AI Email Security Gateways vs. Traditional Secure Email Gateways: How to Choose the Right Architecture

AI and gateway describe different dimensions of email security. A gateway is a position in the mail flow: an inline secure email gateway (SEG) examines messages before they are delivered or sent. AI is a set of detection techniques—such as behavioral analysis, relationship modeling, language analysis, and machine learning—that can run in an inline gateway, an API-connected service, or the cloud mail platform itself. The practical decision is therefore not “AI versus traditional,” but which deployment point, detection layers, remediation timing, coverage, and operating model fit your organization.

For Microsoft 365 administrators and security leaders, compare inline SEG, API-integrated protection, and native Microsoft controls against the same requirements. Establish what is already licensed and enabled, then test claims with your own mail telemetry and a controlled pilot.

What the terms actually mean

Inline secure email gateway (SEG)

An inline SEG sits in the delivery path. Incoming mail is routed to the service before it reaches the organization’s mailboxes; outbound mail can be inspected before leaving. The service can reject, quarantine, rewrite, or deliver a message according to policy and detection results. Because it is in the path, an inline deployment can make a pre-delivery decision and can enforce routing, encryption, data-loss-prevention, and other transport policies in one place.

Changing mail routing is part of the architecture. Organizations normally direct their mail-exchange records and connector flow through the SEG, then configure the SEG to deliver to the cloud or on-premises mail system. Exact routing and connector steps differ by product and tenant, so validate them against the current implementation documentation.

API-integrated email security

An API service connects directly to a cloud mail platform rather than becoming the mandatory first hop for every message. Proofpoint describes API-based email security as connecting directly to cloud platforms such as Microsoft 365, without requiring a change to mail routing or MX records. Its description also highlights detection and remediation after delivery. Those are vendor statements; confirm permissions, supported workloads, and response timing for the service you are evaluating.

API access can let a service read messages and metadata, classify them, and remove or quarantine a message that was initially delivered. That post-delivery capability is valuable when a malicious URL or attachment becomes suspicious later, or when a campaign is identified after messages have reached several mailboxes. The trade-off is that a message may exist in a mailbox briefly before remediation, and the API’s coverage depends on the permissions and workloads it can access.

Native cloud-mail controls

Microsoft 365 includes baseline mailbox security for organizations with cloud mailboxes. Additional Defender for Office 365 plans add more detection and response functions inside the Microsoft environment. Native controls are not a separate definition of AI or of a gateway: they are platform controls that can combine transport filtering, reputation, detonation, impersonation analysis, language-model analysis, and response workflows.

Architecture Where inspection occurs When action can occur Typical administrative consequence
Inline SEG Before delivery for inbound and before departure for outbound traffic Pre-delivery blocking, quarantine, rewriting, or policy enforcement Mail-flow, DNS, and connector changes are normally required
API-integrated service Directly in the cloud-mail platform through application permissions Classification before or after delivery, with post-delivery removal or quarantine where supported Usually avoids an MX change but requires consent, permissions, and API governance
Native cloud controls Inside the provider’s transport, mailbox, and security services Provider-defined pre-delivery filtering plus investigation and remediation features that vary by license Configuration and licensing are tied to the tenant and subscription

“AI email security gateway” is therefore not a standardized product category. Ask three separate questions: where is analysis performed, when can a message be stopped or removed, and which message flows are covered?

AI is a detection approach, not a deployment location

Proofpoint characterizes AI email security as using machine learning, behavioral analysis, and natural-language processing to assess behavior, intent, and communication patterns. That framing contrasts those methods with rules and known signatures, but it should not be read as proof that older SEG products are rule-only. Modern products commonly layer conventional and statistical techniques.

Detection layers you may find in one service

  • Authentication and reputation: SPF, DKIM, and DMARC results, domain reputation, IP reputation, and sender history.
  • Known-threat intelligence: signatures, hashes, URL blocklists, and campaign indicators.
  • Attachment and URL analysis: detonation or sandboxing, file inspection, redirect analysis, and time-of-click checks.
  • Behavioral and relationship signals: unusual sender behavior, changes in a person’s normal communication pattern, and relationship graphs between senders and recipients.
  • Impersonation analysis: look-alike domains, display-name abuse, executive spoofing, and anomalous sender context.
  • Language and intent analysis: natural-language or large-language-model analysis of requests, urgency, payment instructions, and social-engineering cues.
  • Prompt-injection protection: detection of instructions hidden in inbound messages that attempt to manipulate an AI assistant.
  • Policy controls: encryption, data-loss prevention, allowed and blocked sender rules, routing, and compliance retention requirements.

