For a settlement appointment where a misunderstanding could affect legal advice, immigration status, health, consent, safety, or access to services, ask the appointment provider to arrange a qualified professional interpreter. A translation app can help with a low-stakes greeting or simple logistics, but it is not an equivalent substitute for an accountable interpreter in a consequential conversation.
The short answer
Use a professional interpreter whenever the appointment involves decisions, rights, obligations, medical information, trauma, safeguarding, consent, or confidential advice. Tell the provider your language and dialect before the appointment and ask how interpretation will be arranged. Confirm whether the service will be in person, by telephone, or by video, and raise any privacy or conflict concerns.

An AI or automated translation app may be a temporary aid for informal exchanges such as finding a waiting room or confirming an appointment time. Do not use it to establish that you understood legal advice, immigration questions, a diagnosis, medication instructions, a consent form, or a safety plan. There is no sound basis for treating an app’s output as proof that a consequential conversation was translated accurately.

The exact entitlement, cost, booking responsibility, and accepted technology depend on the country, provider, appointment type, and language. The guidance discussed below is strongest for the United Kingdom and, in one case, specified immigration-detention settings; it is not a universal rule for every settlement appointment.

Why the distinction matters
Interpreting is more than replacing words. A professional interpreter listens to the complete message, preserves meaning and tone, manages turn-taking, asks for clarification when a phrase is ambiguous, and communicates what was said without becoming the decision-maker. In a settlement appointment, a small misunderstanding can change an answer about residence, family relationships, previous applications, medical history, consent, or immediate risk.
Translation apps generate an output from speech or text. They can struggle with accents, background noise, overlapping speakers, code-switching, idioms, literacy differences, uncommon names, and dialect-specific vocabulary. They may also omit uncertainty or produce a fluent sentence that sounds convincing but changes the meaning. The reviewed guidance does not establish a universal percentage accuracy advantage for human interpreters; it instead sets professional and policy requirements for situations where accuracy is important.
AI app or professional interpreter: comparison
| Decision factor | Translation app | Professional interpreter |
|---|---|---|
| Legal, immigration, health, consent, or safeguarding discussion | Not an equivalent replacement; use only as a limited, informal aid if the provider permits it. | Appropriate option to request when the conversation may affect rights, treatment, status, safety, or informed consent. |
| Accountability and impartiality | No independent person is responsible for checking the meaning, completeness, or neutrality of the output. | A trained interpreter is expected to interpret accurately and completely, remain impartial, and avoid giving the parties legal or medical advice. |
| Clarification and context | May misrecognise speech or select the wrong sense of a word without reliably signalling the problem. | Can ask for repetition or clarification and alert the participants to an ambiguity while preserving the speaker’s role. |
| Privacy and confidentiality | Data handling depends on the service. The guidance reviewed does not verify the privacy practices of any particular application. | Ask the provider what confidentiality arrangements, professional duties, and conflict procedures apply. |
| Language and dialect | Coverage and quality vary by language, dialect, script, accent, and connection quality. | Request the precise language and dialect; the provider should confirm whether a suitable interpreter is available. |
| Availability and modality | Often immediately available on a device, subject to connectivity, audio, and battery. | May be in person, by telephone, or by video; booking lead time and availability must be confirmed with the provider. |
| Cost and arranger | The app may appear free or be covered by a user’s existing service, but that does not establish suitability or who bears responsibility. | There is no universal payment rule. Ask the appointment provider who books and pays for interpretation in your case. |
What UK immigration guidance says
Immigration advice appointments
The UK Office of the Immigration Services Commissioner (OISC) states that if an adviser and client cannot communicate clearly and easily, the adviser must arrange a suitable interpreter for the meeting. The guidance says the adviser should consider the interpreter’s competence, experience, independence, and relevant register membership. For detailed representations, a qualified professional may be necessary rather than an informal helper.

This is especially important when an appointment covers an application, refusal, appeal strategy, evidence, deadlines, conditions, or advice about what to disclose. Ask the adviser in advance to record your preferred language and dialect and to confirm the interpreter’s role. If you are unsure whether the meeting is an advice appointment or merely an administrative contact, tell the provider that you need language support and ask what standard applies.

