Before entering anything into an AI chatbot, check four independent controls: whether conversations can improve the provider’s models, whether chats are saved in history, whether memory or personalization is active, and how long data can remain for service or safety reasons. Then review connected apps, uploaded files, account security, deletion options, and any workplace or family rules.
Setting names and availability vary by provider, subscription, age, region, and whether an administrator manages the account. Treat this as a decision checklist, not a guarantee that a chatbot is appropriate for confidential or high-stakes information.

Run this five-minute safety check first
- Open the provider’s privacy or data-controls page. Look for model-improvement, training, activity, history, temporary-chat, memory, personalization, export, and deletion controls.
- Decide what the chatbot may retain. A setting can hide a conversation from your history while still allowing short-term retention for security or service operation.
- Turn off access you do not need. Review connected applications, browser extensions, cloud drives, calendars, contacts, and other tools before granting permission.
- Secure the account. Enable multi-factor authentication (MFA) when available, check active sessions, and use a unique password or passkey.
- Check who controls the account. Work, school, family, and other managed accounts may have rules or settings that you cannot change yourself.
Take a screenshot or note the settings you chose. Providers change labels and menu locations, so check the current in-app privacy center again after a major update.

Model improvement or training
This controls whether your conversations may be used to improve a provider’s models. It does not necessarily stop the chatbot from processing a prompt, returning an answer, detecting abuse, or keeping limited records for security and operations.

Check whether the choice applies only to future conversations, whether it covers your account type, and whether exceptions apply to feedback, safety flags, or voluntary tester programs. A thumbs-up, thumbs-down, report, or written feedback may be handled under a separate policy.
History, deletion, and temporary chat
History determines whether a conversation remains visible in your account. Deleting a chat removes it from the interface, but providers can retain copies for a stated period, legal obligations, backups, abuse prevention, or safety investigations. Read the deletion notice instead of assuming “delete” means immediate erasure everywhere.
Temporary, incognito, or private chat normally changes visibility and personalization; it is not the same as zero retention. Ask three separate questions: does the chat appear in history, can it improve models, and how long can it remain for service, feedback, or safety?

Memory can save facts, preferences, or details from earlier conversations and use them in later replies. Custom instructions and profile data can personalize answers even when a specific chat is temporary. Review saved memories, remove individual entries, and decide whether personalization is appropriate for a sensitive task.
Do not infer that memory is linked to training. OpenAI documents memory and “Improve the model for everyone” as separate controls, so changing one does not automatically change the other.

What the major consumer services currently document
ChatGPT
In ChatGPT, open Settings > Data controls and find Improve the model for everyone. OpenAI’s current guidance says that switching it off prevents new conversations from being used to train OpenAI models. Existing chats can still remain in your history, so this switch is not a deletion control.
ChatGPT’s Temporary Chat does not appear in history, does not create or update memories, and is not used to improve OpenAI models. OpenAI says temporary chats may nevertheless be retained for up to 30 days for safety. Depending on your settings, a temporary chat can use existing memories, custom instructions, and plugins; saving it converts it into a regular chat.
Use the memory-management screen separately to inspect or remove saved information. Also review custom instructions, connected applications, and any files attached to a conversation. A file may be copied into a provider’s systems for processing even if the surrounding chat is later hidden from history.
Claude
Anthropic’s consumer policy says chats and coding sessions may be used for model improvement when a user explicitly allows it, when a conversation is flagged for safety review, or through another explicit opt-in such as a tester program. Incognito chats are not used to improve Claude even when Model Improvement is enabled.
These statements concern consumer products; commercial products have separate documentation and contractual terms. Anthropic’s privacy information also describes feedback-related conversation data being retained for up to five years. That duration is an operational policy statement, not a measure of how long every ordinary chat is stored.

Before connecting a service to Claude, inspect the connector’s scope. Anthropic says raw connector content is not included in the described improvement data unless you directly copy that content into a Claude conversation. Copying text, screenshots, or extracts into a chat can therefore change how the content is handled.

Gemini
Google places the relevant activity control in its privacy hub under Keep Activity. Turning Keep Activity off affects future use for improvement, but Google says chats can still be used to respond to you and protect users. An improvement opt-out therefore does not eliminate processing needed to operate the service or enforce safety.
Gemini Temporary Chats do not appear in recent chats or Gemini Apps Activity, and Google says they are not used to personalize the Gemini experience or train Google’s AI models. Google says temporary chats are kept for up to 72 hours to provide the service and process feedback.
Google’s Gemini Apps Privacy Hub also says some Gemini chats are reviewed by trained human reviewers and that reviewed chats are retained for up to three years. Turning Keep Activity off stops future chats from being reviewed to improve Google services, but chats can still be used to respond and protect users. Avoid entering information that would cause harm if a reviewer or safety system had to inspect it.
Use a retention worksheet instead of trusting labels
For each chatbot you use, record the answer to every question below. “Temporary” is not a sufficient answer by itself.