Microsoft’s current detection taxonomy includes domain and IP reputation, file and URL detonation, impersonation detection, LLM content analysis, and prompt-injection protection. Proofpoint says its service adds behavioral AI, attachment and URL sandboxing, unusual-sender-behavior analysis, and contextual warnings. These descriptions explain feature scope, not independent proof of effectiveness. During evaluation, ask for detection definitions, false-positive handling, explainability, and evidence from a sample that resembles your own mail.

Microsoft 365 security: establish your starting point

Do not compare an additional gateway with an assumedly empty Microsoft 365 tenant. Microsoft says all organizations with cloud mailboxes receive built-in protections intended to stop broad, volume-based, known email attacks. Your actual baseline depends on the subscription, tenant configuration, mailbox settings, and authentication records.

What the Defender plans add

Capability level What Microsoft describes Questions for your tenant
Cloud-mailbox baseline Built-in protection against broad, volume-based, known attacks Which defaults are enabled, and what exceptions or transport rules weaken them?
Defender for Office 365 Plan 1 Additional protections including impersonation protection, Safe Attachments, and Safe Links Is Plan 1 included in the current subscription or purchased separately, and are policies configured for every user group?
Defender for Office 365 Plan 2 Further investigation, hunting, response, and automation capabilities Who operates investigations and automated remediation, and are the required licenses assigned to the people and mailboxes involved?

Plan inclusion varies by Microsoft 365 subscription, and Defender for Office 365 is also available as an add-on to many subscriptions. Verify the exact agreement and enabled configuration in the tenant rather than relying on a generic plan chart.

Authentication is a prerequisite, not a replacement

Microsoft recommends SPF, DKIM, and DMARC records to improve spoofing protection. Treat authentication as a foundation for every architecture. A gateway layered on top of incomplete or misaligned records can produce confusing verdicts, legitimate-mail failures, and weak protection against look-alike domains. Inventory authorized senders, third-party mail services, forwarding paths, and DMARC reporting before changing routing or enforcement.

What performance claims do—and do not—prove

Security figures are meaningful only with their method, denominator, threat period, and definition of a miss. Microsoft’s July 2025 benchmark announcement said it used real-world email threats rather than synthetic tests. It also explained that the definitions differed: SEG threats were counted as missed when they were not caught before delivery or not removed shortly afterward, while Microsoft used a stricter rule that still counted a threat as missed if it was removed after delivery.

For the May–July 2026 comparison, Microsoft reported “221 high-severity threats per 1,000 protected users — Microsoft, 2026” and said this was 55.4% fewer than the next-closest SEG vendor. Microsoft normalized missed threats per 1,000 users because raw catch totals can reflect differences in threat volume and exposure. This is a Microsoft-produced benchmark using Microsoft-defined methodology, not an independent universal ranking and not a guarantee of the result in your tenant.

Evidence question Why it changes the interpretation
Who produced the test? A vendor-produced comparison should be treated as one data point; an independent test has a different evidentiary status.
What counts as a miss? Counting only pre-delivery failures produces a different result from counting messages removed after delivery.
What is the denominator? Per-user normalization controls for exposure differently from total messages, campaigns, or mailboxes.
What period and threat set were used? Campaign mix changes over time, so a result for May–July 2026 cannot be generalized to every future period.
Were configurations equivalent? Licensing, policy tuning, user reporting, and remediation settings can materially change outcomes.

No independent category-wide head-to-head test establishes that AI-enabled gateways universally outperform traditional gateways. Compare each claim with the vendor’s definitions, your own mail telemetry, and a controlled evaluation where practical.

Comparison framework for an actual purchase decision

Use the following axes to compare an inline SEG, an API service, native controls, or a combination. Require every supplier to answer the same questions in writing.

