A PDF can look different from a Word document because the two formats handle layout differently: a PDF records the placement of page content, while Word lays out editable text and objects when it displays or prints them. The cause often depends on whether you exported Word to PDF or opened a PDF in Word, as well as fonts, view settings, and pagination controls.
First, check which direction the file was converted
Exporting a Word document as a PDF and opening a PDF in Word are different operations. Word’s PDF export is intended to create a shareable copy that preserves formatting. By contrast, when Word opens an existing PDF, it has to infer editable Word elements from the fixed page layout. Paragraphs, tables, and columns may not map cleanly, so text can wrap differently and page breaks can move. Why layout can change
Fonts may be missing or substituted
If the computer or service displaying the file does not have a custom font, it may substitute another font. Even a similar replacement can have different character widths, changing line wraps, paragraph lengths, and page breaks. Microsoft says embedding custom fonts can help preserve fonts, layout, and styling when sharing a document; embedding depends on the font creator’s licensing permissions. You may be looking at Word’s editing view
Word for the web’s Editing view does not show page formatting such as margins and page breaks. To compare a Word document with a PDF, use Print Layout or view or print the document as a paginated copy. Pagination settings can move content
Word paragraph settings can keep lines together, keep a paragraph with the next one, force a page break before a paragraph, or control widows and orphans. Those rules affect where content falls even when the words and fonts are unchanged. Microsoft documents these controls in Use Line and Page Breaks settings in Word.
How to identify and fix the difference

Identify the conversion direction. If Word was made from a PDF, treat it as a reconstruction rather than an exact editable copy; shifted line and page breaks are possible.

Compare the paginated Word view. In Word, switch to Print Layout rather than relying on Editing view in Word for the web.

Check font availability. Look for custom fonts that may be missing on the computer or conversion service. Where licensing allows, embed them; otherwise choose a font available consistently on the systems involved.

Inspect breaks and paragraph controls. Show formatting marks, then review page and section breaks and paragraph settings for keeping lines or paragraphs together or starting a page break.

Export and inspect the PDF. Re-export from Word, then open the resulting PDF in a PDF reader to check its pages. Word for the web offers a PDF copy and a separate option to include comments; available controls can vary by version.
What to expect when sharing a Word document
If recipients need to see a stable page layout, share the exported PDF rather than relying on each person’s Word installation to render the editable file identically. If they need to edit the content, share the Word document and account for differences in fonts, Word versions, and pagination settings.
