Muhammad Sohail built a local dashboard to keep his job search organized: it tracks applications through a pipeline, surfaces daily activity, and connects recruiter replies with the roles they concern. His account is a practical example of one person’s workflow—not evidence that a dashboard improves hiring outcomes for everyone.
Why build a job-search dashboard?
Sohail describes losing track of who had replied, who had gone quiet, and which roles interested him. His dashboard puts application status, notes, tasks, and historical records in one place. That can make a process easier to inspect, but the value depends on keeping the underlying records accurate.

In his September 27, 2026, DEV Community account, Sohail describes a personal goal of five applications per day. He also gives one example of reaching that goal in 1 hour and 46 minutes. These are anecdotes about his routine, not recommended targets or general benchmarks. Read Sohail’s account on DEV Community.

Applications and pipeline stages
The dashboard has a pipeline with stages including applied, interviewing, offer, rejected, and no deal. A report tab shows stage rates and daily application counts. Sohail says the headline metric is “applications sent,” keeping the primary activity count distinct from later stages in the pipeline.
#1 Best Overall
He also says jobs that disappear from the active board remain in the database, and a rejection does not erase the application date. Retaining closed records and original dates allows his reports to reflect a history of applications rather than only current openings. This is a design choice for his workflow, not a universal data-retention rule.
Fit, documents, and tasks
For jobs he has scored at least 7, the dashboard analyzes skills. It can generate a tailored resume and cover letter for an individual job, using a note field to guide what to emphasize. It also supports resume variants for different countries, job highlights, and tagged to-dos.
Rank #2
These features organize preparation; Sohail’s account does not establish that generated documents are more effective or that they lead to better job-search results. A person using similar tools still needs to check each document for accuracy, relevance, and appropriate local conventions.

Recruiter replies and inbox insights
Sohail describes read-only Gmail inbox insights that match recruiter replies to jobs. Connecting replies with the relevant application can reduce the need to remember which conversation belongs to which role. The account describes the feature, but does not provide an independent security assessment of its handling of email data.
How it is built and where the data lives
Sohail says the dashboard runs on localhost, uses SQLite, and runs as one Python process, without cloud sync. He identifies it as a fork of Pickle-Pixel/ApplyPilot. These are the author’s descriptions of his setup, not independently verified claims or a security audit. Local storage may suit someone who wants a self-managed workflow, but it also means the user must consider backups, device access, and maintenance.
Keep the records trustworthy
Define statuses before relying on reports
Decide what each stage means—for example, whether “applied” begins when an application is submitted, and when an interview moves a record to the next stage. Consistent definitions make counts and stage rates easier to interpret. Preserve application dates if you want to measure when applications were sent, and decide deliberately whether closed records should remain available.
Rank #4
Fix source data before adding more automation
Sohail recounts repairing a scraper that had stored the literal string “None,” which broke application links. This is a useful reminder that automation can reproduce bad input at scale. Check imported records and links before depending on reports, matching, or generated documents.

Applications sent can be a clear activity measure; interviews, offers, and rejections describe later outcomes. Keeping them distinct avoids treating a large application count as proof of progress or success. Sohail’s account reports no controlled outcome study or independent benchmark for the dashboard.

How this workflow compares with a spreadsheet-and-automation setup
Another first-person account, by Swaathy Kumaran, describes combining Google Sheets, Airtable, and self-hosted n8n to reduce duplicate data entry. These accounts illustrate different ways to organize a search; neither is a controlled comparison of cost, reliability, or results.
| Consideration | Sohail’s local dashboard | Kumaran’s workflow |
|---|---|---|
| Setup and maintenance | Python process and SQLite database; setup and ongoing maintenance effort are not quantified in the account. | Google Sheets, Airtable, and self-hosted n8n; setup and ongoing maintenance effort are not quantified in the account. |
| Data location | Author says it runs on localhost with no cloud sync. | Uses Google Sheets and Airtable alongside self-hosted n8n; the account does not establish a single storage location for all data. |
| Customization | Built as a fork of an existing project; the account describes tailored features but does not quantify customization effort. | Combines several services; the account presents the arrangement as a way to reduce duplicate entry, not a measured customization comparison. |
| Automation and integrations | Includes reported Gmail reply matching, job-specific documents, and other dashboard features. | Uses n8n in a workflow spanning Sheets and Airtable; specific automation performance is not independently measured. |
| Correcting inaccurate records | The author reports correcting a scraper’s literal “None” values; no general correction process is specified. | Not stated in Kumaran’s account. |

Which approach fits your working style?
- Consider a local dashboard if you want a consolidated, customizable tracker and are comfortable managing a local database and its backups.
- Consider a spreadsheet-and-automation workflow if you already use those tools and want to connect existing records, while accepting the setup and upkeep of several components.
- Start simpler if maintaining a custom system would distract from applying and following up. A tracker is useful only if its upkeep fits your routine.
Whichever approach you choose, make status definitions and dates consistent, keep closed applications in the history if you need them for reporting, and check imported data before trusting automated summaries. Sohail’s experience shows what one implementation can organize; it does not establish a best system for every job seeker.
