Hiding the admin menu or redirecting someone away from /wp-admin does not, by itself, remove their permissions. Use WordPress roles and capabilities as the foundation; add a plugin redirect or server-side password gate only when your workflow calls for it.
Choose access by the work a user needs to do
WordPress has six predefined roles: Super Admin, Administrator, Editor, Author, Contributor, and Subscriber. Roles bundle capabilities, which are the permissions that determine what a user can do. Subscriber has only the read capability. Review the WordPress roles and capabilities guide before assigning access, especially when a task requires more than reading content.
- List each person’s actual tasks, such as writing drafts, editing others’ posts, managing settings, or maintaining the site.
- Choose the least-privileged predefined role that supports those tasks.
- Use a custom role if no predefined role fits. Add only the capabilities the role needs, and verify what each capability grants before assigning it.
A capability’s name can understate its reach. WordPress warns that edit_theme_options grants more than access to the Site Editor, so do not add it merely to unlock one interface without checking its broader effect.
Use capabilities to protect actions, not just menus
For custom features or code, check authorization at the operation being protected. WordPress documents using current_user_can() to test whether the logged-in user has a capability before allowing an action. See the Plugin Handbook guidance on roles and capabilities.

Hiding a menu item or toolbar link is a display change, not an authorization check. A user may still reach an action through a direct URL, a request, or another interface unless the underlying operation also checks the user’s capability. Apply the same principle to custom admin pages, form handlers, and other privileged functions.
Compare the main ways to restrict dashboard access

Use a plugin when redirects and page exceptions are the requirement
A dashboard restriction plugin can redirect users according to roles or capabilities and allow exceptions for profile access or particular admin pages. The WordPress.org listing for Remove Dashboard Access documents these kinds of settings. Its listing is not proof that the plugin is compatible with a particular site or every installed plugin.

Before relying on a plugin, check its role and capability conditions, redirect destination, profile access, admin-page exceptions, and treatment of admin-ajax.php. Remove Dashboard Access does not block admin-ajax.php by default; changing that setting can interfere with front-end features that depend on AJAX. Test the actual tasks users perform rather than judging access only by what disappears from the dashboard.
Add server-side password protection only as a second layer
Password protection for /wp-admin adds a gate outside WordPress’s role system; it does not decide what an authenticated WordPress user is allowed to do. Keep role and capability controls in place, and test the site after enabling the extra barrier. WordPress warns that this type of protection can break AJAX functionality, so check both admin and front-end workflows that use AJAX. See Hardening WordPress.

Disable dashboard file editing separately if that is the concern
If the goal is to prevent PHP theme and plugin file edits from the dashboard, consider the DISALLOW_FILE_EDIT setting. WordPress Developer Resources, in “Hardening WordPress,” cautions: “This will not prevent an attacker from uploading malicious files to your site, but might stop some attacks.” Treat it as limited defense in depth, not a substitute for restricting accounts, uploads, or other access paths. Test permissions and workflows after changing access
Use a test account for each role or custom role and verify the paths users need, including any exceptions. After a permission, plugin, or server-level change, check:

- Whether users can perform their intended tasks and are blocked from actions outside them.
- Whether profile pages and explicitly allowed admin pages remain available.
- Whether plugin features, REST API actions, and AJAX-dependent admin or front-end features still work.
- Whether direct links or requests to protected actions are denied when the user lacks the required capability.