Immigration detention settings
The UK Home Office Detention Services Order 02/2022, version 2.0, implemented in June 2026, says electronic translation devices are an additional support tool. It states that devices must not replace in-person or telephone interpretation for essential interactions where accuracy is significantly important. The order identifies legal appointments, healthcare, asylum screening, and sensitive matters among the interactions requiring professional interpretation.
It also directs staff to move from a device to professional interpretation when the device is ineffective or when a person raises an important or sensitive subject, including health, trauma, vulnerability, self-harm, or legal or immigration issues. In the covered operational setting, the order restricts internet or AI translation search engines and limits devices to informal or general communication.
Those instructions apply to the specified immigration-removal and short-term-holding settings covered by the order. They should not be presented as a rule governing every public settlement appointment, every UK service, or people using an app on their own phone. They do, however, illustrate the safety boundary: once accuracy or sensitivity becomes central, switch to a professional interpreter.

The UK migrant-health guide says a professional interpreter should always be offered when language is a problem in discussing health matters. It warns against relying on automated online translation in healthcare because translation quality is not assured. Health services are also advised to account for language, dialect, and literacy needs.

Request a professional interpreter for symptoms, medical history, diagnoses, medication, allergies, mental-health concerns, pregnancy, sexual health, disability, capacity, treatment choices, discharge instructions, or consent. The same applies when you need to discuss domestic abuse, exploitation, self-harm, trauma, or another safety concern. A person may not feel able to disclose sensitive information through a relative, a device that stores audio, or an interpreter who has a relationship with someone involved.
If an app is used briefly to find a clinic room or communicate a non-sensitive practical message, stop using it as soon as the conversation turns to health, risk, or consent. Ask the clinician or provider to arrange qualified interpretation and request that the need is documented in your record.
Why a friend or relative is not automatically enough
A friend or family member may provide emotional support, but support and interpreting are different roles. OISC guidance says that where a friend or family member is proposed, the adviser should assess competence, willingness, understanding of the role, and confidentiality. A witness or potential witness should not interpret. A relative may also have a conflict of interest, feel pressure to edit an answer, or be unable to translate technical language accurately.

How to request an interpreter
- Contact the provider early. Use the appointment letter, adviser, clinic, settlement service, or detention-facility contact listed for your appointment. State that you need an interpreter, not merely translated written information.
- Name the language and dialect. Give the language you speak most comfortably and identify a regional dialect or variant if relevant. Mention whether you read the language, need spoken interpretation, or have literacy, hearing, or speech-access requirements.
- Explain the stakes. Say if the discussion may involve legal advice, immigration status, medical details, trauma, safety, consent, safeguarding, or confidential information. This helps the provider choose the appropriate service rather than an informal device.
- Ask who arranges it. Confirm whether the provider books the interpreter, whether you must make a request through another office, and whether any fee could apply. Do not assume a payment rule from another country or appointment type.
- Confirm the format. Ask whether interpretation will be in person, by telephone, or by video; whether the interpreter will join at the scheduled time; and what you should do if the connection fails.
- Check privacy and conflicts. Ask how confidentiality is handled and tell the provider privately about any person you do not want interpreting or any relationship that could affect neutrality.
- Get the arrangement in writing. Keep the confirmation with the appointment details. If the language, dialect, date, or modality is wrong, correct it before the meeting.
How to work with the interpreter during the appointment
At the start
- Ask the adviser, clinician, or officer to introduce the interpreter and explain the interpreter’s role.
- Confirm the language and dialect and say if you are having difficulty hearing or understanding the interpreter.
- Speak directly to the professional using “I” and “you,” rather than addressing the interpreter as the person making the decision.
- Agree that everyone will use short, complete turns and pause for interpretation.
When something is unclear
- Stop and ask for the sentence to be repeated or explained in different words.
- Tell the professional if an idiom, name, date, legal term, or medical term has no direct equivalent.
- Do not guess, nod merely to keep the meeting moving, or sign a document you do not understand.
- Ask for a break if the subject is traumatic or the pace is too fast.
At the end
Ask the professional to repeat any decision, deadline, medication instruction, follow-up action, or safety plan through the interpreter. Confirm what will happen next and who to contact if a document or interpretation later appears wrong. The interpreter should not replace the adviser, clinician, or decision-maker and should not give you independent legal or medical advice.
If a translation app is the only immediate option
There may be an unexpected delay, a non-sensitive practical question, or an informal exchange before a professional interpreter is available. In that narrow situation:
- Use the app only for general logistics, such as locating a room or asking whether an appointment has started.
- Do not enter names, identification numbers, case details, medical histories, immigration facts, legal strategy, passwords, or safeguarding disclosures into an unvetted service.
- Tell the staff member that the app is not sufficient for the substantive discussion and request professional interpretation.
- Do not treat a translated sentence, a nod, or a displayed “back translation” as confirmation that you understood the advice.
- If the meeting has already begun and the topic becomes consequential, ask for the discussion to pause until an interpreter is available.
No named application can be endorsed for confidential use on the evidence available here. Privacy policies, retention, human review, account settings, and language quality differ between services and can change over time.

