To save a SharePoint page as a PDF, open the page, use your browser’s Print command, choose Save as PDF (or Microsoft Print to PDF), adjust the print settings, and save the file. This is the dependable general method for modern SharePoint pages in Microsoft 365, SharePoint Server Subscription Edition, and SharePoint Server 2019.
If the page is a draft and other people need the PDF, publish it first. A draft may be visible only to editors or users with permission, so printing it does not make its contents available to everyone.
Before you print: check the page and its audience
Publish a draft when the PDF is for other people
Open the SharePoint page and wait until the visible content has finished loading. If it is still a draft, select Publish (or Republish where that button is shown) before creating a copy for a wider audience. Microsoft’s modern-page guidance explains that pages can be edited, saved, published and shared, while permissions still determine who can open them.
Microsoft 365 features can roll out at different times for different organizations. Since July 2024, coauthoring has started rolling out to tenants, but availability is not identical everywhere. SharePoint can also automatically save and close an editing session after five minutes of inactivity if the author did not save, close or publish.

Identify modern versus classic SharePoint
The steps below target modern pages, which use sections, columns and web parts. Classic or earlier pages can have different commands and may render differently in print preview. If your page has the older classic interface, use the browser’s print workflow as a starting point, but expect different spacing, navigation and web-part behavior.
How to save a SharePoint page as a PDF
- Open the page. Navigate to the SharePoint page in your browser and wait for text, images and web parts to appear.
- Force delayed content to load. Scroll through a long page once. This can trigger images or other lazy-loaded elements before the browser creates the print view.
- Open Print. Press Ctrl+P on Windows, or open the browser menu and select Print. On macOS, use Command+P.
- Choose a PDF destination. In the printer or destination list, select Save as PDF. On Windows systems that provide it, Microsoft Print to PDF is another option.
- Set the page layout. Review orientation, paper size, margins, scale, headers and footers, and the page range. Use portrait for text-heavy pages and landscape for wide tables or multi-column layouts.
- Inspect the preview. Check that headings, images, tables and page breaks look sensible. Reduce or increase scale, change margins, or switch orientation if content is clipped or awkwardly split.
- Save the file. Select Print or Save, choose a filename and folder, then create the PDF.
- Verify the result. Open the saved PDF. Check every page, image, table, hyperlink and important section before sending it to anyone.
Print settings that improve the PDF
Orientation, paper and scale
Use the paper size expected by your readers, such as Letter or A4. Landscape usually handles wide SharePoint sections better, while portrait generally produces a more natural report for prose. If a heading is stranded at the bottom of a page or a table is cut off, adjust scale and margins rather than relying on the default preview.
Headers and footers
Turn browser-generated headers and footers off when they add a URL, date or page title that competes with the document. Leave them on when the printed address or date is useful for internal record-keeping.
Page range
Print all pages for an archive copy. For a handout, select only the required range after reviewing the preview. Do not assume that a page number shown in the browser matches the PDF’s final pagination.

The browser prints the page as it is rendered, creating a static representation rather than an interactive copy of SharePoint. Long pages can split across sheets. Interactive web parts, live lists, videos, forms and embedded files may appear as a snapshot, a link or an empty area instead of remaining playable or editable in the PDF. A PDF should therefore be treated as a fixed record, not a replacement for the online page.

If an important section is missing, return to the page, scroll through it to load delayed content, and open print preview again. When the browser still cannot render the required material, copy the relevant text or files into an Office document and export that document to PDF, provided your organization’s permissions allow the copy.
Common problems and fixes
The page prints blank or only the header
Cause: content has not finished loading, or a web part does not provide a useful print representation. Fix: wait for the page, scroll from top to bottom, reload if necessary, and reopen print preview. For a non-printable web part, export its underlying content separately when permitted.
Images are missing
Cause: images are lazy-loaded or blocked by a permission, network or browser condition. Fix: scroll until each image appears, confirm that you can view it online, then print again. If access is restricted, ask the site owner to grant the needed permission.

Cause: the table is wider than the selected paper. Fix: choose landscape orientation, reduce scale, use narrower margins or select a larger paper size. If readability becomes poor, place the table in an Office document and export it separately.
Page breaks split a section badly
Cause: the browser paginates a continuously rendered web page; SharePoint does not guarantee report-style page breaks. Fix: adjust scale and margins, change orientation, or print selected ranges. For a polished publication, reformat the content in an Office document.

The PDF contains a draft that colleagues cannot open
Cause: the original page is still a draft or its permissions are limited. Fix: publish the page when appropriate and confirm that intended recipients have SharePoint access. Publishing changes page visibility; it does not override site permissions.
I see “Create > PDF” in Microsoft 365
Microsoft documents a Create > PDF command for Microsoft Copilot Pages. That is a Copilot Pages feature, not the standard export command for an ordinary SharePoint page. For SharePoint, use the browser’s Print > Save as PDF path.

- Is the source page published if the audience is broader than the editing team?
- Did you scroll through the entire page so delayed content loaded?
- Are orientation, paper size, scale and margins suitable for the widest section?
- Do page breaks preserve headings, tables and captions?
- Are links, images and important embedded references present?
- Does the PDF contain static content that readers are allowed to receive?
- Have you opened the final file rather than trusting the print preview alone?
