AI can help a managed service provider (MSP) serve more customers, create new offerings and reduce repetitive work—but adoption alone does not produce profit. Profit improves only when an MSP measures its baseline cost, preserves service quality, controls data and security exposure, and sells clearly defined outcomes. The safest path is to start with bounded internal workflows, prove the economics, then package client-facing services with human oversight and continuous monitoring.
What the latest MSP data actually says
Several 2025 and 2026 surveys show strong AI interest, but they measure expectations and reported activity rather than causal proof of higher margins.

| Finding | What it measured | How to interpret it |
|---|---|---|
| 48% ranked AI and automation as the top client need for 2026 | Kaseya’s 2026 State of the MSP Report; more than 1,000 MSPs worldwide, released April 14, 2026 | Demand is visible in the survey, but it does not prove that a particular AI service will sell |
| 53% said they used AI for ticketing, patching and monitoring | Kaseya survey | Internal operations are an established entry point; the release also said more than half had automated only about one-quarter of their workload |
| 13% reported meaningful revenue from AI and automation services | Kaseya survey | There is a gap between client interest and a repeatable commercial offer |
| 71% named acquiring new customers their top challenge | Kaseya survey | Capacity gains matter only if they support retention, sales capacity or better delivery |
| 41% reported typical annual customer spend above $25,000, down from 75% the prior year | Kaseya survey | This is a survey finding, not a universal MSP contract benchmark |
| 71% reported year-over-year cybersecurity revenue growth; 50% reported growth in business continuity and disaster recovery | Kaseya survey | Security and recovery remain monetizable even as attention shifts toward AI |
| Almost 40% expected more than 20% managed-services profit growth in 2025 | N-able’s 2025 report; 451 channel partners surveyed in October-November 2024 across EMEA, North America, APAC and Latin America | An expectation, not measured realized growth and not evidence that AI caused it |
| 92% reported business growth driven by AI interest; about half felt prepared to guide SMB customers deploying AI | OpenText Cybersecurity survey of 1,019 MSP managers, executives, security professionals and customer-relationship managers in the United States, United Kingdom and Canada, September 2025 | Opportunity and readiness are diverging |
The Kaseya figures come from a software vendor with a commercial interest in the MSP market, as do the N-able and OpenText figures. Use them to set questions for your own operation, not to promise a margin outcome. For context, the MSP GLOBAL Summer 2026 report says cybersecurity fell 5.6 percentage points in its business-priority ranking and moved out of the top three while AI deployment continued to increase. That is a change in emphasis, not evidence that security is optional.

AI can improve economics through lower handling time, more consistent coverage or new billable work. Each benefit has offsetting costs: model and software fees, integration, data preparation, access controls, employee training, human review, incident response and ongoing monitoring. Record all of them in the business case.

Set a baseline before deployment
- Measure monthly ticket volume by category, median and 90th-percentile response time, resolution time, reopen rate, escalation rate and after-hours work.
- Record labor cost per ticket or per recurring task, including supervision and non-billable coordination.
- For client services, record gross margin, churn, renewal rate, service credits and the time required to produce reports or recommendations.
- Document the current error, exception and security-incident rates. A faster wrong answer is a cost, not a saving.
For a proposed workflow, calculate a simple contribution view: expected labor capacity released plus incremental revenue, minus software, implementation, review, training, monitoring and remediation costs. Keep setup costs separate from recurring costs so a one-time launch does not make an ongoing service look profitable.
Choose work where errors are recoverable
Good first candidates are ticket classification, duplicate detection, draft knowledge-base articles, routine maintenance summaries and alert correlation. Require an approval step before an AI system changes production, closes a security incident, sends a customer-facing recommendation or handles regulated information. High-impact decisions should remain assigned to a named employee.
Convert capacity into an operating result
Released hours create profit only when you can use them. An MSP can absorb more customers with the existing team, reduce overtime, improve response coverage, or redeploy specialists to higher-value work. If the team has no demand for the freed capacity, the project may improve convenience without improving earnings. Track utilization and contribution margin after rollout rather than assuming every saved minute becomes cash.

