.

A practical selection process

  1. Inventory: classify every workload, owner, location, data sensitivity and dependency.
  2. Set RPO and RTO: record targets and acceptable restore granularity per workload.
  3. Shortlist by coverage: remove services that cannot protect a critical source or recovery destination.
  4. Validate security: inspect isolation, immutability, encryption, roles and audit evidence.
  5. Run a proof of recovery: perform restores and measure the result against your targets.
  6. Normalize price: submit the same capacity, change, retention, restore, test and Region assumptions.
  7. Review operations: assign policy ownership, alert response, incident support and annual test responsibilities.
  8. Contract carefully: define data export, deletion, assistance during termination, price changes and support response.

Which approach fits which organization?

AWS-centric environment

Start with AWS Backup when most protected resources are AWS services or supported VMware systems and a centralized policy, vault and reporting model is valuable. Validate every non-AWS workload separately and include restore-test, search, transfer and Audit Manager costs.

Google Cloud environment

Start with Google Cloud Backup and DR when workload-specific management, vault or self-managed storage choices and explicit transfer accounting align with your architecture. Model protected capacity and inactive retained data, not just stored gigabytes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Mixed infrastructure and SaaS estate

Investigate a broad managed platform such as Druva when one operating model across data-center, public-cloud, productivity, endpoint, identity and CRM data could reduce console sprawl. Confirm module coverage and per-user pooling behavior for your actual account structure.

Highly specialized or regulated recovery

Consider quote-based enterprise platforms when you need dedicated recovery services, unusual application integrations, large-scale orchestration or contractual support. Require a workload-level demonstration and a transparent bill of materials before comparing offers.

What is known—and what still needs verification

Public documentation establishes the cost mechanics and workload scope described above, but it does not create a single, current price table across providers. Cloud rates vary by Region, workload and activity. Enterprise platforms frequently provide quotes rather than public rates. Recheck official pricing, supported workloads, Region availability and contract terms immediately before purchase because these details can change.

The defensible decision is therefore a scenario-based one: choose the service that protects all required workloads, meets tested RPO and RTO targets, provides an administratively separate recovery path and produces a complete, understandable cost model.
