Use Excel formulas for calculations and rules that belong in worksheet cells, Power Query for repeatable data import and reshaping, and Python when code and analysis libraries make a more complex analysis easier to express. They can work together: prepare data with Power Query, analyze it with Python, then return values to Excel for charts or other workbook features.
Which tool fits your spreadsheet task?
Start with where the data comes from and what should happen to it. Is it already in the workbook and needs a calculation? Does it need to be imported, cleaned, and refreshed? Or does the analysis benefit from code and specialized libraries? The answer often points to the right tool.

When Excel formulas are the right choice
Choose formulas when the data is already in the workbook and the desired automation is a calculation or rule that readers should be able to inspect beside the data. Examples include assigning a status from a row’s values, looking up a category, flagging invalid entries, or calculating a total.
Formulas are less suitable when the main job is repeatedly importing and cleaning data from external sources. A large web of copied formulas can also make logic harder to follow and maintain. This is a practical workflow distinction, not a claim that one method is universally faster.

When to use Power Query
Use Power Query when you need a repeatable process to bring in tabular data, transform it, and load the result into a worksheet or Data Model. Microsoft describes it as a way to shape data, with a workflow that can connect, transform, load, and refresh. Microsoft’s Power Query overview covers the workflow and platform availability.
Typical Power Query transformations
- Remove, rename, split, or expand columns.
- Change data types and group or aggregate rows.
- Merge tables or append rows from multiple queries.
- Load the prepared result and refresh it when the source data changes.

Power Query is listed for Excel on Windows, Mac, and the web, but exact operations depend on the application. Microsoft’s overview notes that Excel for the web gained query refresh from authenticated data sources in 2025. Check the behavior for your Excel version and source rather than assuming every connector or refresh scenario works identically.
When Python is a better fit
Python is useful when code makes a complicated analysis more understandable or when you need supported data-analysis libraries. In Python in Excel, you can enter Python in a worksheet cell and refer to Excel ranges, tables, queries, and names with xl(). Pandas DataFrames are among the supported ways to work with tabular data.
Python in Excel is a Microsoft cloud feature, not the same thing as running Python installed on your own computer. Microsoft documents support for Windows, the web, and Mac, and requires an internet connection and a qualifying Microsoft 365 subscription. Python cells cannot recalculate in the iPad, iPhone, or Android apps. Review the Python in Excel introduction before depending on the feature in a shared workbook.
External data requires a different route
In Python in Excel, external data must be imported through Power Query first. Common functions such as pandas.read_csv and pandas.read_excel are not compatible in this environment; its Python libraries also cannot make network requests or access files on your local machine. Import the data with Power Query, then reference it from Python. These restrictions describe Python in Excel’s cloud environment, not general local Python installations. Choose how Python results return to the workbook
Python results can remain as Python objects or be converted to Excel values. Returning Excel values makes results available to standard workbook features such as charts, formulas, and conditional formatting. See Microsoft’s Python in Excel DataFrames documentation.
How to decide: four practical questions
- Where does the data start? If it is already in the workbook, formulas may be enough. If it must be repeatedly brought in from sources, consider Power Query. For Python in Excel, external data must first come through Power Query.
- What kind of work is being automated? A cell-level calculation or rule points toward formulas; a repeatable table transformation points toward Power Query; complex analysis that benefits from code points toward Python.
- Who will read and maintain the logic? Formulas expose rules in cells, Power Query makes a transformation sequence repeatable, and Python makes code-based analysis possible. Choose a form the people responsible for the workbook can understand and maintain.
- What platform and access are available? Confirm the relevant Excel platform, data-source refresh behavior, and—if using Python in Excel—Microsoft 365 eligibility and internet access.
Combine the tools when the workflow needs them
A practical sequence is Power Query to prepare, Python to analyze, and Excel to present or use the results. For example, import and reshape a recurring table in Power Query, analyze it in Python, then return Excel values for formulas, charts, or conditional formatting. There is no need to choose a single tool for an entire workbook. Keep straightforward worksheet rules in formulas, use Power Query for repeatable data preparation, and use Python where its code and libraries make the analysis a better fit.
