Choose an interactive meeting if students need to participate, or a restricted livestream if they only need to watch. Before class, confirm who may view, set moderation controls, protect student privacy, test sound and captions, and follow school rules for recording.
Choose a school-approved format
Ask school administration or IT which account and platform to use, whether livestreaming or recording is permitted, and who may watch. Do not assume that a consumer account or public platform is allowed. The U.S. Department of Education’s Student Privacy Policy Office advises educators to check with school or district administration and IT before using online services that may collect information from education records.
Use a meeting for participation
An interactive meeting is the better fit when students need to speak, ask questions, or otherwise take part. Your school may control which meeting features are enabled. Google says an administrator must enable Meet for Classroom use and determines which features teachers and students can use. Zoom’s educator guide likewise directs teachers to follow their school’s account signup process.
Use a restricted livestream for watch-only access
A livestream can suit viewers who only need to watch. Google describes its livestream feature as allowing people in the organization to watch without participating. Check with school IT that the feature is enabled and that its intended audience matches your class. Google’s administrator guidance says livestream and recording permissions can be limited to faculty and staff; confirm the applicable settings for your school and account.

Set access and moderation before class
Make access controls part of lesson preparation, not a response to a disruption. Zoom’s educator guide recommends passcodes, authenticated users and waiting rooms, and says not to share a meeting ID or passcode publicly. The available controls and labels can vary by account, so verify them in the school-approved setup.
- Confirm that only the intended audience can join or watch.
- Use the access protections your school requires, such as authentication, a passcode or a waiting room.
- Decide whether participants can use microphones, cameras, chat, screen sharing and annotation; leave only the controls the lesson needs enabled.
- Arrange for a co-teacher or moderator to monitor chat and handle late arrivals or disruption if appropriate.
- Keep meeting details within the intended audience rather than posting them publicly.
Zoom’s educator guidance describes muting, removing or placing participants in a waiting room, as well as managing chat, annotation and screen sharing. Choose controls that suit the lesson and school policy.

Protect student and household privacy
Decide what the camera will show before inviting students to appear on screen. If students do not need to be visible, teach with the camera framed on you, the board or materials instead. Use suitable privacy settings and a neutral background. Tell students and families what the stream or recording captures, who can access it, and how they can raise concerns, in line with school policy.
Check the school’s rules before recording: a recording can capture personal information beyond the teacher’s presentation. England’s Department for Education guidance recommends that staff understand and know how to apply controls over pupil and student interactions, including microphones and cameras, and that people whose personal data is captured receive sufficient information about recordings. These are England-specific recommendations, not universal legal requirements. See Safeguarding and remote education (last updated 24 November 2022).

Test audio, captions and connection quality
Run a short test from the classroom position you will use. Check that your voice is clear, shared materials are readable, and the intended audience can access the session. If your school permits it, an external USB microphone is an optional way to improve teacher audio; the official guidance does not require one or recommend a particular model.
- Check the microphone and speaker settings and listen for room echo or background noise.
- Confirm that slides, demonstrations and writing on the board can be seen on a viewer’s device.
- Check whether live captions are available and turn them on when useful. Google’s teacher guidance recommends captions for students who are deaf or hard of hearing.
- If the connection struggles, Google advises that turning off the camera may improve meeting quality. Its teacher instructions also suggest using a phone for audio if meeting audio quality is poor.
Run the lesson and close it deliberately
- Open the school-approved meeting or livestream with the audience and access controls you checked in advance.
- Briefly remind participants of classroom expectations, including when to use microphones or chat.
- Teach while monitoring audio, chat and any participant controls relevant to the lesson. Have the moderator handle issues if one is assigned.
- End the meeting or stream when class is over. If a recording was made, follow school retention and sharing rules rather than distributing its link broadly by default.

- Participation: Do viewers need to speak, chat or share, or is watching enough?
- Access: Can the school restrict entry or viewing to authenticated users or a defined organization?
- Moderation: Can staff manage microphones, cameras, chat, screen sharing and late arrivals?
- Recording and data: Is recording permitted, who can access it, and what student information might it capture?
- Accessibility and reliability: Are captions available, and does the setup work with the classroom’s connection and devices?
- Administrative fit: Has school IT enabled and approved the feature for your account?