How should an MSP use AI to improve service delivery?
- Inventory workflows and data. List every proposed use, the systems it reads or writes, the decision it influences, and the people who approve exceptions. Classify data as public, internal, confidential, personal or regulated.
- Define a measurable target. Choose one primary outcome—such as lower triage time or fewer missed alerts—and guardrail measures for quality, escalation and customer impact. Set a baseline period before enabling automation.
- Run a limited pilot. Restrict the pilot to selected technicians, customers, queues or non-production environments. Log prompts, inputs, outputs, approvals and overrides so an incident can be reconstructed.
- Design the human control. Specify which outputs require review, who can override the system, how uncertainty is shown and when work must be escalated. Do not let an AI-generated confidence score replace professional judgment.
- Test failure modes. Deliberately test incomplete tickets, ambiguous instructions, malicious content in attachments, prompt-injection attempts, stale documentation, vendor outages and excessive API usage. Record the expected safe behavior for each case.
- Measure against the baseline. Compare quality and cost over a meaningful period, including rework and incidents. Stop or redesign the workflow if speed improves while errors, escalations or customer complaints increase.
- Set a rollback path. Keep the previous manual procedure, export configuration and preserve access to source records. A provider should be able to disable the AI component without losing ticket history or operational control.
How to package AI services clients can understand
Client interest is not the same as a sellable service. Build an offer around a specified deliverable, accountable owner, review boundary and measurable outcome.

Price the service for the work actually required: discovery, integration, recurring reviews, monitoring, support hours, data retention and incident response. State what is excluded, such as model training, legal opinions or decisions reserved for the customer’s management. Avoid a claim that deployment guarantees savings, compliance or security.
When comparing tools or service partners, evaluate integration with the existing stack, identity and access controls, data-location terms, security coverage, human oversight, monitoring and response, recovery options, portability and total operating cost. OpenText’s survey reports that integration ease and bundled security influence preferences among surveyed MSPs and SMBs; treat that as a survey observation, not a universal buying rule.
What AI risks should an MSP help clients manage?
Data exposure and privacy
- Know whether prompts, files, logs or telemetry are retained by the provider and used to improve a model.
- Block confidential or regulated data from unapproved tools with identity-based policies, technical controls and staff training.
- Limit data sent to the minimum necessary, define retention and deletion, and document subcontractors and processing locations.
- Review customer contracts for ownership of inputs and outputs, breach notification, audit rights, service availability and exit assistance.
Security and abuse
AI systems add attack surfaces: prompt injection, poisoned knowledge sources, stolen API credentials, excessive permissions, malicious generated code and automated actions at scale. Apply least privilege, separate test and production environments, rotate secrets, log administrative actions and require approval for destructive operations. Feed AI-related incidents into the MSP’s established response and recovery process rather than creating an unowned exception.

Vendor dependency and continuity
Assess rate limits, outage history, model-change notices, export formats and alternatives before making an AI feature part of a service-level commitment. Keep a manual fallback for critical monitoring, backup, identity and incident-response functions.
Use post-deployment monitoring as a standing control
NIST’s March 9, 2026 announcement for AI 800-4 states: “Given that AI systems have novel properties that introduce variability and manifest in unpredictable ways, post-deployment monitoring – from incident monitoring to field studies – is a crucial practice for confident, wide-spread AI adoption.” NIST groups monitoring into categories that an MSP can turn into an operating checklist:
| Category | Questions to answer |
|---|---|
| Functionality | Does the system perform the intended task on current, representative data? Are accuracy and drift within agreed limits? |
| Operational | Are latency, availability, cost, throughput and rate limits meeting the service objective? |
| Human factors | Do technicians understand limitations, review outputs and escalate uncertainty? Are customers receiving understandable explanations? |
| Security | Are prompts, integrations, credentials and outputs protected? Are abuse attempts detected and investigated? |
| Compliance | Are retention, consent, access, documentation and sector obligations being met in each applicable jurisdiction? |
| Large-scale impact | Could a repeated error, systemic bias or outage affect many customers at once? Is there a communications and recovery plan? |
Define alert thresholds, review frequency, an owner and a documented response for each category. NIST’s framework is guidance, not jurisdiction-specific legal advice; determine applicable obligations with qualified counsel.

