AI can help a small business draft marketing content, handle routine customer questions, and streamline repeat tasks—but it is not a guaranteed path to more sales or lower costs. The practical approach is to choose one bounded task, review the results, and measure whether the tool helps your business before expanding its role.

How can AI help a small business?

AI is most useful as an assistant for work that is repetitive, time-consuming, and straightforward to check. The U.S. Small Business Administration (SBA) suggests uses such as sorting email, setting reminders, summarizing meetings, creating reusable templates, and supporting inventory-related tasks. It also describes help with data analysis and shipping-rate optimization.

These are candidate uses, not guaranteed savings. The SBA’s guidance does not provide a typical dollar saving, productivity gain, or return on investment. Track a baseline for the task you want to improve, then compare it with the result of a limited trial. For example, record staff time, correction rates, or customer response times. The SBA’s AI guidance recommends starting small and testing whether a tool adds value.

How can small businesses use AI for marketing?

AI can help turn a business’s own material into first drafts and variations for different channels. The SBA identifies brainstorming a marketing plan, drafting blog posts and product descriptions, generating content ideas, and creating or scheduling social posts as possible applications. It also says AI may help adapt existing content for different sites or time periods and fine-tune ads to customer interests.

Treat generated material as a draft. Check facts, tone, product details, advertising claims, and whether the business has the rights to any material used. AI assistance alone does not establish that an ad will convert better or generate more revenue.

Use AI carefully for reviews and reputation

A tool can draft a polite reply to a review, but a person should confirm that the response is accurate and appropriate before posting. Review practices still matter: the FTC advises marketers not to solicit reviews from people who have not used the product or service, condition incentives on positive reviews, or conceal incentives when offering them. It also warns against deceptive paid rankings and fake-review schemes. See the FTC’s guide to soliciting and paying for online reviews.

Can AI improve customer service?

AI may support routine service steps, such as answering common website questions, helping customers complete an order, routing phone calls, or drafting replies. These uses can make a first response easier to prepare, but they do not prove that automated service can reliably replace human representatives.

For a sensible pilot, ground answers in information the business has approved, provide a way for customers to reach a person when the system cannot resolve a request, and inspect both outputs and customer feedback. Keep a human in the loop for unusual cases, complaints, or questions where a wrong answer could cause harm.

Can AI help reduce business costs?

It may, if it reduces effort or improves a process enough to outweigh the tool’s total cost and the work needed to check its output. The SBA lists task automation, meeting summaries, data analysis, inventory assistance, and shipping-rate optimization as possible ways to improve efficiency or save time. Its guidance does not quantify a typical cost reduction or time saving.

Measure the specific task rather than assuming savings. Include subscription or usage charges, setup and integration work, staff review time, and the cost of correcting mistakes. If the task takes less time but creates more errors or customer follow-up, the apparent saving may not be a real improvement.

What should a small business check before adopting AI?

The SBA flags risks involving sensitive or proprietary information, security, phishing, intellectual property, customer trust, and ethical concerns. Avoid entering confidential business or customer data unless you have verified that the tool’s data handling and protections are suitable. Have another person review AI output, especially when using free tools or software, and consider legal advice about applicable local rules or business practices.

Disclosure expectations and legal requirements can vary by jurisdiction and use, and may change. The SBA guidance, last updated February 14, 2025, says disclosure is becoming an expected best practice while noting that it does not describe a current federal or state law requiring businesses to disclose AI use. Do not treat that dated statement as legal advice for every location or situation.

A practical pilot checklist

  • Choose one recurring, low-risk task and define what improvement would count as useful.
  • Check how the tool handles data; do not enter sensitive or proprietary information without verifying appropriate protections.
  • Provide approved facts and examples, then have a person review every customer-facing result before use.
  • Track errors, staff time, customer outcomes, and total cost against a baseline.
  • Check vendor claims about capabilities, targeting, earnings, refunds, privacy, and consent before relying on them.

How should owners evaluate AI vendor claims?

Look for evidence behind specific promises about what a product does, what data it uses, and what results it can deliver. In August 2026, the FTC finalized orders involving Cox Media Group, MindSift LLC, and 1010 Digital Works LLC over alleged misrepresentations about an “Active Listening” advertising service. The FTC said the service was not based on voice data and consumers had not opted in; the orders prohibit misrepresentations about service qualities, voice-data collection and use, consent, and geographic targeting. The agency described total payments of $930,000. This is a particular enforcement matter, not evidence that all AI services are deceptive. Read the FTC’s August 2026 announcement.

In a separate August 2025 complaint, the FTC alleged that Air AI made false or unsubstantiated claims about business earnings and refunds, and promoted conversational AI as able to replace human customer-service representatives. Those are allegations in the complaint announcement, not findings established here. The FTC’s announcement quotes Bureau of Consumer Protection Director Christopher Mufarrige: “Companies that market AI-related tools with false promises of unrealistic investment returns and guaranteed refunds harm hardworking small business owners and undermine legitimate business’s adoption of AI.”
