How to Capture an Excel File as an Image (Cells, Charts, Linked Pictures, and Screenshots)

The best method depends on what you mean by “capture.” For a static picture of selected Excel cells, select the range and choose Home > Copy > Copy as Picture. For a picture that updates when cells change, use Excel’s Camera command. For a chart image file, paste the copied chart into an image editor and save it. If you need everything currently visible on your monitor, use a screenshot or screen clipping.

Choose the right Excel capture method

These workflows are different from saving the workbook in another file format. Microsoft warns that format conversion can lose data, formatting, or features, so changing the workbook extension is not a picture-export method.

Capture selected cells as a static picture

  1. Select the cells you want in the image. Include only the required rows and columns; blank surrounding cells become part of the picture.
  2. Open Home > Copy > Copy as Picture.
  3. In the Copy Picture dialog, choose an Appearance and a Format, then select OK.
  4. Paste the result into the destination: press Ctrl+V on Windows or Command+V where supported, or paste into an image editor.

Use the highest-quality settings

Microsoft recommends As shown on screen for Appearance and Picture for Format. This combination is pasted at 100% of the original size. Consequently, an image can look larger than the worksheet did when you were zoomed out. Resize the pasted object only after checking that text remains readable.

Remove gridlines before copying

If the image should have a clean white background, turn off gridlines before using Copy as Picture: choose View > Show > Gridlines and clear the checkbox. Gridline visibility is part of the copied appearance.

Copy a chart or other object

Select the chart or object itself, then use Home > Copy > Copy as Picture. This creates a static picture of that object. It does not create a chart file until you paste the result into an editor and save it there.

Create a picture that updates with the worksheet

Use Camera when you need a visual report, dashboard snapshot, or layout that follows changes to a source range.

  1. Open the Quick Access Toolbar menu and choose More Commands.
  2. Set Choose commands from to All Commands.
  3. Select Camera, choose Add, and confirm with OK.
  4. Select the source range.
  5. Click Camera on the Quick Access Toolbar.
  6. Click where the linked picture should appear.

The inserted graphic is linked to the selected range. Changes to the source cells appear in the picture. This is different from Copy as Picture, which remains unchanged after you paste it.

Save an Excel chart as an image file

  1. Select the chart and copy it.
  2. Open an image editor such as Paint.
  3. Paste the chart into the editor.
  4. Crop unwanted whitespace if necessary.
  5. Use the editor’s Save or Export command and choose an image format.

Which image format should you use?

  • PNG: A strong general choice for charts, labels, and web graphics; it can support transparent areas.
  • JPG: Suitable for many-color pictures such as photographs, but compression can soften fine chart text.
  • GIF: Supports up to 256 colors and is useful for simple graphics.
  • BMP: An uncompressed option supported by common editors, usually producing larger files.

If a chart has excess blank space after pasting, crop it in the editor rather than shrinking the chart inside Excel first.

Capture what is currently visible on screen

Windows

  • Print Screen: Copies the screen contents to the clipboard.
  • Alt+Print Screen: Copies the active window.

Paste the capture into an editor, crop it, and save the result. A screen capture can include the ribbon, formula bar, taskbar, notifications, or other windows. Use a screen clipping when you want only the worksheet area.

Mac

  • Shift+Command+3: Captures the whole screen.
  • Shift+Command+4: Lets you drag around an area.
  • After Shift+Command+4, press Space to capture a window or menu.

Open the resulting image in an editor if you need to crop or annotate it.

Improve readability before you capture

  • Set a practical zoom level and widen columns so headings are not truncated.
  • Hide gridlines when they add visual noise.
  • Apply number formats, borders, and alignment before copying.
  • For a long range, consider a full-page capture or a PDF instead of shrinking the image until text is unreadable.
  • Check print area and page breaks if the capture is intended for a report.

Common problems and fixes

“Copy as Picture” is missing

Confirm that you selected a worksheet range or object and are using the desktop Excel ribbon. The cited Microsoft instructions cover Microsoft 365, Excel 2024, and Excel 2021; labels and feature availability may differ in Excel for the web, mobile editions, or older releases. Check the commands available in your edition.

The pasted image looks blurry

Choose As shown on screen and Picture, then paste again. Avoid enlarging a low-resolution screen capture. For documents that will be printed, capture at a larger practical zoom and resize downward.

The image is larger than expected

Picture format is pasted at 100% of its original size, even when the worksheet was zoomed out. Resize the pasted object after insertion, or capture a smaller range.

Gridlines appear in the picture

Turn them off through View > Show > Gridlines before copying. If you already pasted the image, repeat the capture after changing the setting.

The Camera picture does not change

Make sure you inserted it with the Camera command rather than Copy as Picture. Camera must be applied to the intended source range; select that range again and create a new linked picture.

The chart file contains large blank margins

Paste the chart into an image editor and use its crop tool before saving.

I converted the workbook but did not get an image

Workbook format conversion is a separate operation. It can also lose workbook data, formatting, or features. Use Copy as Picture, Camera, chart-to-editor export, or a screenshot for an image.

I used “Data from Picture” by mistake

Data from Picture works in the opposite direction: it reads a screenshot or image and attempts to insert the data into cells. Frame only the intended data and review Excel’s corrections before inserting; it is not an export command.

Excel edition and workflow boundaries

The documented Copy as Picture and Camera procedures are listed for Microsoft 365, Excel 2024, and Excel 2021. Do not assume identical labels in Excel for the web, phone, tablet, or older versions; look for equivalent ribbon commands in the edition you use. A worksheet background is for display and is not printed. If your goal is a printed watermark, place the picture in a header or footer instead.

Can I edit the cells after capturing them as a picture?

No. Copy as Picture produces a static graphic. Keep the workbook or use Camera if the displayed range must update.

What is the fastest way to capture only a visible worksheet area?

Use a screen clipping and crop it, but remember that screen captures can include interface elements. Copy as Picture is cleaner when you need selected cells only.

Can I make a transparent Excel image?

Transparency depends on the destination format and editor. Excel’s Copy as Picture workflow does not provide a general transparent-background export control; remove unwanted background in an image editor if needed.