Axis Questions to answer Why it matters
Position in mail flow Is the service inline, API-connected, native, or hybrid? Which inbound, outbound, and internal paths are included? Architecture determines visibility, latency, and the ability to block before delivery.
Timing and remediation Can the service reject before delivery? How quickly can it remove a message already delivered? What happens when a verdict changes? Post-delivery cleanup limits dwell time but does not equal pre-delivery prevention.
Coverage Are shared mailboxes, aliases, internal mail, outbound mail, mobile clients, and connected collaboration services covered? A solution that protects only one flow leaves blind spots attackers can exploit.
Detection stack Which authentication, reputation, signature, sandbox, URL, behavioral, relationship, language, and threat-intelligence layers are included? “AI” alone says little about the signals and controls actually available.
Administration Are MX or connector changes required? What permissions are granted? How are exceptions and routing loops prevented? Deployment effort and blast radius differ substantially between architectures.
Operations Can analysts search messages, see verdict explanations, review false positives, remediate campaigns, and export events to SIEM or SOAR tools? Detection that creates unmanageable investigation work may not improve real-world security.
Policy and compliance Are encryption, DLP, retention, legal hold, regional processing, and outbound controls required? Compliance requirements can favor an inline control even when API deployment is simpler.
Licensing Which users, shared mailboxes, investigators, and advanced features require licenses? Which functions are already included? Total cost depends on the actual agreement, not the headline product name.
Evidence quality What are the sample, period, denominator, miss definition, and independent validation? Comparable methodology is more useful than a larger marketing percentage.

Which architecture fits common environments?

Microsoft 365 with a small security team

Start by hardening the tenant’s native controls, confirming authentication records, and determining whether Plan 1 or Plan 2 capabilities are already licensed. Native controls reduce another routing layer and can simplify investigation when administrators already work in the Microsoft security portal. Add an API service when you need a separate detection layer or post-delivery remediation without changing MX records. Consider an inline SEG when outbound policy, compliance routing, or pre-delivery control is the primary requirement.

Hybrid mail or complex outbound policy

An inline SEG can provide a consistent inspection point across cloud and on-premises systems, especially when outbound encryption, DLP, or routing policy must be enforced before departure. Map every accepted domain, relay, application sender, and partner route first. A partial MX change that leaves an alternate path uninspected creates an avoidable bypass.

High-volume internal phishing and account-compromise response

API capabilities can be useful when the main requirement is finding and removing a campaign already delivered across many mailboxes. Confirm that internal mail is included, that historical search is available for the required period, and that remediation can be authorized without excessive manual action. Retain a native or inline layer for pre-delivery filtering and transport policy where those controls are still needed.

Strict compliance or data-residency requirements

Document where messages, attachments, telemetry, and language-analysis data are processed and retained. Verify encryption, retention, legal hold, administrator access, and regional commitments in the contract and technical documentation. A technically strong detector is not a fit if its processing model conflicts with policy.

A practical evaluation and deployment sequence

  1. Inventory mail flows. Record inbound, outbound, internal, shared-mailbox, application, forwarding, and third-party sender paths. Identify every DNS record and connector that can deliver directly to a mailbox.
  2. Map existing controls and licenses. List enabled Microsoft 365 policies, Defender plan assignments, transport rules, quarantine owners, authentication records, and current gateway functions. Separate what is licensed from what is merely available in documentation.
  3. Write decision requirements. Rank pre-delivery blocking, post-delivery remediation, outbound policy, internal-mail visibility, compliance, analyst workflow, integration, and administrative effort. Define acceptable false-positive and remediation times.
  4. Choose a pilot architecture. Use a controlled group or representative domains. For an inline trial, plan DNS and connector rollback. For an API trial, review application permissions and limit access to the required mailboxes and workloads.
  5. Test realistic scenarios. Include impersonation, look-alike domains, malicious attachments, redirected URLs, business-email-compromise language, internal compromised accounts, legitimate bulk mail, newsletters, automated senders, and messages that should be encrypted or quarantined.
  6. Measure outcomes consistently. Record pre-delivery blocks, post-delivery removals, analyst time, false positives, time to verdict, time to remediation, missed messages, and user reports. Keep the same definitions and period when comparing options.
  7. Validate failure and recovery paths. Test a vendor outage, delayed API response, DNS mistake, connector loop, quarantine release, emergency allow-list change, and rollback. Confirm who can authorize each action and how it is logged.
  8. Roll out in stages. Expand from pilot users to business units, monitor mail flow and user complaints, and retain a documented rollback plan. Recheck authentication alignment and direct-to-mailbox bypasses after each routing change.
  9. Operate continuously. Review false positives, newly observed sender behavior, remediation success, policy exceptions, and license assignments on a defined schedule. Reevaluate after major tenant, product, or threat-model changes.

