How do I track revenue and expenses for a new business?
Choose a paper or electronic recordkeeping system that suits your transaction volume and can clearly show income and expenses. The IRS permits either format when records are complete, accurate, and accessible for tax purposes. A very small operation may be able to start with a checkbook and organized receipt summaries; as activity grows, journals and ledgers or financial software can help organize transactions and produce summaries.
Start with a business bank account and record transactions with their date, amount, source or payee, and a consistent category. Keep the documents that support them, such as invoices, receipts, and statements. The IRS advises recording expenses when they occur and says daily recording is generally best. Its Publication 583 (December 2024) states: “You should reconcile your checking account each month.”

A repeatable bookkeeping rhythm
- Record activity promptly. Enter sales, deposits, purchases, bills, and other business transactions with enough detail to identify what happened and why.
- Keep supporting documents. Retain invoices, receipts, and statements so a transaction can be substantiated and reviewed later.
- Use categories consistently. Apply the same categories to similar transactions over time; that makes period comparisons and forecasts easier to interpret.
- Review amounts due. Track accounts receivable (money customers owe) and accounts payable (money the business owes), as well as available cash. If you have employees, payroll also needs appropriate tracking.
- Reconcile monthly. Compare the bank statement with the books, investigate differences, and correct omissions or errors.
The SBA’s financial-management guidance identifies receivables, payables, available cash, bank reconciliation, and payroll as functions a business may need to manage, including with accounting help.
Should I use cash or accrual accounting?
Cash and accrual methods place income and expenses in different periods. Under the cash method, income is generally reported when received and expenses when paid. Under the accrual method, income is generally reported when earned and expenses when incurred. For example, if you complete work and invoice a customer in one month but receive payment in the next, the revenue may appear in different periods depending on the method.

The method affects how the books show activity and can have tax consequences. IRS guidance says a business must use an accounting method that clearly shows income and generally use the same method for taxable income and its books. Which method is permitted or appropriate depends on the business’s facts and applicable requirements, so there is no single choice that fits every founder. See the IRS’s Publication 538 and consult a tax professional when deciding or changing methods.

| View | What it shows | Useful question |
|---|---|---|
| Income statement | Income and expenses over a period | Did the business generate a profit or loss during that period? |
| Balance sheet | Assets, liabilities, and equity at a specific date | What does the business own and owe at that point? |
| Cash-flow view or forecast | Cash receipts and payments, including their expected timing | When might cash come in or go out, and will available cash cover planned payments? |
The SBA’s business-plan guidance recommends forecasting income statements, balance sheets, cash-flow statements, and capital expenditure budgets. It suggests more specific monthly or quarterly forecasts for the first year as business-planning guidance; this is not a required reporting schedule for every company.
How do I estimate how long my startup’s cash will last?
Runway is a forward-looking estimate based on cash available and future net cash movement. A rough snapshot can divide current available cash by a recent average net cash burn, but that calculation assumes the burn rate remains stable. It can mislead if revenue timing, customer collections, hiring, one-time spending, or financing changes.

A more useful planning view forecasts expected receipts and payments period by period. Start with the cash currently available, then estimate when customer payments, financing, and other inflows are expected and when payroll, suppliers, rent, taxes, equipment, and other outflows will be paid. Align the forecast categories with the bookkeeping categories, make major assumptions visible, and compare the forecast with actual transactions so you can revise it when reality differs. The SBA’s business-plan guidance supports forecasting cash flow alongside sales, costs, expenses, and capital needs. Neither that guidance nor the IRS sources prescribe one universal runway formula or review interval.

Do not treat accounting profit as cash available to spend. Under accrual accounting, revenue can be earned before it is collected and expenses can be incurred before they are paid. A cash forecast therefore needs expected payment dates, not just the profit-and-loss total.

When should I use paper, software, or professional help?
Choose based on the work your business actually needs rather than assuming a particular format or product is best.
- Paper or electronic records: Paper journals and ledgers can suit a low transaction volume or a founder who prefers manual records. Electronic records can make searching, categorizing, and reporting easier as activity grows. Either can work if the system keeps complete, accurate, accessible records.
- Self-managed or outside help: The more transactions, payroll, receivables, payables, and reconciliation work you have, the more valuable a bookkeeper or accountant may be. The SBA identifies bookkeepers and CPAs as potential sources of help; the services and advice they provide differ. Ask what work is included and whether you need bookkeeping support, tax advice, or both.
These are U.S. federal general principles. State and local rules, non-U.S. jurisdictions, entity-specific requirements, inventory, payroll, and regulated industries can change what applies. Verify current requirements for your business rather than relying on a generic setup.
