You do not need a previous job titled “administrative assistant” to explore administrative work. Requirements vary by role and employer: check the posting’s duties and distinguish what it requires from what it prefers. Use related job titles and relevant tasks from your experience as search leads—not as guarantees that you meet a particular employer’s criteria.
Do you need previous administrative experience?
Not for every U.S. administrative role. O*NET places the general secretary and administrative assistant occupation in Job Zone 1–2: some jobs may require little or no previous experience, while others may require several months to a year. The employer’s posting determines what a specific vacancy asks for.

When reviewing a posting, look for relevant work you can describe with concrete examples. You might have organized schedules or records, prepared documents, communicated with customers, or coordinated requests in another job or setting. Connect those examples to the listed duties; transferable experience may be relevant, but it does not establish that you satisfy an employer’s requirement. See O*NET’s profile for secretaries and administrative assistants.
What qualifications are typical in the United States?
The U.S. Bureau of Labor Statistics says a high school diploma or equivalent is the typical entry-level education for secretaries and administrative assistants, and workers usually learn their skills through a few weeks of on-the-job training. Employers hiring executive secretaries or executive administrative assistants may prefer some college or a bachelor’s degree. These are occupational patterns, not rules every employer follows; check the specific posting. BLS: Secretaries and Administrative Assistants.
#1 Best Overall
The BLS 2025 Occupational Requirements Survey reports these requirements for the broad U.S. office and administrative support occupational group:
| Requirement | Share of the occupational group | How to interpret it |
|---|---|---|
| Prior work experience | 55.6 percent | Required for this share of the broad group, not a measure of administrative-assistant job ads. |
| On-the-job training | 90.3 percent | Required for this share of the broad group; it does not mean every role has the same training. |
| High school diploma | 76.3 percent | Required for this share of the broad group, not a vacancy-specific education rule. |

Are certificates or a degree required?
The U.S. occupational guidance above identifies high school or equivalent as typical entry-level education for the general occupation and notes that some executive-support employers may prefer more education. It does not establish a universal certificate requirement. Read each posting’s language closely: “required” and “preferred” do not mean the same thing.

How should you compare administrative job postings?
Compare what the job actually involves before relying on its title. O*NET summarizes the general occupation as performing routine administrative functions, including “drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers.” Executive-support work can have a different scope, including managing executive schedules, arranging travel, preparing reports and other documents, and handling information requests. How does U.S. advice differ from U.K. guidance?
This article’s qualification guidance is U.S.-focused. The U.K. National Careers Service separately says employers there may look for GCSEs or equivalents and notes that office volunteering can help build useful skills. That is U.K. guidance, not a substitute for checking U.S. job requirements. U.K. National Careers Service: Administrator.
