Short answer: an AI receptionist subscription can start at tens of dollars per month, while a U.S. in-house receptionist costs about $3,410 per month in wages plus employer FICA before benefits and other variable payroll expenses. Those figures are not equivalent purchases. The employee may greet visitors and run a front desk; an AI plan usually answers calls within a minute allowance and charges for additional usage.
A September 2026 sample found a $79 monthly median entry price for AI receptionist services and $250 for human answering services, but the samples were small and covered published entry plans rather than complete staffing costs. The only defensible way to decide is to match coverage, duties, call volume, minutes, overages, and escalation requirements.

The price comparison in one table
Every number below carries a date, geography, and scope. Treat the figures as reference points for building your own quote comparison, not as a universal tariff.
| Option | Published figure | What it measures | Important limitation |
|---|---|---|---|
| In-house receptionist, United States | $38,010 median annual wage in May 2025; about $3,410 per month after adding 7.65% employer FICA | Wage plus the employer share of Social Security and Medicare, calculated by Voxrater from the occupation identified as BLS 43-4171 | Excludes state-variable unemployment insurance, workers’ compensation, benefits, recruiting, paid leave, equipment, and facilities |
| AI receptionist service | $79/month median entry price; $29–$399 range | September 2026 median among seven vendors with comparable published entry pricing, indexed by FitMyCall | Plans may include only a defined number of minutes or calls and may bill overages, setup, integrations, or premium features separately |
| Human answering service | $250/month median entry price; $99–$350 range | September 2026 median among three published human-service entry plans in FitMyCall’s sample | Not a full-time employee cost; included minutes, billing increments, and transfer rules vary |
| Human-service entry rates | $1.75–$5.00 per included minute; $1.98 median where an allowance was stated | Rates reported for the sampled human answering plans | Small selected sample; setup, message handling, after-hours rules, and overage pricing can change the effective rate |
Voxrater’s employee calculation uses the May 2025 median wage reported for BLS occupation 43-4171 and multiplies it by 1.0765 for employer FICA: $38,010 × 1.0765 = $40,917.77 annually, or approximately $3,410 monthly. That is a payroll floor, not a fully loaded employment cost. Voxrater also presents an illustrative benefits-inclusive figure of roughly $54,400 a year by applying a broad all-private-industry BLS cost ratio. It is not a measured cost for receptionists, so use it only as a sensitivity check.

How much does an AI receptionist cost?
Use the entry-price median only as a starting point
FitMyCall’s September 2026 index reports a $79 monthly median entry price across seven AI receptionist vendors with comparable published prices. The observed range was $29 to $399 per month. “Entry price” generally means the first public plan, not unlimited calling, a guaranteed number of bookings, or a complete replacement for a front desk.
Two plans with the same monthly sticker price can have very different capacity. One may include 100 minutes, another 500 minutes, and a third may count every call in rounded billing increments. Some plans include a phone number and basic routing; others charge for additional numbers, calendars, customer-relationship-management integrations, call recording, or human escalation. Ask for the included minutes, included calls, billing increment, and overage rate in writing.

Calculate expected usage before comparing plans. Multiply monthly answered calls by the average connected duration, then add a buffer for transfers, hold time, and seasonal peaks. For example, 200 calls averaging four minutes represent about 800 connected minutes before any transfer or retry time. A plan priced at $79 may be inexpensive if it includes more than that volume, but expensive if it includes only a small allowance and bills each additional minute.
Do not assume a caller who hangs up immediately costs the same as a completed appointment. Providers may measure connected seconds, rounded minutes, calls, or a combination. A five-minute call transferred to a person can create charges on both the AI leg and the destination leg. The contract’s definition of a billable interaction is more useful than a marketing label such as “unlimited.”
What an AI receptionist can and cannot replace
An AI system is usually strongest at repeatable phone workflows: greeting, collecting a caller’s name and reason, answering approved questions, taking a message, booking within a configured calendar, and routing calls by rules. It does not automatically perform every task of an employee. Verify whether it can:

These capabilities affect labor saved and customer experience, but they may also affect the plan tier and usage bill.

