A WhatsApp bot hosted on a Windows PC can stop replying even when its code seems fine: the computer may sleep, the program may fail to restart, or WhatsApp may be unable to reach its webhook. And a bot that is online still has to follow WhatsApp’s messaging rules. Here are five distinct checks and the practical fixes for each. They’re troubleshooting areas, not claims about one person’s confirmed incidents.
1. The PC sleeps, so the bot stops running
If your bot runs on your own computer, it cannot handle requests while that computer is asleep. Microsoft explains that in sleep the processor is not executing code. A scheduled wake can bring a computer back for a task, but it does not keep a continuously available bot running between scheduled runs.

What to check
- Check whether Windows sleeps or hibernates overnight, after inactivity, or when the laptop lid closes.
- Check whether the PC loses power or its network connection during the same period.
- Compare the time a reply stopped with the computer’s power and availability history, rather than assuming the bot itself crashed.
How to fix it
Adjust the Windows power settings so the computer stays awake for the periods when the bot must respond, and make sure it remains powered and connected to the network. The setting names and available choices can vary by device and Windows configuration. Keeping a machine awake uses power, and Microsoft notes that continuous wakefulness can have power costs on Modern Standby devices. Treat this as a machine-specific trade-off, not a universal setting.
2. Starting at boot is not the same as recovering from a failure
A program configured to launch when Windows starts may still stop later. Windows Task Scheduler has an ONSTART trigger for starting a task when the system starts, and it can be configured to retry a task that fails. Those are separate settings: a startup trigger does not, by itself, provide recovery after a later failure.

How to configure the two jobs
- Open Task Scheduler and create or edit the task that launches the bot.
- In the task’s trigger settings, add a system-start trigger (At startup, corresponding to ONSTART) if the bot should launch when Windows boots.
- In the task’s settings, configure the restart-on-failure option with an appropriate retry interval and retry count for your application.
- Run the task manually and then test a Windows restart. Confirm that the right account, application path, working directory, environment variables, and credentials are available in the task’s run context.
What retries do not fix
A retry setting can help when Task Scheduler recognizes that a task failed. It does not establish that a bot is healthy, detect every process that hangs while remaining open, or guarantee uninterrupted service. For a process that stays alive but stops responding, add application-level health checks or monitoring that can detect the failure mode and trigger a deliberate recovery.
3. The webhook is listening locally but cannot be reached from WhatsApp
In the documented WhatsApp Cloud API webhook pattern, inbound events are delivered to a server endpoint. Meta’s archived Node.js SDK receiving guide describes a publicly accessible HTTPS callback URL. A bot listening only on a local Windows port is not, by itself, that externally reachable endpoint.

How to diagnose and fix reachability
- Confirm the exact HTTPS callback URL configured for the webhook and the route your application listens on.
- Test that route from outside your local network, not only from the Windows PC itself.
- Check the firewall, router, DNS, TLS certificate, and any hosting or network layer between the public internet and the application.
- If the PC cannot safely or reliably expose a public endpoint, use a suitable externally reachable hosting or networking arrangement. The archived guide does not establish one tunnel, router configuration, or hosting product as the right choice for every setup.
The archived guide’s single-process example is a limitation of that SDK example, not a general limit on WhatsApp Cloud API. Because the SDK pages are archived, verify implementation details against current Meta Cloud API documentation before relying on them.

4. The callback is not verified or acknowledged safely
Reachability alone is not enough. Webhook setup includes a subscription-verification step and checks on incoming POST requests. The archived Meta SDK reference describes using a verification token during subscription checks and validating POST authenticity with x-hub-signature-256 against the app secret. These are different checks: the subscription challenge is not a substitute for validating incoming event signatures.

How to handle webhook events
- Implement the current official verification procedure for the callback URL and keep the verification token private.
- For incoming POST payloads, validate the signature as described in current Meta documentation before trusting the event.
- Decide when your application acknowledges receipt. The archived guide’s sample returns HTTP 200 after handling an event; in a production design, understand whether handling means durable processing or merely accepting the request.
- If you acknowledge before the event is safely queued or stored, a later application failure could leave you without a reliable record to process. Design and test retries and duplicate-event handling according to the current API behavior.
The archived SDK material is a historical reference, not a guarantee that its sample code or API-version details remain current. Check Meta’s current webhook guidance before deployment.

Some apparent “downtime” is a messaging-policy issue rather than a Windows or webhook failure. WhatsApp Business Messaging Policy states that businesses may use automation during the 24-hour customer service window, but must also provide prompt, clear, direct escalation paths. Outside that window, businesses may initiate conversations only with approved message templates. The policy result available on October 4, 2026, reported an update dated September 23, 2026; check the live policy because its terms can change.

How to fix the flow
- Check when the customer last messaged and whether the message falls within the applicable customer service window.
- Provide a clear path from automation to human support, as required by the policy.
- For a business-initiated message outside the window, use an approved template rather than repeatedly restarting the bot or changing its credentials.
This policy constraint is independent of whether the Windows process is running. Token setup and expiry details should also be checked in current Meta documentation; the archived SDK quickstart’s token guidance may no longer reflect current setup.
A practical order for troubleshooting
- Check whether the PC was awake, powered, and online when replies stopped.
- Check Task Scheduler history and the application logs to distinguish a bot that never launched from one that failed later.
- Test the public HTTPS webhook route from outside the local network.
- Review verification, signature validation, event persistence, and HTTP acknowledgement behavior.
- Check whether the message was permitted under the current WhatsApp policy and whether a template or escalation was required.
These checks separate five different failure classes: computer availability, process recovery, network reachability, webhook handling, and messaging policy. Fixing one does not automatically fix the others.
