How to Enable Meeting Attendance Reports in Microsoft Teams, Then View or Download Them

To enable a Teams attendance report, open the meeting’s Meeting options, go to Participation, turn on Allow attendance report, and select Apply. After the meeting, open its chat, select Attendance, and choose Download to save a CSV file. Microsoft’s current instructions are documented in Manage meeting attendance reports in Microsoft Teams.

What a Teams attendance report contains

An attendance report records who joined a meeting and can include each participant’s join time, leave time, time in the meeting, and the meeting’s duration. Depending on the meeting type and your organization’s policy, the related attendance-and-engagement report can also show totals or activity such as reactions, raised hands, camera use, unmuting, and Q&A.

The exact columns are not fixed. Microsoft can change the CSV layout, and privacy, meeting type, and tenant settings can remove identity or timing fields. Treat the export as a report that can include these values, not as a guaranteed column list.

This is different from a recording, transcript, Teams admin-center participant investigation, webinar registration report, or full Microsoft 365 audit log.

Who can enable, view, and download reports?

  • Organizers can enable reporting for meetings they organize and can view or download the result when their meeting policy permits it.
  • Eligible co-organizers can generally view and download reports, but Microsoft documents exceptions: co-organizers cannot use this access for meetings scheduled through Outlook or for channel meetings.
  • Regular attendees do not receive the organizer’s report.
  • Teams and Microsoft 365 administrators control the tenant policy. They do not automatically open every organizer’s report; administrators can instead use limited participant details available through the admin center for investigation.

Enable attendance reporting before a meeting

Use Teams desktop or the web app for the fullest set of controls. Labels can vary slightly between standard meetings, education tenants, webinars, and interface rollouts.

  1. Open Teams and select Calendar.
  2. Select the meeting or event, then choose View event or open its details.
  3. Select Options to open Meeting options.
  4. Open the Participation section.
  5. Turn on Allow attendance report.
  6. Select Apply.

The option may not be displayed on the main meeting-details page; it is normally inside Meeting options. Microsoft’s current path is documented here.

Enable it after the meeting has started

  1. Join or start the meeting as the organizer.
  2. Open Meeting controls and select View more options.
  3. In Participation, turn on Allow attendance report.
  4. Select Apply.

Turning on this setting allows Teams to generate the report. It is separate from downloading a snapshot of the people currently in the meeting.

Download a live attendance list

For a quick headcount while the meeting is in progress:

  1. Open People or Show participants.
  2. In the Participants pane, select More actions.
  3. Choose Download attendance list and save the generated file.

Microsoft warns that a live report can be incomplete when more than 120 people attend. Use the post-meeting report for the final record whenever it is available.

View and download the complete post-meeting report

  1. Open Chat in Teams.
  2. Open the chat for the past meeting or event.
  3. Select the Attendance tab.
  4. Select Download and save the .csv file.

Microsoft says the report usually appears in the event chat about five minutes after the event ends; this is an approximate delay, not a guaranteed deadline. Recurring meetings generate a separate report for each occurrence. Use the desktop or web app to see all available report data, because the mobile experience can be more limited.

Open the CSV in Excel, Google Sheets, or another spreadsheet application. Preserve the original export, add the meeting date to your own filename, and do not overwrite one occurrence with another. Store it under your organization’s retention and access rules.

Use the mobile app

Turn reporting on

  1. Open Calendar and tap the meeting.
  2. Tap See more > Meeting options.
  3. Under Participation, turn on Allow attendance report.
  4. Tap Save.

Open a report

  1. Open Chat.
  2. Open the past meeting chat.
  3. In the Meeting ended message, tap Attendance.

Microsoft recommends desktop or web when you need the complete data set. See the mobile support instructions.

When an administrator must enable the feature

If Allow attendance report is missing, the meeting policy is often the cause. In Teams admin center, an administrator should:

  1. Open Meetings > Meeting policies.
  2. Select or create the applicable policy.
  3. Open Meeting scheduling.
  4. Find Attendance and engagement report.
  5. Choose the required policy value and configure attendee inclusion and information settings.
  6. Select Save.
Policy value Effect
On, but organizers can turn it off Reports are available and organizers can disable them per meeting. Microsoft documents this as the default, although a tenant may have changed it.
On Reports are enabled and organizers cannot turn them off.
Off Organizers cannot view or download attendance and engagement reports for meetings they organize.

PowerShell administration

For scripted administration, Microsoft documents the -AllowEngagementReport parameter of Set-CsTeamsMeetingPolicy:

Set-CsTeamsMeetingPolicy -Identity "<policy name>" -AllowEngagementReport Disabled

The documented values are Enabled (organizers can download the report), Disabled (report generation and organizer downloads are disabled), and ForceEnabled (reporting is enabled and the organizer cannot disable it). See the Set-CsTeamsMeetingPolicy reference.

Microsoft’s admin pages increasingly call this an attendance and engagement report, while the user interface commonly says attendance report. They are related controls, not necessarily two unrelated products.

Privacy and identity controls

Participants may be able to control whether their identity appears. In Teams, open Settings and more > Settings > Privacy > Identify me in attendance reports. Whether the switch is available and what it does depends on tenant policy.

Administrators can choose how attendees are included:

  • Yes, but attendees can opt out
  • No, but attendees can opt in
  • Always
  • Never

They can also set Attendee information to:

  • Show everything — includes join times, leave times, and in-meeting duration.
  • Only show who attended — removes join, leave, and duration details.

Attendance data can be personal information. Organizations should align collection, notice, access, retention, and monitoring with their own policies and applicable employment or privacy requirements; this is not legal advice.

Troubleshooting missing or incomplete reports

Symptom What to check
No “Allow attendance report” toggle Ask an administrator to check whether the meeting policy is Off. Also confirm that you are the organizer or have the required organizer rights, that the meeting type supports reporting, that policy changes have propagated, and that you are not relying on a less-complete mobile interface.
No Attendance tab after the meeting Confirm reporting was enabled before or during the meeting, the event has fully ended, about five minutes have passed, and you opened the correct meeting chat. Check organizer or eligible co-organizer status and any Outlook or channel-meeting exception.
The CSV is empty or missing people A live export from a meeting with more than 120 participants may be incomplete. A person left in the lobby, joined view-only, used an unsupported instant channel meeting, opted out, or was excluded by tenant policy. Download the post-meeting report where possible.
Join and leave times are absent The policy may be set to Only show who attended under Attendee information.
A co-organizer cannot download Microsoft limits co-organizer report access for meetings scheduled through Outlook and for channel meetings. Have the organizer retrieve the file.
The report disappeared after staff turnover Microsoft states that reports are permanently deleted if the event organizer leaves the organization. Download and retain required reports before offboarding.

Meeting-type and participant limitations

Recurring meetings

Each occurrence has its own attendance report; do not expect one CSV to combine the entire series.

Channel meetings

Co-organizer access is restricted, and instant channel meetings are not supported for this reporting workflow. Overlapping or secondary meetings in the same channel conversation can also affect which participants appear.

Webinars and events

Webinars and events can expose attendance and engagement information, but their report fields and interface can differ from an ordinary scheduled meeting.

Lobby, view-only, and breakout-room participants

Someone who remained in the lobby was not an attendee in the meeting. View-only participation, deleted breakout-room insights, and other meeting-surface limitations can also explain missing entries.

Education

Schools can use attendance and engagement reports for classroom participation, subject to the institution’s policy and privacy obligations.

Choosing the right report workflow

Native Teams reporting requires no additional software, but it is not an immutable legal record by itself. Validate your tenant settings, export process, storage location, and retention controls before using CSV files for formal compliance decisions.