Published entry plans
FitMyCall’s September 2026 sample places the median human answering-service entry plan at $250 per month, with a range of $99 to $350 among three services. Where an included-minute allowance was stated, entry rates ran from $1.75 to $5.00 per minute, with a $1.98 median. The sample is too small to represent the entire market and should not be confused with the cost of employing a receptionist.
A live service may answer in a trained script, take messages, schedule appointments, or transfer calls. The labor is supplied by the service’s staff, not by someone sitting in your office. Check the service window: an inexpensive plan limited to weekdays may not cover the evenings, weekends, or holidays when your missed calls occur.
Questions that change the effective rate
- Is the allowance measured in minutes, calls, messages, or agent time?
- Are minutes rounded up to the nearest minute or a larger increment?
- Does a transfer consume additional billable time?
- Are outbound confirmations, appointment changes, and follow-up calls included?
- What happens when the allowance is exhausted: overage billing, a pause, or an automatic tier change?
- Are setup, script changes, bilingual coverage, extra departments, or holiday coverage charged separately?
Compare the total expected invoice at your volume, not just the advertised entry plan.
Is an AI receptionist cheaper than hiring a receptionist?
For phone answering alone, an AI subscription is usually priced far below the payroll floor for a U.S. in-house employee. That does not prove a saving, because the employee and the subscription may be doing different jobs. An office receptionist can greet walk-ins, accept deliveries, manage a waiting area, coordinate rooms, open mail, and handle unstructured requests while answering the phone. A call service normally performs only the tasks you configure and purchase.

Compare the same scope
| Cost question | In-house employee | AI or live answering service |
|---|---|---|
| Coverage | Scheduled shifts; coverage stops during breaks, absence, or turnover unless another employee fills in | Often extends beyond office hours, but only during the purchased service window and subject to plan limits |
| Physical front desk | Yes, when the employee is on site | No; a remote service cannot greet a visitor or receive a package |
| Phone volume | Usually handled within the shift, subject to simultaneous-call capacity | Metered by calls or minutes, with provider-specific concurrency and overage rules |
| Payroll burden | Wage, FICA, unemployment insurance, workers’ compensation, benefits, leave, recruiting, and equipment | Subscription, usage, setup, integrations, and any optional human escalation |
| Judgment and exceptions | Can learn context and ask a manager, within training and authority | Limited by configured rules; escalation must be designed and tested |
The practical question is not “Which monthly number is smaller?” It is “What is the least expensive way to cover the exact work that matters?” A small office that needs a phone answered after hours may need only an AI plan. A clinic that requires a person to triage urgent calls may need live answering or an employee even if an AI plan is cheaper.

A 100-call example: how overages change the answer
NextPhone modeled 100 calls per month at three minutes each, or approximately 300 minutes. In its vendor-specific October 5, 2026 comparison, budget AI examples were $75 to $85 at the allowance level and $149 after overages; a flat-rate AI example was $199. Human live-answering examples ranged from $479 to $1,160. These are published comparison calculations, not an independently audited tariff or a universal price list.
| Modeled option | Monthly result in NextPhone’s example | How to interpret it |
|---|---|---|
| Budget AI | $75–$85 before the modeled overage; $149 after overage | The allowance was not sufficient for the modeled usage at the lower price |
| Flat-rate AI | $199 | A higher fixed fee traded some usage uncertainty for a predictable modeled bill |
| Human live answering | $479–$1,160 | Different services and allowances produced a wide range for the same 300-minute scenario |
This example demonstrates why “AI is $79” is not a complete cost statement. At your volume, ask the provider to quote the base plan, included allowance, expected overage, and total with taxes or setup charges. Run the same 100-call, three-minute calculation for every option so the comparison is consistent.
Build a defensible cost model for your business
A simple worksheet can produce a more useful answer than a generic calculator. Record the inputs and keep one period—normally a month—throughout the calculation.
- Define the role. List phone answering, appointment booking, message taking, transfers, outbound reminders, walk-in greeting, deliveries, mail, and other front-desk duties. Mark which tasks must remain on site.
- Measure demand. Pull at least several months of call logs if available. Record answered calls, missed calls, abandoned calls, average connected minutes, peak hours, seasonal spikes, and the share that require a transfer or booking.
- Set coverage requirements. Write the required hours, weekends, holidays, languages, locations, and maximum acceptable response time. Separate business-hours coverage from after-hours coverage.
- Price the employee scope. Start with annual wage. Add the 7.65% employer FICA share, then add state unemployment insurance, workers’ compensation, benefits, paid leave, recruiting, training, equipment, workspace, and backup coverage. Keep measured costs separate from estimates.
- Request service quotes. For each AI or human service, obtain included minutes or calls, billing increments, overage rates, setup fees, phone numbers, integrations, transfer charges, recording and transcript terms, and cancellation conditions.
- Run normal and peak cases. Calculate a typical month, a high-volume month, and a month with more transfers or longer calls. A plan that wins only in the quiet month may create budget surprises.
- Value the outcome. Estimate bookings completed, calls rescued, or staff hours released. Use your own value per converted call and actual missed-call data; do not assume a universal return on investment.
- Test before committing. Use a script containing common questions, accents, interruptions, cancellations, emergency language, and an attempted transfer. Check transcripts, calendar writes, escalation, and the invoice definition for each test interaction.
Core formulas
Employee monthly floor = (annual wage × 1.0765) ÷ 12, before other payroll costs. With the May 2025 wage used by Voxrater, that is approximately $3,410.
Service monthly cost = base subscription + setup and recurring add-ons + (billable usage beyond allowance × overage rate) + transfer or special-task charges.
Cost per handled call = monthly service cost ÷ successfully handled calls. Use handled calls, not all calls received, if the business outcome is completed conversations or bookings.

