Google Workspace vs Microsoft 365: Which Is Better for Your Team in 2026?

Google Workspace and Microsoft 365 share a $7/$14/$22 US price ladder, but differ in billing, storage, desktop apps, security and AI. Here is how to choose the right tier.

Neither suite is universally better. Microsoft 365 is usually the better fit when your organization depends on desktop Word, Excel, PowerPoint or Outlook, Microsoft file formats, or stronger device and threat controls. Google Workspace is often the better fit for Gmail, Drive and Meet-centered teams that benefit from pooled storage and browser-first collaboration. Compare the lowest tier that actually meets your applications, storage, security and AI requirements—not just the matching headline price.

2026 plan comparison at a glance

The figures below are official US list prices reported for September 30, 2026. Taxes are excluded. Google displays these plans as billed monthly; Microsoft’s cited Business page shows annual payment. Prices, promotions and included features can change, and business plans are not equivalent to enterprise, education, nonprofit, government or no-Teams editions.

Price: the same ladder hides different commitments

The US list-price ladder is $7, $14 and $22 per user per month for both vendors, but the billing basis differs. Google’s cited pages state monthly billing, while Microsoft’s cited Business page presents those prices with annual payment. A Microsoft annual commitment can affect cash flow and cancellation flexibility even when the monthly equivalent matches Google’s number.

Google also displays introductory discounts for eligible new customers. Treat those offers as temporary, one-time promotions rather than the recurring cost. Confirm taxes, currency, seat minimums, renewal terms and the final checkout price for your country.

Storage: pooled capacity versus a personal allowance

Google assigns pooled storage across the organization: each licensed user contributes an allocation—30 GB on Starter, 2 TB on Standard or 5 TB on Plus—to a shared pool. This can suit teams whose usage is uneven, because unused capacity from one account can support another, subject to Google’s administration rules.

Microsoft lists 1 TB of cloud storage per user on Business Basic, Standard and Premium. That is a per-user allocation rather than Google’s organization-wide pool. A team with a few very heavy users should model actual usage before deciding that either headline number is larger in practice.

Desktop software is a decisive requirement

Choose Microsoft when desktop Office is mandatory

Business Basic is web- and mobile-only. Business Standard and Premium include desktop, web and mobile Word, Excel, PowerPoint and Outlook. If staff rely on advanced desktop features, local workflows, Outlook integrations or established Office templates, Standard is the first Microsoft tier in this comparison that meets that requirement.

Choose Google when browser-first work is intentional

Workspace centers work in Gmail, Drive, Docs, Sheets, Slides and Meet. Teams that deliberately collaborate in browser-based files can avoid desktop installation and version-management overhead, but they should test any macros, complex spreadsheets, document fidelity or offline process that matters to their business.

Security, compliance and administration

Microsoft 365 Business Premium

Microsoft positions Premium above Basic and Standard with device security and management, advanced threat protection, and tools for discovering, classifying and protecting sensitive data. Those capabilities are relevant when the business manages endpoints centrally or has formal security and compliance requirements.

Google Workspace higher tiers

Google lists increasing administration and security capabilities by tier. Business Plus includes Vault and eDiscovery in the plan description, while Enterprise adds controls such as data loss prevention and context-aware access. Do not assume an Enterprise control is included in Business Plus, or that a feature listed by a vendor is available in every country or license combination.

Compare controls, not labels

Make a checklist of required controls—mobile and desktop device management, phishing and malware protection, retention and legal hold, DLP, identity policies, audit logs and administrator roles—then verify each item in the exact edition you can buy. Some Microsoft capabilities are add-ons, and Google’s availability can vary by edition and region.

AI: “included” does not mean the same thing

Google’s business pages list Gemini-related features across its tiers, with more included capabilities in Standard and above. Microsoft lists AI chat capabilities in its business plans, while work-grounded Copilot—AI connected to company files, email and apps—is sold with particular plans or as an add-on.

Before treating AI as a deciding feature, confirm the named product, data sources it can use, administrative controls, usage limits, supported language and whether the quoted price includes the required license. General chat and permission-aware answers over organizational data are different products.

Which suite fits common team profiles?

Microsoft 365 is the stronger starting point when

  • Employees require installed Word, Excel, PowerPoint or Outlook.
  • Your organization already standardizes on Exchange, Teams, SharePoint and Office files.
  • Centralized endpoint management and Microsoft’s higher-tier threat controls are requirements.
  • Existing macros, templates or integrations have been built around desktop Office.

Google Workspace is the stronger starting point when

  • Gmail, Drive, Meet and browser-based Docs, Sheets and Slides are the everyday workflow.
  • Real-time, link-based collaboration is more important than installed desktop applications.
  • Storage needs are uneven and a pooled organizational model is advantageous.
  • You prefer Google’s administration model and the specific Gemini capabilities available in your chosen tier.

Migration and switching effort

Moving suites is an implementation project, not a simple subscription change. Microsoft Learn’s migration guidance says: “You can use the following steps to move your data, email, and users from Google Workspace to Microsoft 365 for business.” The documented work includes Exchange Online migration for mail, calendar items and contacts; Migration Manager for personal Drive and shared Drive content; and setup for users, domains and security.

  1. Inventory users, aliases, groups, domains, mail, calendars, contacts, shared drives, permissions, retention rules and integrations.
  2. Map Google identities and groups to Microsoft Entra ID users, groups and licenses, or perform the reverse mapping when moving to Google.
  3. Pilot representative mailboxes and shared content, checking permissions, links, file conversions, calendars and mobile clients.
  4. Set DNS, authentication, security policies and coexistence rules before the cutover.
  5. Schedule the final migration, communicate downtime or read-only windows, verify delivery and access, then retain the old environment until validation is complete.

Migration tooling does not establish that every setting, file type, permission or application integration will transfer without review. Budget for testing, user training and remediation.

A practical decision method

  1. List non-negotiables. Mark desktop Office, Outlook, pooled storage, endpoint controls, Vault/eDiscovery, DLP, Teams or Meet, and required AI workflows as mandatory or optional.
  2. Eliminate failing tiers. For example, desktop Office rules out Microsoft Business Basic; a required Google Enterprise control rules out assuming Business Plus is sufficient.
  3. Model storage and billing. Compare pooled Google capacity with Microsoft’s 1 TB-per-user allocation, and compare Google monthly billing with Microsoft’s annual-payment presentation.
  4. Pilot real work. Test representative spreadsheets, documents, mail, calendars, mobile devices, sharing policies and security alerts.
  5. Recheck checkout details. Confirm country, taxes, promotions, renewal terms, Teams inclusion, AI licensing and any add-ons immediately before signing.

Bottom line

Pick Microsoft 365 Business Standard when desktop Office and Microsoft-centered workflows are central; consider Business Premium when device, threat and sensitive-data controls justify the higher tier. Pick Google Workspace when Gmail, Drive, Meet and browser collaboration—especially pooled storage—better match how your team works. The defensible 2026 choice is the lowest tier that satisfies your required applications and controls, after a pilot and a country-specific checkout review.