Common pitfalls and how to correct them

Assuming “traditional” means rules only

Many SEGs combine reputation, signatures, sandboxing, behavioral analysis, and threat intelligence. Ask for the actual detection stack instead of inferring it from the deployment model.

Treating AI as a guarantee

AI labels do not specify training data, confidence thresholds, explainability, or false-positive rates. Require examples of verdict explanations and a method for analyst feedback and appeal.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ignoring post-delivery exposure

An API service may remove a message after delivery, but users or automated processes may have opened it first. Define alerting, time-to-remediation targets, and controls for malicious URLs that become dangerous later.

Creating duplicate quarantine and policy conflicts

Two layers can disagree about allow lists, encryption, bulk mail, or release authority. Assign ownership for each policy, document precedence, and test the path of a message that is allowed by one layer but blocked by another.

Leaving direct delivery paths open

After an inline deployment, attackers may target an exposed cloud endpoint or forgotten relay. Review accepted domains, connectors, application senders, and firewall rules for bypasses.

Underestimating API permissions

API deployment avoids an MX change but is not permission-free. Limit application access, document consent, monitor token and permission changes, and verify that the service cannot read or modify workloads outside the approved scope.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Comparing incompatible benchmark numbers

Do not place a vendor’s catch rate beside another vendor’s miss rate without reconciling the sample, period, denominator, and remediation definition. The Microsoft 2025 and 2026 comparisons illustrate why methodology belongs beside the number.

Buying features already included

Check the tenant’s subscription and assigned licenses before adding a gateway. The most economical design may be native controls plus targeted API or inline capabilities, but that conclusion depends on actual entitlements and requirements.

Named products as examples, not rankings

Microsoft Defender for Office 365

Defender for Office 365 is the natural baseline for a Microsoft 365 organization because its capabilities are integrated with the tenant. Plan 1 and Plan 2 provide different protection and investigation scopes, and inclusion depends on the subscription. Evaluate the enabled configuration, not just the plan name.

Proofpoint Core Email Protection

Proofpoint describes Core Email Protection as offering AI-based detection and both SEG and API deployment approaches. Its FAQ states: “API-based email security connects directly to cloud email platforms such as Microsoft 365. A secure email gateway (SEG) inspects messages inline as they enter or leave an organization.” Treat those statements as the provider’s product description and verify current architecture, feature availability, and licensing during procurement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Mimecast Email Security Cloud Gateway and Cloud Integrated

A March 2025 Radicati Group report excerpt distributed by Hornetsecurity describes Email Security Cloud Gateway as inspecting inbound, outbound, and internal email, and Cloud Integrated as an API-based option for Microsoft 365 that does not require an MX-record change. The excerpt also describes shared capabilities including signature scanning, sandboxing, behavioral analysis, and AI-driven heuristics. Reconfirm current product names, packaging, and availability before relying on that description.

These examples illustrate different deployment choices; they are not a complete market map or a ranking.

Decision checklist

  • Have you documented every inbound, outbound, internal, application, and forwarding mail path?
  • Do you know which Microsoft 365 and Defender capabilities are licensed and actually enabled?
  • Is your primary requirement pre-delivery blocking, post-delivery cleanup, outbound policy, compliance, or investigation?
  • Do you need an MX or connector change, or is API deployment preferable for administrative reasons?
  • Will the selected service inspect internal and shared-mailbox traffic as well as external mail?
  • Can analysts explain, search, release, quarantine, and remediate messages without duplicate workflows?
  • Are SPF, DKIM, and DMARC aligned for every legitimate sender?
  • Have you tested false positives, delayed verdicts, outages, routing loops, and rollback?
  • Are performance claims normalized to the same threat definition, period, denominator, and test ownership?
  • Can the operating team sustain the required permissions, tuning, investigation, and license management?

The strongest design is the one whose inspection point and detection layers match your mail flows and operating capacity. An AI-enabled inline SEG, an API service, native Microsoft controls, or a deliberate combination can each be appropriate; architecture and evidence matter more than the label.