- 2-line operation: Conference between an outside line and up to 2 cordless handsets, expandable up to 12 handsets
- Digital answering system with voice guide records up to 13 minutes
- 50 name and number caller ID history
- Intercom between handsets and base unit
- Trilingual prompts: Choose between English, Spanish and French
Incremental cost of a peak month = peak-month invoice − normal-month invoice. This exposes whether a low entry price depends on rarely using the service.

When an AI receptionist is the better fit
- Your requirement is primarily repeatable phone answering, message capture, routing, or calendar booking.
- You need coverage outside employee hours but do not need someone physically present.
- Call volume is predictable and the included allowance comfortably covers normal and peak months.
- You can define safe escalation rules and provide a human fallback for exceptions.
- The value of rescuing a missed call is high enough to justify the subscription and any integration work.
AI is less attractive when callers need nuanced judgment, when every interaction is high consequence, or when the workflow depends on physical office duties.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When a human receptionist or answering service is the better fit
- Visitors, deliveries, paperwork, room coordination, or other on-site tasks are part of the role.
- Callers routinely describe unusual situations that cannot be reduced to a reliable script.
- A person must triage urgent matters, reassure distressed callers, or make judgment calls before transferring.
- You need a live conversation but cannot justify a full-time employee; a remote answering service may cover the phone-only portion.
- Peak demand is unpredictable and the provider can supply staffing without punishing overage charges.
A human answering service still requires a script, escalation tree, and quality checks. “Human” does not automatically mean unlimited, on-site, or included in every plan feature.
Common cost-analysis mistakes
Comparing an employee with a low-volume subscription
Putting $3,410 of monthly employee wage-plus-FICA beside a $79 entry plan can exaggerate apparent savings when the employee also performs physical and administrative work. Price the phone-only slice separately or compare the same complete scope.
Ignoring payroll costs beyond FICA
The $40,917.77 annual figure includes only the stated wage and 7.65% employer FICA. State unemployment insurance, workers’ compensation, benefits, paid leave, recruiting, and facilities can materially change the employer total. Do not label the figure “fully loaded.”
Treating a median as a quote
The $79 AI and $250 human medians come from small September 2026 samples—seven and three vendors, respectively. Your geography, industry, call volume, language needs, and integrations may produce a different quote.

Forgetting overages and billing increments
Ask how a provider counts a call, minute, transfer, callback, and abandoned interaction. Model the invoice after the allowance is exhausted. NextPhone’s 100-call example shows how a budget AI option can rise from $75–$85 to $149 after overages.
Assuming “unlimited” means unlimited outcomes
A plan may offer unlimited minutes but restrict concurrent calls, destinations, calendar actions, phone numbers, or human transfers. Read the service limits and acceptable-use language.
Choosing on price before testing failure paths
Have the system handle a misspelled name, a double-booking request, a cancellation, a caller who asks for a person, and an urgent message. Confirm exactly what the caller hears and what your staff receives.

Bottom line: choose by matched scope, not the sticker price
The available figures support a clear direction but not a universal winner. A U.S. in-house receptionist’s May 2025 median wage, with employer FICA added, works out to about $3,410 per month before other employment costs. A September 2026 index puts published entry medians at $79 for AI receptionist plans and $250 for human answering plans, while a 100-call, three-minute NextPhone model produced $75–$199 for AI examples and $479–$1,160 for human-service examples. Each figure describes a different sample and scope.
Use the employee benchmark when you need a person who can staff a workplace. Use service pricing when you need defined phone coverage. Then replace the benchmarks with your call logs, required duties, plan allowance, overage schedule, and the value of a completed call. No source establishes a universal break-even volume or guaranteed return on investment; your own operating data has to supply that answer.