Protect the services that still fund the business
Do not divert every security or recovery resource to AI projects. Kaseya reported cybersecurity revenue growth for 71% of surveyed MSPs and business-continuity and disaster-recovery growth for 50%. The MSP GLOBAL Summer 2026 finding that cybersecurity’s priority ranking declined by 5.6 percentage points describes shifting attention, not reduced customer exposure. Maintain tested backups, recovery objectives, patching, identity protection, detection and response while adding AI controls.
N-able CEO John Pagliuca said, “When it comes to cybersecurity, ‘good enough’ is no longer good enough.” That is a vendor executive’s statement, not an independent standard, but it captures the commercial risk of weakening controls while adding automation. AI should increase coverage and consistency, not become an excuse to remove review from critical security work.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Build credibility and readiness
Customers increasingly ask how an MSP governs technology, not merely which tool it resells. The UK Department for Business and Trade’s 2025 market study found that 73% of the 3,282 UK MSPs whose websites mentioned at least one accreditation mentioned ISO/IEC 27001. This is a website-mention measure, not an audit of certification status. Present certifications accurately, document the scope and avoid implying that an accreditation covers every AI use.

A practical 90-day rollout
Days 1–30: establish control
- Appoint an executive owner and a technical risk owner.
- Inventory current and proposed AI uses, data flows, vendors, permissions and customer commitments.
- Select one low-risk internal workflow and capture baseline cost, quality and service metrics.
- Publish an interim policy covering approved tools, prohibited data, review requirements and incident reporting.
Days 31–60: test and measure
- Run the pilot with logging, human approval and a documented rollback.
- Test malicious inputs, outages, stale data, inaccurate outputs and access failures.
- Review results with operations, security, legal or privacy advisers and affected customers where applicable.
- Calculate recurring cost and capacity impact, including supervision and remediation.
Days 61–90: decide and package
- Keep, redesign or stop the pilot based on measured guardrails, not enthusiasm.
- Write a client-facing service description with scope, exclusions, owners, reporting, escalation and recovery terms.
- Set monitoring dashboards and a change-review calendar.
- Train sales and service teams to discuss outcomes and limitations without promising guaranteed savings or compliance.
Common profit and risk mistakes
- Counting licenses as transformation: A subscription is not a business case. Include integration, review and monitoring labor.
- Automating before documenting the manual process: Without a baseline, you cannot prove improvement or detect regression.
- Selling “AI” instead of a result: Customers buy reduced exposure, faster recovery, better reporting or controlled deployment—not an abstract model.
- Removing humans from high-impact decisions: Keep named accountability for security actions, customer advice and regulated decisions.
- Ignoring concentration risk: Maintain exportable records and a fallback when a model, API or supplier is unavailable.
- Using survey percentages as forecasts: Vendor surveys indicate market sentiment; they do not establish your margin, demand or causation.
The dashboard that protects the business case
Review a compact set of measures monthly and compare them with the pre-AI baseline:
- Cost per ticket or recurring task, including review and remediation.
- Response and resolution times, first-contact resolution and reopen rate.
- Escalation, override, hallucination, complaint and security-incident rates.
- Service availability, model or vendor outages, latency and usage cost.
- Capacity redeployed, overtime avoided, retention and expansion revenue.
- Gross margin by AI-enabled service, including setup and recurring monitoring.
- Backup and recovery test results, access-review completion and unresolved exceptions.
Use the dashboard to make an explicit decision: scale, constrain, redesign or retire the workflow. That discipline turns AI from a source of uncontrolled novelty into an operating capability.
Bottom line for MSP leaders
AI is raising both the opportunity and the standard of proof. Survey data shows broad client interest and growing use inside MSP operations, but only a minority report meaningful AI-service revenue, and no cited study proves that AI itself creates profit. Protect margin by baselining costs, choosing recoverable workflows, keeping humans accountable, monitoring after deployment, preserving cybersecurity and recovery services, and packaging measurable outcomes. An MSP that can demonstrate better service at a controlled total cost will be better positioned than one that merely adds another AI license.
