There is no single time interval or chemical recipe that fits every refrigerated prep line: the current manufacturer manual, chemical label and local food code determine the exact steps.
Use this checklist as a control framework. Set the cleaning frequency from actual soil, product, allergen, temperature and usage conditions; isolate energy before reaching moving parts; remove only the components the manual permits; follow the wash-rinse-sanitize sequence; verify hard-to-clean areas before loading food; and hold the equipment out of service whenever an inspection or test fails.

Build a model-specific sanitation program first
Write a sanitation standard operating procedure (SSOP) for each makeline model and include it in a master sanitation schedule. The U.S. Food and Drug Administration’s HACCP guidance says cleaning and sanitation procedures should be written and followed, and that a master sanitation schedule should be in place. An SSOP should identify the equipment ID, food-contact and splash-zone surfaces, approved tools and chemicals, disassembly limits, safety controls, cleaning frequency, verification method, release authority and corrective actions.
Keep the current OEM cleaning and maintenance instructions at the equipment or in a controlled electronic location. They govern details that cannot be safely generalized, including belt or conveyor removal, access panels, refrigeration protection, electrical isolation, lubricant selection, nozzle removal and restart checks. If the manual conflicts with a generic checklist, follow the manual and the applicable local authority requirement.

How often should an automated makeline be cleaned?
Clean at a frequency necessary to prevent soil accumulation and recontamination, rather than relying on a universal interval. Increase the frequency when the line handles heavy production, high-fat or sticky foods, allergens, leaking containers, frequent product changeovers or warmer conditions. A written schedule should also state event-driven cleaning triggers, such as a spill, broken container, maintenance intervention or positive environmental result.
Temperature-based schedules can help establish a documented baseline, but they are examples to adapt to the establishment and governing code. USDA FSIS guidance from 2015 gives the following example intervals:
| Equipment or product temperature condition | Example maximum interval | How to use it |
|---|---|---|
| 5°C (41°F) or less | 24 hours | Documented FSIS example; confirm that it fits the process and local requirements. |
| Above 5°C to 7.2°C (45°F) | 20 hours | Shorter interval reflects increased temperature risk. |
| Above 7.2°C to 10°C (50°F) | 16 hours | Use only as an establishment-specific, documented control. |
| Above 10°C to 12.8°C (55°F) | 10 hours | Escalate the issue if the line cannot remain within its intended temperature range. |
The FDA Food Code (2022) states that warewashing equipment is cleaned during operation as needed and, when used, at least every 24 hours. That provision does not automatically establish a 24-hour rule for every makeline; the equipment’s function, food code jurisdiction and validated sanitation program still control. If a line is visibly soiled before the scheduled time, stop and clean it.
Before cleaning: protect food and people
- Stop production. Remove exposed ingredients, packaging and utensils from the work area. Cover or relocate protected food so spray, debris and chemicals cannot contaminate it. Discard food that has been exposed to cleaning chemicals or uncontrolled contamination.
- Identify the equipment. Confirm the model, review the current OEM procedure and check the sanitation log for open defects or prior failed checks.
- Control hazardous energy. Apply the site lockout/tagout or energy-isolation procedure when conveyors, pumps, blades, augers or electrical components could move or start. Do not reach into a moving belt or assume a stop button removes all stored or electrical energy.
- Put on required PPE. Use the chemical label and safety data information to select gloves, eye or face protection, protective clothing and any respiratory protection required by the site program.
- Document the starting condition. Record date, shift, equipment ID, responsible employee and pre-existing cracks, chips, deep scratches, loose seals, leaks or other damage. Photograph or escalate defects when the site procedure requires it.
Disassemble only what the manual permits
Remove product residue and detachable parts in the order specified by the OEM. Typical removable items include ingredient pans, guards, belts, nozzles, utensils, gaskets and drain screens, but the list varies by model. Never force a belt, seal or fitting that the manual does not identify as removable; forcing it can create a leak, destroy a hygienic seal or void a safety control.
Remove gross soil without spreading it
- Scrape food debris into waste before applying water. Keep tools used for dry residue, floors or drains separate from food-contact brushes and scrapers.
- Use a controlled pre-rinse, soak or brushing step when the soil requires it. Avoid high-pressure spray that drives debris into bearings, seams, electrical enclosures or adjacent clean areas.
- Work from cleaner surfaces toward dirtier surfaces and from higher areas toward drains, while preventing splash back onto already cleaned parts.
- Pay special attention to belt edges, hinges, grooves, seams, nozzle openings, pan supports, conveyor transfers and drain points where residue can remain hidden.
Follow the wash-rinse-sanitize sequence
Prepare every detergent and sanitizer exactly as its label specifies. The label controls dilution, water temperature, application method, required contact time and whether a potable-water rinse is required. Never mix chemicals. Store them in a secure, ventilated location away from ingredients, packaging and food-contact equipment.

