Choose based on where the agent runs and where its activity data lives. Before enabling recurrence, define the reporting window and time zone, identify the fields and destination, and test a run so you can catch missing data or confusing day boundaries.
Choose the scheduling route that fits your agent

For a personal recurring task, an in-product schedule is usually the most direct route. For a shared team process, use a workspace agent where available. Choose a local job when the report depends on local data or a custom runtime. OpenAI’s workspace-agent example demonstrates a daily schedule for meeting preparation; the interface may change.
Decide what the report should measure
“Activity” can mean completed work, operational status, tool use, or consumption. Set the reporting window and fields before choosing a prompt or building a job:
- Period and timestamp: state the start and end of the reporting period, the time zone, and when the report was generated.
- Run status: count completed, failed, and still-pending runs. Make clear whether a run belongs to the day it started or the day it finished.
- Actions: include notable actions or tool calls only when the agent’s traces expose them. Add run identifiers or source links when available.
- Usage: request measurable fields only if the runtime provides them. The OpenAI Agents SDK usage documentation describes request count, input tokens, output tokens, and total tokens for SDK runs.
- Exceptions: surface failures, missing inputs, and items needing attention rather than silently leaving them out.
For OpenAI API agents, tracing documentation describes inspecting session steps, including model responses and tool calls, as well as dashboard inspection and trace export. These examples do not mean every agent or account exposes the same telemetry.

Configure and verify the schedule
- Pick one route. Use a ChatGPT scheduled task, a workspace-agent schedule, or a programmatic/local job, depending on where the agent and its data are available.
- Specify the report. Write down the reporting period, time zone, output format, delivery destination, and exact activity fields. For a daily report, define what “day” means in the chosen time zone.
- Check access. Confirm the agent or job can read the runs and data it needs. Connected apps, shared agents, and local scripts can report only on information they are permitted to access. In particular, ChatGPT tasks created in a project cannot access files uploaded to or stored in that project, according to the Scheduled tasks help page.
- Run it manually once. Check for missing or duplicated activity, correct time boundaries, useful exception details, and a report that is readable at a glance.
- Add the recurrence and check delivery. Review the active schedule, account capacity, and notification settings. Browser notifications require permission; push and email notifications are managed separately, as described in the help documentation.
- Inspect the first scheduled report. Verify that it arrived at the intended destination and that failures or missing inputs are visible instead of being mistaken for a clean day.
Check plan, workspace, and notification limits
ChatGPT task availability and limits vary with the plan, app, and workspace settings. The current Scheduled tasks documentation says Free users may schedule a recurring task no more than once per day, while eligible paid plans can schedule as often as hourly; active-task caps also vary by plan. Confirm the current Scheduled page and account settings before depending on a particular frequency or task capacity, since supported limits may change.
Workspace agents are an organization feature, and workspace eligibility and administrator controls determine whether they are available. Check the Workspace Agents help page for the current product scope.

If the report is incomplete or does not arrive
- Runs are missing: check whether the scheduled task or agent can access the relevant run history, connected app, or files. Review the time zone and the rule used to assign runs to reporting days.
- Tool details or usage totals are absent: confirm that the runtime exposes traces or usage data. Do not treat unavailable telemetry as zero activity.
- The task did not recur: review the active schedule, plan or workspace eligibility, and task capacity.
- The report ran but was not noticed: check the configured destination and notification preferences, including browser permission where applicable.
- A local job failed: inspect the operating-system scheduler’s run status and the script’s output or error log. Keep credentials out of plain-text task definitions and limit the job’s permissions.
