How to Share Cloud Storage Files Securely

Choose named recipients for sensitive files, grant only the access they need, and review or revoke cloud-sharing permissions when the work is done.

For sensitive files, share with named recipients rather than a link anyone can forward. Give each person only the permission they need, add an expiration date or password when your account supports it, and remove access when the sharing purpose ends. Secure the cloud account itself with multifactor authentication (MFA), too: a carefully limited link cannot protect files if someone takes over the account that controls them.

1. Choose who can access the file

Cloud services generally offer a choice between inviting specific people and creating a link. Named-recipient sharing ties access to the people you select; a possession-based link may work for anyone who gets it.

Microsoft OneDrive distinguishes among Anyone, people in your organization, people with existing access, and specific people. Microsoft warns that an Anyone link can be used by anyone who receives it, including someone it is forwarded to. Google Drive also supports sharing with named recipients or by link. For confidential material, choose named people or a specific-people link when available and practical, and check each recipient address before sending.

For work or school accounts, your organization may restrict external sharing or hide some options. Follow its policy rather than trying to work around a control set by an administrator.

2. Set the permission each recipient needs

Audience and permission are separate decisions: first decide who can open the file, then what they can do with it. Google Drive offers Viewer, Commenter, and Editor roles. Use the least powerful role that supports the task:

  • Viewer: for someone who only needs to read the file.
  • Commenter: for feedback without direct editing.
  • Editor: only when the recipient needs to make changes or collaborate.

Be especially careful with folders. Microsoft says an editor on a shared folder can copy, move, edit, rename, share, and delete its contents. Grant folder-level editing only when those broader abilities are appropriate.

3. Add time limits, passwords, or download controls where available

These controls depend on the service, subscription, account type, sharing mode, and administrator settings. Do not assume that a feature shown in someone else’s account will be available in yours.

Service Documented controls Important limits
Google Drive Viewer, Commenter, and Editor roles; eligible work or school accounts can set an expiration date. Expiration eligibility depends on the account. Google Workspace administrators can set sharing boundaries.
Microsoft OneDrive Audience choices include Anyone, organization members, existing access, and specific people. Microsoft also documents link passwords, expiration dates, and a Block download option. Password and expiration features are limited to Microsoft 365 subscribers in documented contexts. Block download is limited to certain work or school accounts and applies when editing is disabled. Administrators may disable options.
Dropbox Shared links can have permissions; passwords and expiration dates are described for specified paid plans. Availability varies by plan. Check the current account settings before relying on either control.

If a share is temporary, set an expiration date when the option is available. A password adds another step for recipients; send it through a separate channel from the link. Download blocking, where offered, can support policy or add friction, but should not be treated as a guarantee against copying.

These differences are not proof that one provider is categorically safer. For a particular use, compare whether recipients must be identified, which permission levels are available, whether passwords and expiry are supported on your plan, what download limits exist, and how owners and administrators can review or revoke access.

4. Send the invitation and check the access you granted

  1. Open the file’s sharing controls and choose the intended people or audience.
  2. Select the minimum permission needed, then apply an available expiration date, password, or download restriction if appropriate.
  3. Send the invitation or link to the intended recipients. For sensitive material, confirm that the right people can access the intended item with the intended permission.

Do not put a link password in the same message as the link: if that message is forwarded or exposed, both controls go with it.

5. Review access and revoke it when it is no longer needed

Sharing is not a one-time handoff. Use the service’s access panel—called Manage access in OneDrive, or the equivalent in another provider—to inspect active people and links. Remove obsolete links or permissions once the recipient no longer needs the file.

OneDrive notes that moving a file can break a link. If a recipient loses access after a move, review the current sharing settings and create a new link if needed rather than assuming the old one still works.

6. Protect the account that controls the files

Enable MFA (also called two-factor authentication, or 2FA) on the cloud account and use a strong, unique password. The UN Human Rights Office’s cloud-storage guidance recommends enabling 2FA/MFA. A physical security key is one optional way to implement MFA, but compatibility depends on the provider and account.

If the account belongs to an employer or school, follow its sharing and authentication policies. Administrators can limit external sharing and which controls are available.
