A diagram can show a system boundary, dependencies, runtime sequence or deployment location at a glance. Prose must carry the goals, constraints, quality requirements, trade-offs, responsibilities, risks and definitions that arrows and boxes cannot express reliably.
The strongest architecture description deliberately combines both. Start with the stakeholder concern, choose the smallest useful diagram at the right abstraction level, and place concise explanatory text beside it. Treat neither medium as a complete substitute for the other.

Diagrams make structure and behavior visible
A diagram earns its place when the reader needs to see relationships. Typical questions include:
Outdated Drivers Are Slowing You Down

- Which building blocks depend on one another?
- What happens next during a request, event or failure?
- Where does each part run, and across which networks, zones or environments?
Spatial arrangement, grouping and arrows let a reader form a mental model quickly. A well-scoped view can orient an executive, help a developer find an integration point or let an operator trace a deployment path without reading several pages of description.

Prose explains intent and conditions
Written documentation is better for questions that begin with why, under what constraints or what does this term mean. It can state a quality target, explain why a service boundary was selected, record an accepted trade-off, assign ownership, describe a risk and define an unfamiliar acronym. It can also qualify an apparently simple relationship: an arrow may mean synchronous HTTP, an asynchronous message, a replicated data flow or merely a conceptual dependency. Text removes that ambiguity.
Prose is also the durable place for information that does not have a natural visual encoding, such as regulatory obligations, service-level objectives, threat assumptions, migration plans and unresolved questions. Short tables and lists often communicate these details more clearly than crowded diagram callouts.
Why neither is a complete architecture description
An architecture diagram is a view, not the entire architecture. It omits detail by design. A paragraph can describe a decision but cannot efficiently show a many-to-many dependency map. Treating one artifact as the whole description either overloads the picture or leaves the reader to infer facts that should be explicit.
There is no evidence in the cited standards and framework material for a measured productivity or comprehension advantage for diagrams over prose, or vice versa. Choose based on the reader’s question, not on a claim that one medium is universally superior.
Choose the view before choosing the notation
The C4 model organizes architecture views by abstraction: software system, container, component and code. It also identifies system-landscape, dynamic and deployment diagrams as supporting views. C4 is an approach rather than a mandatory drawing notation, and its official description emphasizes that it is notation- and tooling-independent.
| View | Best question | Typical audience | What to keep out |
|---|---|---|---|
| System or landscape | What systems and external actors are in scope, and how do they relate? | Leadership, product, security, operations and engineering | Internal classes, implementation details and every data field |
| Container | What deployable applications or data stores make up the software system? | Developers, architects, operators and technical stakeholders | Private methods and low-level framework details |
| Component | How is one container decomposed, and which components collaborate? | Teams changing that subsystem | Unrelated systems and incidental code structure |
| Code | How are the important implementation units arranged? | Developers working in the codebase | A complete dump of every class or file |
| Dynamic | What happens during a particular use case, event or failure path? | Developers, testers, operators and incident responders | Every possible branch in one sequence |
| Deployment | Where do parts run, and how are environments and infrastructure connected? | Operations, platform, security and reliability teams | Business rationale that belongs in accompanying text |
Select the least detailed view that answers the immediate question. If a reader asks where a payment provider sits, a system or container view is sufficient; a component diagram would add noise. If a team is changing the payment adapter, the component view becomes useful. A dynamic view is appropriate for the checkout request sequence, while a deployment view explains its placement across regions or zones.
What a diagram should contain
Scope and audience
Give every diagram a title that names its subject and level, such as “Checkout service—container view.” State the system boundary, environment and date or revision. Identify the intended audience in nearby text when the same repository serves nontechnical and technical readers.

