Start by checking the specific organizer’s schedule, overnight policy, venue access, meals and rules. An “overnight” event does not necessarily provide a place to sleep: some organizers allow rest at the venue, while others require participants to leave. Pack and plan around confirmed details, not assumptions.
Confirm the event’s rules and logistics first
Read the current event information and, if anything is unclear, ask the organizers directly. Verify:
- Start and finish times, check-in requirements and when participants can access the venue.
- Whether participants may stay overnight, and whether a quiet room or sleeping area is actually available.
- Which meals and snacks are provided, when they are served, and how to report allergies or dietary needs.
- Equipment, network or venue restrictions, plus travel and departure arrangements.
- Whether project preparation or work before the official competition period is allowed.
Policies differ. The University of Arizona’s 2026 Hack Arizona FAQ says participants may rest or sleep inside, but there is no formal sleeping accommodation. Cornell’s FAQ says the events it describes do not permit overnight stays, and GovHack’s participant handbook states, “Sleeping at venues is not permitted. Pack a reliable, event-appropriate setup
Bring the equipment and personal items you know you need. Check venue rules before adding optional gear, and avoid carrying items that duplicate equipment the event supplies.

Core checklist
- Laptop, compatible charger and essential adapters.
- Phone and charger.
- Event badge or identification required for check-in.
- Water bottle and a snack, if permitted.
- Comfortable clothes and layers for changing temperatures.
- Wallet, keys, medications and other personal essentials.
Hack Arizona’s FAQ lists a laptop and chargers; GovHack’s handbook recommends power cables and adaptors, along with comfort items and medication. Confirm your own computer’s connector and power needs rather than assuming any charger will work. Hack Arizona FAQ · GovHack participant handbook
Optional tools, if you will use them
A mouse, headphones, USB hub, external storage, drawing tablet, notebook, pen, paper or markers can help with particular workflows. GovHack gives examples like these, but they are not universal requirements. Consider compatibility, portability, whether the event supplies the item and whether its use is allowed. Label your belongings and do not leave equipment unattended, as GovHack advises.

Plan food, comfort and sleep realistically
Find out what food is available and when; do not assume meals are included just because the event lasts overnight. Report allergies and dietary requirements through the organizer’s stated process, and bring a suitable snack if outside food is allowed. Food arrangements can vary even between official and local events; the City of New York’s hackathon logistics guide also treats meals, dietary restrictions and snacks as planning considerations. Plan for hydration, breaks, stretching, hygiene and any personal-care needs that matter to you. These are practical ways to look after yourself during a long event, not a guarantee of better results.

If overnight venue access is allowed, ask what rest space exists and what items are permitted before bringing bedding. Do not assume a sleeping bag, cot, blanket or pillow is allowed or necessary. If the building closes, arrange safe lodging and transport instead of planning to stay inside.
Get your team and project ready before arrival
- Read the schedule, challenge and judging criteria. Know when work begins, when milestones or check-ins occur, and what the final presentation must cover.
- Agree on a feasible goal. Discuss the idea, each person’s skills and responsibilities, and the smallest coherent prototype or demo your team can deliver.
- Check technical dependencies. Confirm access to necessary accounts, data, APIs, services or equipment. Ask organizers early about access problems or event-specific support.
- Set up communication. Decide how teammates will coordinate, share progress and flag blockers while working.
- Prepare within the rules. Charge and test devices, confirm account access, and download essential files only if permitted. Some participant advice encourages arriving with ideas while cautioning against doing the competition work beforehand; the specific organizer’s rules control.
- Reserve time for the demo. Plan for a working demonstration and presentation, not just implementation. Microsoft’s organizer guidance recommends clear presentation criteria that address the solution’s benefits, technical considerations and vision, supported where useful by screenshots or diagrams.

Use a simple plan during the event
- Use organizer support for logistical problems or access issues rather than losing time guessing at a fix.
- Keep scope realistic, communicate who is doing what, and adjust early if a dependency or feature is taking too long.
- Take food, water and rest breaks as needed; leave enough time to prepare the demo and presentation.
What preparation can and cannot promise
Preparation can reduce avoidable surprises: you can arrive with compatible equipment, know whether you need lodging, understand food arrangements and give your team a practical plan. The cited event pages describe particular schedules and rules; they do not establish a general statistic linking sleep, food, gear or preparation to hackathon outcomes.