Ask the provider which modalities it can offer and whether your circumstances make one unsuitable. In-person interpretation may help when documents, gestures, hearing access, or a highly sensitive conversation require close coordination. Telephone interpretation can be useful when an appointment is urgent or a local interpreter is unavailable, but participants must manage speaker identification and turn-taking carefully. Video may provide visual access while avoiding travel, though it depends on a stable connection, a suitable device, and a private location.
Best Value
The right choice depends on the language and dialect, the subject, accessibility needs, privacy, urgency, and the provider’s procedures. A particular modality should not be accepted merely because it is faster if it prevents accurate, confidential communication.
Costs, booking responsibility, and country-specific limits
The available guidance does not establish one worldwide rule about who pays or whether an interpreter is free. Responsibility can differ between an immigration adviser, clinic, government office, detention facility, court, settlement agency, and private organization. Ask the provider directly:
- Who requests and books the interpreter?
- Is there a charge, and if so, who is responsible?
- What qualifications or register membership does the provider require?
- How much notice is needed, and what happens if the interpreter cannot attend?
- Can the appointment be postponed if suitable interpretation is unavailable?
US federal court interpreter standards describe professional principles including accuracy, completeness, impartiality, confidentiality, and limits on interpreters giving legal advice. Those standards concern federal court interpreters; they do not create a universal rule for a non-court settlement appointment. Similarly, the UK Home Office detention order is limited to the settings it covers. Verify the applicable policy with the organization handling your appointment.

What to do if the provider offers only an app or an unsuitable person
- Explain that the appointment involves a consequential subject and that you cannot communicate clearly and easily without suitable interpretation.
- Identify the exact problem: wrong dialect, lack of confidentiality, a conflict of interest, inability to interpret technical terms, hearing or literacy access, or unreliable audio.
- Ask for an independent professional by telephone, video, or in person, whichever is available and appropriate.
- Request that your concern and the response be recorded in the appointment notes or booking record.
- If the provider proceeds, repeat that you do not consent to substantive discussion or signing documents until you understand them through suitable interpretation.
- Ask for the organization’s complaints, safeguarding, patient-advice, adviser-supervision, or case-management route if the issue is not resolved.
Pre-appointment checklist
- Language and dialect supplied correctly.
- Interpreter requested and booking confirmed.
- Format confirmed: in person, telephone, or video.
- Medical, trauma, legal, immigration, consent, or safeguarding sensitivity disclosed.
- Privacy, confidentiality, and conflicts discussed.
- Accessibility and literacy needs recorded.
- Provider’s cancellation, delay, and fallback procedure understood.
- Identification, documents, medication list, or other materials prepared in the original language, with clarification requested rather than guessed.
Bottom line for settlement appointments
If misunderstanding could change your legal position, immigration outcome, health decision, consent, safety, or access to support, request a qualified professional interpreter through the appointment provider. Use an AI translation app only for limited, informal assistance when no consequential information is being exchanged, and move to professional interpretation as soon as the subject becomes important or sensitive.