Meaningful relationships
Label important arrows with the relationship or protocol when it is not obvious. Distinguish a call from an event, a data read from a write, and a runtime dependency from an ownership relationship. Use a legend only for symbols that appear in the diagram; a legend that requires a separate manual is a sign that the view is too dense.
Selective detail
Include blocks that help answer the stated question. Grouping can show a trust boundary, team boundary or deployment zone, but explain the grouping in prose. If a detail is needed only by one specialist audience, link to a lower-level view rather than placing it on every diagram.
Static, dynamic and deployment concerns
Keep different concerns separate. A static building-block view describes decomposition and dependencies. A dynamic view describes a scenario over time. A deployment view describes runtime placement and infrastructure relationships. Combining all three in one drawing makes labels, arrows and failure paths difficult to interpret.
What written documentation should contain
arc42 offers a free, open-source, tailorable template with 12 sections. It is a useful checklist for material that diagrams routinely omit:
| arc42 section | Information to write down |
|---|---|
| 1. Introduction and goals | Purpose, stakeholders, business goals and the success criteria for the system. |
| 2. Constraints | Technical, organizational, legal, budgetary and schedule constraints that limit options. |
| 3. Context and scope | Functional context, external interfaces, assumptions and explicit exclusions. |
| 4. Solution strategy | The high-level approach and the quality goals it is intended to satisfy. |
| 5. Building blocks | Decomposition, responsibilities, dependencies and the motivation for the chosen boundaries. |
| 6. Runtime | Important scenarios, interactions, concurrency, failure handling and state transitions. |
| 7. Deployment | Environments, nodes, networks, rollout shape and operational dependencies. |
| 8. Crosscutting concepts | Security, persistence, logging, error handling, configuration and other concerns spanning blocks. |
| 9. Architecture decisions | Decision context, alternatives considered, selected option, consequences and status. |
| 10. Quality requirements | Scenarios or targets for performance, availability, security, maintainability and other quality attributes. |
| 11. Risks and technical debt | Known weaknesses, likelihood or impact, mitigations, owners and review triggers. |
| 12. Glossary | Domain terms, abbreviations and distinctions that prevent misunderstandings. |
The template is a map, not a demand to write an equal amount in every section. A small internal tool may need a short constraints section and a few decisions. A safety-critical or highly regulated system needs stronger traceability and more explicit evidence. Keep the detail proportionate to criticality, risk and stakeholder needs.
How to combine a diagram and prose
Use a paired-artifact workflow rather than producing a picture first and adding a generic paragraph afterward.
- Start with a stakeholder concern. Phrase the task as a question: “Which systems receive customer data?”, “How does a failed payment recover?” or “Where is the order database deployed?”
- Choose the viewpoint and level. Select system, container, component, code, dynamic or deployment. Record the scope and audience in the title or caption.
- Sketch only the necessary elements. Add the boundary, actors, blocks and relationships required to answer the question. Remove decorative or speculative detail.
- Write a short reading guide. Explain the purpose of the view, the meaning of important arrows, the assumptions and any deliberately omitted detail.
- Add rationale and constraints nearby. Link the decomposition to the relevant quality requirements, constraints and architecture decisions. Explain trade-offs in prose instead of hiding them in labels.
- Connect to operational and decision records. A reader should be able to move from a block to its responsibility, owner, runbook, decision record or quality requirement without searching blindly.
- Review with representative readers. Ask a non-author to answer the original question using only the paired artifacts. Misreadings reveal missing labels or explanations.
- Update both when the system changes. A changed interface, deployment target or decision can invalidate the picture and its rationale. Treat the pair as one changeable unit.
Decision matrix: diagram, prose or both?
| Reader need | Primary artifact | Supporting material | Reason |
|---|---|---|---|
| Orient a new stakeholder to system boundaries | System-context or landscape diagram | Scope and glossary prose | Relationships are spatial; terms and exclusions need explanation. |
| Explain a service decomposition | Building-block or container diagram | Responsibilities and decomposition rationale | The picture shows shape; text explains why the boundaries exist. |
| Trace a request or event | Dynamic diagram | Preconditions, failure behavior and timing assumptions | Sequence is visual, while edge conditions are textual. |
| Describe runtime placement | Deployment diagram | Environment constraints, security controls and rollout notes | Location and connections need a map; operating conditions need prose. |
| Record an architectural choice | Written decision record | Diagram showing the selected structure | Alternatives, consequences and status cannot be inferred from boxes. |
| Specify quality goals | Written scenarios or requirements | Diagram highlighting affected paths | Targets and acceptance conditions require precise language. |
| Investigate a production incident | Focused dynamic or deployment view | Timeline, symptoms, assumptions and corrective decisions | The view narrows the path; text preserves evidence and reasoning. |
Example: documenting an online checkout
Suppose a checkout system contains a web application, an order service, a payment adapter, an order database and a message broker. A container diagram can show those blocks, the customer and an external payment system, and the principal calls or events. That answers “what connects to what?” without exposing classes.