The documented examples show why comparing a single label produces a misleading ranking: ChatGPT cites up to 30 days for temporary-chat safety retention, Gemini up to 72 hours for temporary chats, Gemini up to three years for chats reviewed by humans, and Anthropic up to five years for feedback-related conversation data. These are different categories and conditions, not directly comparable scores.

Connected applications and extensions
Open the connected-apps or integrations page and list every service with access. For each one, ask whether it can read a whole account, search selected folders, retrieve messages on demand, or write changes back to the service. Remove integrations you no longer use and reconnect them with the narrowest permission offered.
OpenAI’s Privacy Center specifically calls out connected-app permissions and notes that workspaces may control which apps are available. A company administrator can therefore prevent an integration, require approval, or apply retention rules that differ from a personal account.
Uploaded documents and images
Do not upload a document merely because the chatbot can open it. Remove unnecessary names, addresses, account numbers, faces, signatures, hidden spreadsheet tabs, metadata, and tracked changes first. Check whether the provider stores the original file, extracted text, generated embeddings, or a copy in a project or workspace.

Remember that asking the model to “forget” a file does not necessarily delete copies in chat history, project storage, browser downloads, or a connected drive. Delete the conversation and the uploaded asset wherever the interface provides separate controls.
Secure the account and verify deletion options
- Sign-in: Enable MFA or a passkey, review active sessions, and revoke devices you do not recognize.
- Recovery: Protect the recovery email and phone number; anyone who controls recovery can often access chat history.
- Export: Use the provider’s data-export tool to see what information is associated with the account and to preserve records you legitimately need.
- Chat deletion: Delete individual chats or all history as appropriate, then read the confirmation about retention periods.
- Account deletion: Understand whether deleting the account also removes workspaces, shared projects, uploaded files, billing records, and support tickets.
OpenAI identifies MFA, export, and deletion options in its Privacy Center, but says availability can depend on account and workspace eligibility. A training opt-out and a deletion request are different operations: perform both when your goal requires both.
Managed work, school, and family accounts need a separate check
Work and school accounts
Ask the administrator what retention, access, monitoring, and compliance rules apply before using a managed account. OpenAI states that managed workspaces can have organization-level settings and that its default no-training rule for Business, Enterprise, Edu, and Healthcare content does not supersede organization policies.
Do not assume a personal privacy setting follows you into a workspace. An administrator may control available models, apps, history, export, deletion, or the period for which records are retained. Keep personal matters in a separate personal account only when your organization’s rules permit it.
Teen and family accounts
For a teen account, inspect age protections, model-improvement settings, memory, voice, image generation, quiet schedules, and notification choices. Availability varies by country, age, and account-linking method.
OpenAI documents parental controls for selected settings and limited safety notifications. Linking accounts does not give a parent access to the teen’s conversation history or real-time activity. Its family guidance also warns: “ChatGPT can make mistakes and sometimes gives answers that sound right but aren’t. Double check answers for important matters.” Treat that warning as a reason to supervise high-stakes use, not as a substitute for privacy settings.
Compare chatbots with the same seven questions
When deciding between services, use an identical checklist rather than comparing names such as “private,” “temporary,” or “incognito.” Record the provider’s current answer for:
- Can conversations improve models, and what exceptions apply?
- What do history and temporary modes actually hide or retain?
- How long can data remain for safety, service operation, feedback, review, backups, or legal reasons?
- Are memory, custom instructions, and personalization controlled separately?
- What can connected apps, extensions, projects, and uploaded files reach?
- Which MFA, export, deletion, and session-management tools are available?
- What changes for minors, family-linked accounts, workspaces, and school accounts?
Write down the date you checked. Labels and behavior can change, and a control available on a web account may be missing from a mobile app, a free plan, or an administrator-managed edition.

- Check the provider’s privacy center and help page from inside the signed-in account; documentation may differ by country or plan.
- Look for an account switcher. You may be viewing a work, school, family, or API-linked account instead of your personal account.
- Update the app and sign in again. Older clients can display obsolete labels or omit newer controls.
- Assume the more conservative behavior until confirmed. Do not paste confidential information while the retention or training status is uncertain.
- Ask the administrator or provider support. Request a written explanation of retention, reviewer access, deletion timing, and connector scope.
No setting makes an AI chatbot suitable for every secret or high-stakes decision. Even with model improvement disabled and temporary chat selected, the service must process your prompt to answer it and may retain limited records for safety or operation. Use the minimum necessary information, anonymize where possible, and independently verify medical, legal, financial, employment, and safety-critical answers.
