Choose Google Sheets if your project is browser-first and your team wants simple sharing and simultaneous editing. Choose Excel if the workbook depends on VBA, Microsoft-specific features, unusual charts, or a dataset above Google’s stated 10-million-cell conversion guidance. Excel can also support live co-authoring, but only when the file, storage, accounts, and clients meet Microsoft’s requirements.

How collaboration works in each app
Google Sheets: share from Drive
Sheets lets an owner share with named people or by link and assign viewer, commenter, or editor access. Google describes simultaneous collaboration, automatic saving to Drive, and version history. Google says up to 100 people with view, edit, or comment permissions can work on a file at the same time. When 100 or more people are accessing it, editing is restricted to the owner and some users with editing permissions. Google Workspace Learning Center
Excel: co-authoring requires a compatible cloud setup
Excel supports real-time co-authoring, but a workbook saved only on a local drive is not enough. For desktop co-authoring, Microsoft specifies a supported current client, signed-in collaborators, a workbook in .xlsx, .xlsm, or .xlsb format, and storage in OneDrive, OneDrive for Business, or SharePoint Online. Desktop co-authoring requires a Microsoft 365 subscription and a supported current version. Microsoft’s comparison describes autosaving through OneDrive or SharePoint and version history through Microsoft storage. That resembles Sheets’ cloud-backed workflow in outcome, but the storage and client requirements differ. Google’s feature comparison
Features, automation, and file compatibility
Automation is not interchangeable
Excel offers macro recording and VBA tooling; Sheets supports macro recording and Apps Script. A project with existing VBA therefore has a migration dependency: keep it in Excel or plan to redesign and validate the automation for Sheets rather than assuming the code will run unchanged. Conversion can affect specialized workbooks
Google can open and edit Office files and documents its options for importing, converting, or continuing to edit in Office format. Its advice calls out Hyperion use and rare chart types as reasons to keep a workbook in Excel. Those are examples, not a complete compatibility checklist. Google’s interoperability guidance
Before moving a project, test a copy of the actual workbook. Include the features people rely on—not just the visible cell values—so problems surface before the shared version changes format.

Understand the limits without mistaking them for speed guarantees

These numbers describe different things: Excel’s is a per-worksheet grid ceiling, while Google’s is a cross-product conversion recommendation. Actual performance depends on the workbook and computing environment; the figures alone cannot predict responsiveness.

- Map the team’s setup. Check which accounts, storage services, browsers, and desktop Excel versions collaborators already use. Excel co-authoring needs Microsoft’s supported cloud and client arrangement; Sheets sharing is organized through Google Drive.
- Estimate the dataset. Count the cells that matter for Google’s 10-million-cell conversion guidance, and distinguish that from Excel’s worksheet row-and-column ceiling.
- Inventory dependencies. Identify VBA, macros, external connections, specialized charts, Hyperion use, and other less common workbook features.
- Test a representative copy. Check formulas, charts, automation, connections, layout, and any review or editing workflow after opening or converting the file.
- Choose the working format deliberately. If conversion breaks a required feature or creates ongoing maintenance work, keep the project in Excel; if browser-first collaboration is the priority and the tested workbook behaves as needed, Sheets may be simpler.
Google’s feature overview also lists filters in both products and filter views in Sheets. Where collaborators need distinct ways to inspect shared data, verify the exact filter workflow in the client and account setup the team will use. Google’s feature comparison