1. Wash
Apply the approved detergent to all food-contact and adjacent splash-zone surfaces. Agitate with the correct brush, pad or low-pressure tool until visible grease, protein, starch and adhesive soil are removed. For manual warewashing, the FDA Food Code (2022) lists 43°C (110°F) as the minimum wash-solution temperature unless the detergent label specifies another temperature. Do not assume hotter is always better: excessive heat can bake protein onto surfaces, damage seals or conflict with the product label.
2. Rinse
Rinse with potable water when the detergent label or SSOP requires it. Remove detergent film from conveyors, pans, gaskets, nozzles, seams and drains before sanitizing. A sanitizer applied over residual detergent may be weakened or prevented from contacting the surface.

3. Sanitize
Apply the approved sanitizer at the label concentration and for the full labeled contact time. Use a properly maintained test method, such as the test strips specified by the site program, to confirm concentration when required. Cover every food-contact surface, including the underside and edges of removable parts, rather than treating only the visibly exposed top.
4. Drain or air-dry
Allow parts to drain or air-dry as directed. Do not wipe sanitized surfaces with a questionable cloth, stack wet parts tightly or reinstall components while pooled solution remains. If the OEM requires lubrication, use only the specified food-grade lubricant and apply it after sanitation without contaminating food-contact areas.

Inspect the places that are easiest to miss
Perform a documented pre-operational visual inspection before food is loaded. Use a flashlight and, where permitted by the SSOP, a clean inspection tool to examine:
- Gasket folds, retaining channels and the mating surfaces behind seals.
- Conveyor belt edges, sprockets, rollers, transfer points and the interface beneath guards.
- Nozzle tips, internal passages, caps and product-contact fittings.
- Pan rails, hinges, fasteners, welds, seams, grooves and corners.
- Drain openings, screens, troughs and areas around refrigeration condensate.
- Cracked, chipped, deeply scratched, warped or corroded food-contact material.
- Adjacent splash zones, control surfaces and undersides where aerosolized soil can settle.
Food-contact parts that are cracked, chipped, deeply scratched or otherwise defective must not return to service until repaired or replaced. FDA inspection guidance (2024) directs inspectors to check that retail and foodservice establishments follow the manufacturer’s cleaning and maintenance instructions; treating damaged surfaces as a maintenance issue as well as a cleaning issue supports that expectation.
Verify cleaning before releasing the line
Visual inspection is the minimum pre-operational check, not the only possible verification. Use ATP testing, swabs or environmental sampling when the site’s hazard analysis and verification plan require them. FDA GMP guidance (2004) identifies swab or ATP testing as a control for difficult-to-clean equipment.
- Complete the visual inspection at the defined inspection points.
- Measure sanitizer concentration or other critical parameters when the SSOP specifies them.
- Collect ATP, allergen or microbiological samples at assigned sites, including representative niches and gaskets.
- Compare results with the site’s established acceptance limits.
- Release the makeline only when all required checks pass and guards, belts, pans and nozzles are correctly reinstalled.
A failed check requires corrective action before production. Re-clean and re-sanitize the affected area, investigate the cause, repeat the failed test when required, and escalate recurring failures to sanitation, maintenance or quality personnel. Do not sign a line as clean merely because the scheduled time has elapsed.

