Choose a format that fits the learning goal
Start with the kind of learning attendees need, not with a feature list. Cochrane’s July 2020 guidance distinguishes lecture-style webinars, which commonly use Q&A and polls, from virtual workshops designed for more interactive small-group work. A webinar is often a better fit when a presenter can teach effectively to the group without extensive hands-on practice. If participants need to work together, practise skills, or receive close feedback, a workshop may be more suitable.

Those durations are guidance examples, not rules for every subject or audience. A shorter session may be enough for a focused topic; a complex activity may need more time. Make the platform choice after settling the format, and check that its current plan supports the needed registration and administration, participant-presenter interaction, audience capacity, chat or Q&A, polls, accessibility, recording, and archiving. Capacity and features can vary by license, so confirm the limits for the account you will actually use before advertising a registration cap.
Plan the event and give people time to register
Set the topic, date, format, presenter lineup, and responsibilities early. Ask presenters for the materials the event needs, rather than waiting until rehearsal: a description and short biography, slides, and any planned polls or questions. Make the registration page clear about the session’s purpose, format, start time and time zone, and how attendees can take part.

- Allow time to promote: Cochrane’s July 2020 guidance recommends opening registration at least 6–8 weeks before the session. Treat that as a planning recommendation, not a universal deadline; a smaller or established audience may need a different schedule.
- Check the time zone: State the time zone alongside the start time so people can determine when to attend.
- Use relevant channels: Share the invitation where the intended audience is likely to see it.
- Send a reminder: Cochrane recommends reminding registrants a day before the event.
Assign roles before the rehearsal
Do not make the presenter responsible for delivering the talk while also troubleshooting the platform, monitoring questions, and coordinating the production. Microsoft’s event guidance recommends having more than one person in the event group and assigning responsibilities; Cochrane likewise recommends planning who will present, moderate, and operate the session.
- Presenter: Delivers the material and manages the intended flow of the talk.
- Moderator: Watches attendee questions, explains how to participate, and selects or groups questions for the presenter.
- Technical operator: Handles the event controls, shares materials, advances polls or slides as agreed, and responds to operational problems.
- Backup contact: Helps coordinate a recovery if someone loses access or a technical issue interrupts the session.
One person may cover more than one role for a small event, but name the assignments in advance. Agree on a private, real-time communication method for the event team so they can flag a problem without interrupting the audience-facing presentation.

Rehearse the complete event, not just the platform
A successful rehearsal follows the same sequence attendees will experience. Microsoft recommends several rehearsals for its live-event workflow and advises testing transitions and audio; Cochrane recommends rehearsing with presenters so they understand both the platform and the event flow. Microsoft’s legacy Teams live-event guidance says, “Most importantly, practice.” The Teams live event experience retired on June 30, 2026, according to Microsoft Support, so do not treat its old workflow as current; check Microsoft’s current webinar or town hall documentation and your tenant’s availability if using Teams.
- Join as each presenter and operator: Confirm everyone can access the event with the correct role and knows which controls they will use.
- Run the opening: Practise admitting or welcoming attendees, introducing speakers, explaining participation, and starting the presentation.
- Test every transition: Move between speakers, slides, video, polls, and Q&A in the planned order. Confirm who triggers each change and what happens if a presenter is late.
- Test audio in the actual setup: Listen to the presenter and any in-room participants from the attendee perspective. Microsoft advises testing room and online audio separately when both are used.
- Check the picture and materials: Confirm presenters are framed and lit well, and that shared slides or other materials are legible.
- Practise audience participation: Run the poll or question workflow, including how the moderator will surface responses.
- Agree on the fallback: Know how the team will communicate and who will act if a presenter, connection, or shared material fails.
For internet resilience, Microsoft’s general event guidance suggests having a secondary connection, such as a mobile hotspot, available. Whether that is practical depends on the location, carrier coverage, and event setup; test the fallback before relying on it.

Make audio intelligible and the picture easy to follow
Attendees may listen while doing something else, so unclear speech can make the session hard to follow even when the slides are polished. Prioritize a clean, consistent voice level and test the actual microphone and room. A built-in microphone may be adequate in a quiet space, while a microphone or headset can help in noisier conditions or when a presenter needs to monitor sound. Microsoft recommends a good presenter microphone and mentions wearable microphones or a Teams-certified headset in some situations; those are options, not universal requirements.
Light the presenter so attendees can see their face, and frame the shot without distracting background activity. Microsoft’s presenter playbook suggests that frequent presenters may consider a stand-alone LED light; specialized lighting is optional, not a prerequisite. A simple pre-event check of sound, lighting, framing, and slide readability is more useful than buying equipment without testing whether it solves a real problem.

Keep the presentation active and explain how to participate
Tell attendees how to submit questions and respond to polls near the beginning, then make time for those activities during the session. Cochrane describes Q&A and polls as common webinar elements and recommends avoiding presentation stretches longer than 15–20 minutes without an interactive break. Use that interval as a pacing guide, not a rigid timer: the appropriate rhythm depends on the content and the audience.
Place interaction where it helps learning—for example, a poll to surface what attendees already know, a question break after a complex point, or a moderated Q&A near the end. The moderator should keep an eye on incoming questions while the presenter speaks, group duplicates where useful, and flag anything the speaker needs to address promptly. If a question cannot be answered live, agree in advance whether and how the organizer will follow up.

Decide about recording and follow-up in advance
A live session may be recorded for people who cannot attend or want to revisit it. Cochrane recommends considering later viewing and planning an archive that will remain useful in the future. Before the event, verify the platform’s current recording controls, permissions, storage limits, and access settings. Tell attendees whether recording will occur and follow the organizer’s applicable policy and jurisdiction: the cited guidance does not establish one universal consent or retention rule.
- Decide who can start, stop, and access the recording.
- Choose where it will be stored and who will be able to view it.
- Check whether slides, chat, questions, or other shared materials are included or need separate handling.
- Plan how attendees will receive the recording or related materials, if you intend to share them.