A dynamic view for “payment accepted” can show the web application calling the order service, the order service requesting authorization through the adapter, the adapter receiving the result, and an order-created event published for fulfillment. The accompanying text should state what happens when authorization times out, whether retries are safe, when an order becomes visible, and which operation is idempotent. Those conditions are more legible as prose or a small table than as a maze of branches.

A deployment view can place the web application and services in the production cluster, the database in its managed zone and the payment connection across an external boundary. Prose then records network restrictions, credential ownership, backup expectations and the environments represented. A decision record can explain why the adapter is separated from the order service, which alternative was rejected and what coupling is accepted.
Maintenance, ownership and change control
Assign an owner and a review trigger
Each significant view and decision record needs an accountable team. Define review triggers such as an interface change, a new deployment environment, a material quality requirement, an incident or a scheduled architecture review. A date alone does not guarantee freshness; a trigger tied to change does.
Version the artifacts together
Keep diagram source, rendered output and explanatory text under the same review process when possible. A pull request or equivalent change record should show the affected view and the paragraphs that explain its rationale. If a diagram is generated from code or a model, preserve the source and verify that generated labels remain understandable.
Prefer purposeful records
arc42 cautions: “Put decisions in writing as sparingly as possible, because written documentation creates maintenance effort for every future change.” The advice is to record decisions that future readers need, not to omit information required for safe operation, compliance or stakeholder understanding. A short, precise decision record is easier to maintain than a speculative catalogue of every conversation.
Detect staleness
Readers lose trust when a diagram contradicts the running system or when a decision record describes a retired component. During reviews, check boundaries, interfaces, ownership, deployment targets and links to requirements. Mark superseded views clearly and point to the current one; do not silently leave competing “current” diagrams.

Fix: split it into a context or landscape view plus focused container, dynamic and deployment views. Give each a question and an audience.
Boxes with no semantics
Symptom: labels such as “API,” “engine” or “database” appear without responsibilities, protocols or ownership.
Fix: add a concise responsibility statement and label relationships. Put detailed definitions and rationale in the accompanying text.
Paragraphs that merely narrate the picture
Symptom: prose repeats that “A connects to B” without explaining why, under what constraints or what happens on failure.
Fix: reserve prose for intent, assumptions, quality requirements, alternatives, consequences, risks and terminology. Let the diagram carry the spatial relationship once.
Using a dynamic view as a dependency map
Symptom: a sequence diagram is treated as the permanent inventory of all dependencies.
Fix: maintain a static building-block view for structure and use dynamic views for named scenarios. State the scenario’s preconditions and scope.

Unstated abstraction
Symptom: an executive sees classes while a developer sees only product names, so each audience draws the wrong conclusion.
Fix: choose the C4 level deliberately, label it, and link to the next level for readers who need more detail.
Decision rationale disappears
Symptom: a diagram shows the selected technology or boundary, but nobody can explain the trade-off.

A practical publishing checklist
- The title states the subject, view type, environment and revision where relevant.
- The diagram answers one identifiable structural, behavioral or deployment question.
- The boundary, audience and abstraction level are explicit.
- Arrows and symbols have clear meanings; protocols or relationship types are labeled when needed.
- Prose explains purpose, assumptions, constraints, responsibilities and important omissions.
- Quality requirements, risks, technical debt and decisions are recorded outside the drawing when they need qualification.
- Terms and abbreviations appear in a glossary or are defined at first use.
- Related views, decision records, requirements and operational guidance are linked for traceability.
- An owner and change trigger are identified.
- The artifact has been tested with a reader who did not create it.
Standards and frameworks in context
ISO/IEC/IEEE 42010:2022 specifies requirements for architecture descriptions, including frameworks, viewpoints and model kinds. Its concern-oriented structure supports choosing a perspective for a stakeholder need instead of collecting diagrams for their own sake.
The C4 model supplies a practical hierarchy and supporting view types for software architecture diagrams. Its value is the separation of abstraction levels and questions, not adherence to a particular drawing tool or notation.
arc42 supplies a tailorable 12-section documentation template, including a building-block view, architecture decisions, quality requirements, risks and a glossary. Its building-block guidance pairs an overview diagram with the motivation for decomposition and descriptions of the blocks.

Use these resources as complementary aids: ISO 42010 frames what an architecture description must serve, C4 helps select software-architecture views, and arc42 provides a written structure for context and rationale. None removes the need to decide what a particular audience must understand.