Document the work and train the crew
Sanitation records demonstrate that the control was performed and make recurring problems visible. At minimum, record:
- Date, shift, equipment ID and the employee who cleaned it.
- Start or completion time and the procedure or revision used.
- Detergent and sanitizer identity, concentration checks and relevant water-temperature readings.
- Parts removed, unusual soil, leaks or damage found.
- Visual, ATP, swab or environmental results, including sample locations when applicable.
- Corrective action, re-cleaning, retest and the person authorizing release.
Train employees on chemical labels, PPE, lockout/tagout, hygienic tool segregation, allergen changeovers, dismantling limits and what to do when a result fails. Chemical containers must remain labeled, closed when not in use and separated from food and packaging. Sanitation controls are part of preventive food safety, not optional housekeeping.

Some makelines support a validated clean-in-place or automated wash cycle; others require substantial manual dismantling. Automation can improve repeatability, but it does not remove the need to verify access to niches or follow the OEM procedure.
| Decision factor | Manual program | Automated program |
|---|---|---|
| Access to food-contact surfaces | Operator can remove and scrub parts, but missed niches depend on technique. | Spray or circulation can reach designed passages consistently; shadowed areas still need confirmation. |
| Chemistry control | Employee measures label dilution and contact time for each task. | Dispensing and cycle parameters may be repeatable only when calibrated and compatible with the chemical label. |
| Operator dependence | Higher dependence on correct disassembly, brushing and coverage. | Lower variation during a validated cycle, with continued dependence on correct setup and loading. |
| Verification evidence | Visual checks and targeted ATP or swabs show whether manual access was effective. | Cycle records show that a program ran; visual and, when required, ATP or swab checks show that surfaces were actually clean. |
| Downtime and labor | Often more hands-on labor and potentially longer dismantling. | Can reduce labor, but requires cycle time, maintenance and calibration. |
| Manual compatibility | Must follow the model’s approved removal and cleaning instructions. | Only use an automated cycle expressly approved for that model, parts and chemistry. |
| Records and corrective action | Signed checklists capture individual steps and defects. | Retain cycle parameters or printouts alongside inspection, test and corrective-action records. |
Restart checklist after sanitation
- Confirm all parts are dry or appropriately drained and that no tools, rags or loose fasteners remain inside the equipment.
- Reinstall belts, guards, pans, gaskets, nozzles, drain screens and utensils exactly as shown in the OEM instructions.
- Verify that seals seat correctly, drains are open, lubrication is limited to approved points and no chemical residue remains.
- Remove lockout/tagout only under the site’s authorized procedure, then perform the manual’s restart and safety checks.
- Check refrigeration, alarms, conveyor tracking and dispensing operation before loading ingredients.
- Complete the pre-operational release signature and load food only after required inspections and tests pass.
Common failures and the right response
Residue returns soon after cleaning
Check whether the soil is entering from a belt underside, gasket channel, nozzle passage, drain or adjacent splash zone. Review brush access, detergent concentration, wash temperature and contact time, then revise the SSOP or frequency if the cause is recurring.
Best Value
ATP or swab results fail while surfaces look clean
Re-clean the failed site and its adjoining niches, verify sanitizer preparation and contact time, and retest according to the verification plan. Investigate biofilm-prone seams, damaged surfaces, poor drainage and cross-contamination from tools.
Sanitizer concentration is out of range
Hold the equipment, discard improperly prepared solution, prepare fresh sanitizer according to the label and confirm the result with the approved test method. Never compensate by mixing products or guessing a stronger dilution.
A part cannot be removed or reinstalled
Stop forcing it. Consult the current OEM manual or authorized maintenance personnel; an improvised removal can damage hygienic design or create a safety hazard. Keep the line out of service until the part is correctly restored and the release checks pass.
