In particular, Microsoft 365 Business Standard and Premium include desktop versions of core Office apps, and Microsoft’s business plans list services and administration capabilities that Proton does not list as part of Workspace.
What Proton Workspace includes
Proton’s business page describes Workspace as “a privacy-first alternative to Google Workspace and Microsoft 365.” That is Proton’s product positioning, not a claim that every Microsoft app or administrative feature is included. Workspace Standard and Premium list Proton Mail, Calendar, Drive, Docs, Sheets, Meet, VPN, and Pass.
Proton’s plan page, accessed October 4, 2026, lists these tier limits:

Premium also lists Lumo, data-retention policies, and an email writing assistant. Review Proton’s current Workspace plan details when comparing tiers, since plan contents can change.

Business administration and collaboration
Proton’s business Drive comparison lists a business admin panel, delegated administrator permissions, organization keys, enforced two-factor authentication, account recovery, independent audits, and open-source apps. It also lists document and spreadsheet collaboration and file-version history. Drive Professional’s version-history limit should not be assumed to apply to a Workspace tier; compare the limit shown for the exact plan.
What Microsoft 365 Business includes that is different
Microsoft’s business comparison distinguishes Basic, Standard, and Premium. Basic lists web and mobile versions of Word, Excel, PowerPoint, and Outlook. Standard and Premium list desktop, web, and mobile versions. Proton lists online Docs and Sheets, not installed desktop editions of Word, Excel, PowerPoint, and Outlook.

Microsoft’s comparison also lists custom business email, Teams, OneDrive, SharePoint, and applications including Loop, Clipchamp, Bookings, Planner, and Forms. These are meaningful differences for organizations whose daily work depends on Microsoft-specific documents, collaboration spaces, or integrations.
Business Premium adds advanced identity and access management, device management, enhanced threat protection, and sensitive-data discovery, classification, and protection. Those controls may matter to a company managing employee devices or sensitive information. Confirm exact capabilities and licensing for the selected plan and region in Microsoft’s business plan comparison.

Compare the suites against your company’s work
Installed Office apps
If employees need installed Word, Excel, PowerPoint, and Outlook, Microsoft 365 Business Standard and Premium list those desktop apps. If browser-based Docs and Sheets meet the need, Proton may cover more of the company’s document work. Test important files and editing requirements rather than assuming the apps behave identically.
Compatibility and existing workflows
Inventory dependencies on Microsoft file features, macros, Teams, SharePoint sites, and connected services. The published product lists differ, so validate the workflows employees actually use before moving data or changing subscriptions.
Security, privacy, and administration
Map the company’s requirements for device management, identity policies, threat protection, data governance, encryption, and administrator controls. Proton emphasizes privacy-focused, encrypted services and includes VPN and password management in Workspace; Microsoft’s Premium comparison explicitly lists device and information-protection capabilities. Vendor privacy statements describe positioning, so review technical documentation and contractual terms for sensitive use cases.
Storage, meetings, and retention
Compare the exact tier limits, including storage, meeting capacity, and retention policies. Proton’s Standard and Premium figures differ, and a broad comparison that ignores tier can mislead. Match Microsoft’s selected SKU to the same workloads rather than comparing an entry plan with a higher Proton tier.

Price and region
Prices vary by geography, billing period, Teams packaging, taxes, and promotions. Microsoft’s US pricing page accessed October 4, 2026 lists yearly-billing reference prices of $6 per user per month for Business Basic, $12.50 for Business Standard, and $22 for Business Premium. These are US figures, not universal prices; verify the applicable regional SKU and live terms on Microsoft’s plan page.

- Consider Proton Workspace if the company’s priorities center on privacy-focused email, calendar, file collaboration, online documents and spreadsheets, meetings, VPN, and password management, and its required workflows fit the listed features.
- Consider Microsoft 365 Business if the company needs installed Office apps, depends on Teams or SharePoint, or requires the device-management and information-protection capabilities listed for Premium.
- Test before switching if compatibility, integrations, retention, or compliance requirements are important. Verify the exact plan and regional terms with each vendor.
