Google Docs is the best default for free, mixed-device collaboration. Choose Microsoft Word when DOCX fidelity, advanced formatting, or desktop features matter; Apple Pages for Apple-focused design work; LibreOffice Writer for free offline editing; Notion for wiki-like knowledge systems; and Dropbox Paper for lightweight project documents. The right choice depends on the file your recipient needs, not just the app you prefer.
First, identify what kind of “document” you need
Traditional word processors create page-based files that can be printed, submitted, exported, or exchanged: Microsoft Word, Google Docs, Apple Pages, and LibreOffice Writer. They provide styles, page breaks, headers, footers, tables, footnotes, references, review tools, and PDF or DOCX export.
Collaborative workspaces such as Notion and Dropbox Paper are built around shared pages, comments, tasks, links, databases, and embedded content. They are excellent for living team information, but they are not always substitutes for a paginated DOCX file, academic submission, contract, or print-ready report.

Best apps by use case
Google Docs: best overall for free collaboration
Google Docs is the strongest default when several people need to write, comment, suggest edits, assign action items, and share one canonical document. It works in a browser, on mobile devices, and across mixed operating systems. Google describes Docs as supporting real-time co-editing and common Microsoft Word files. Use Share, add named people or copy a link, then choose Viewer, Commenter, or Editor. You can later change permissions or remove access. Suggestions, comments, version history, and action items make it practical for schoolwork, briefs, meeting notes, and ordinary reports.
Its limits appear with complex Word documents. Custom fonts, floating objects, section breaks, fields, tracked changes, citations, and intricate tables may not round-trip perfectly. If the final recipient requires a precisely formatted DOCX, keep Word as the primary editor.
Microsoft Word: best for professional formatting and DOCX workflows
Word remains the safest choice for long or highly formatted documents, formal review, mail merge, templates, references, advanced styles, section breaks, headers and footers, and Word-specific fields. It is also the least surprising option when every reviewer already uses Word.

Microsoft offers free browser versions of Word, Excel, and PowerPoint with a Microsoft account and 5 GB of OneDrive storage. The free web app is not the same as the licensed desktop application: paid Microsoft 365 plans add desktop programs and broader services. Apple Pages: best for Apple-centric, design-oriented documents
Pages is a good fit for Mac, iPhone, and iPad users who value polished templates, resumes, invitations, flyers, and visually appealing reports. Collaboration runs through iCloud, and documents can be exported to PDF or Word when necessary.

It is less attractive when a team exchanges complicated DOCX files with Windows users or requires Word’s review and reference features. Export a representative file and inspect the result before committing to a Pages-based workflow. LibreOffice Writer: best free offline desktop editor
Writer is a full desktop word processor for Windows, macOS, and Linux. It is free and open-source, stores files locally, and does not require a subscription or continuous cloud connection. It suits offline work, Linux users, and anyone who wants local control over documents.
Writer can open and save Microsoft formats, but identical rendering is not guaranteed. Check custom fonts, text boxes, floating images, complex tables, footnotes, fields, tracked changes, macros, forms, and citations after exchanging a file. Download it from LibreOffice and review its Writer feature page.
Notion: best when a document is really a knowledge system
Choose Notion for a team wiki, project hub, meeting-notes system, content calendar, linked documentation, or database-backed knowledge base. Pages can combine prose with tasks, databases, embeds, and relationships that a conventional word processor does not provide.

Do not choose it for print-perfect pagination, complex DOCX round-tripping, or a formal document that must follow a strict Word template. Notion has free and paid plans; current storage, collaboration, and AI entitlements should be checked on its product page and pricing page.
Dropbox Paper: best for lightweight project documents in Dropbox
Paper works well for meeting notes, project plans, shared briefs, to-do lists, templates, and pages that benefit from embedded links or media. It is particularly convenient for teams already storing their files in Dropbox. Dropbox describes Paper and related collaboration features on its content-collaboration page.
Paper is not a replacement for Word’s pagination, advanced review, or deep DOCX editing. Choose Dropbox primarily when storage, file sharing, and lightweight collaborative pages are the central need; compare current plans at Dropbox Plans.
How to choose in five questions
- Is the output a traditional file? For a printable or formally exchanged document, start with Word, Google Docs, Pages, or Writer. For linked internal information, consider Notion or Paper.
- Will several people edit simultaneously? Google Docs is the easiest free default; Word, Notion, and Paper also support shared editing.
- Must the final file remain DOCX? Use Word when fidelity and tracked review matter. Google Docs, Pages, and Writer can work, but test the exact document.
- Do you need reliable offline desktop editing? Choose Writer or licensed desktop Word. Pages works well on Apple devices when files are stored locally. Google Docs requires preparation.
- Who controls the account and storage? Review folder inheritance, organization policies, storage quotas, retention rules, and whether local or self-hosted storage is important.
Offline work: configure it before you need it
Google Docs offline editing is not automatic. Google instructs users to use Chrome or Microsoft Edge, enable offline access, and prepare the required files before losing connectivity. Follow the offline editing instructions, then test by disconnecting from the internet and reconnecting to confirm synchronization.

Writer is offline-first. Desktop Word is dependable offline when covered by a qualifying license. Pages can work offline when its file is available on the device. Mobile apps are useful for review, comments, dictation, and light edits, but they generally do not expose the full desktop feature set.
Sharing safely
- Use named-person access for sensitive files instead of “anyone with the link.”
- Give the least privilege needed: viewer, commenter, or editor.
- Inspect both the document’s direct permissions and inherited folder or team-drive access.
- Remember that view-only access cannot prevent screenshots or redistribution.
- Revoke access when a project ends and archive an export before closing an account or changing services.
- Keep one canonical working document; downloaded copies and later offline synchronization can create conflicting versions.
File compatibility and export risks
Moving a document between Word, Google Docs, Pages, and Writer can alter fonts, page breaks, tables, images, footnotes, fields, citations, comments, or tracked changes. The risk rises with custom fonts, floating objects, section breaks, embedded files, macros, forms, and reference-manager data.
Keep the master in the format required by the final recipient. Export a PDF to check visual appearance, but retain the editable source because a PDF is not a substitute for a DOCX or other working file. A Word “Track Changes” workflow and Google Docs “Suggestions” workflow are related, not identical; test the complete review cycle in the software your reviewers will use.
