In a well-configured office, it gives IT a live view of printers and usage, helps eliminate unnecessary devices and uncontrolled supply spending, protects sensitive pages with authenticated release, connects scanning to digital workflows, and reduces avoidable paper and energy use. The results are not automatic: savings depend on your existing fleet, print volume, contracts, configuration and whether employees actually use the controls.
A printing management system can be cloud software, on-premises software, a managed print service, or a combination of those layers. It monitors devices, applies policies, records activity and coordinates supplies and service. It is different from buying a new multifunction printer (MFP): hardware alone does not provide centralized analytics, identity controls, workflow integration or fleet-wide policies.

What a printing management system actually does
The system collects status and usage data from printers and MFPs, usually through a network connector or cloud agent. Administrators can see device location, page counts, consumable levels, error states and user or department activity from one console. Policy features can set duplex or monochrome defaults, require authentication, hold jobs until release, delete abandoned jobs and limit who may print in color.
Some deployments add a managed service. In that model, a provider may supply devices, order toner, dispatch technicians and bill a predictable service rate. Others keep hardware and support in-house while using software only. Compare the two separately: a product subscription does not automatically include replacement hardware, on-site response or consumables.

Benefit 1: Fleet visibility and easier day-to-day operations
Find every device and its condition
Many offices discover that their inventory list is incomplete. Network discovery and usage reporting can identify printers that were never recorded, devices sitting in little-used rooms and machines that generate repeated error alerts. A central dashboard lets IT see which units are online, out of toner, approaching a maintenance threshold or producing unusual volumes.
That visibility changes support from a walk-around exercise into a prioritized queue. A technician can combine an alert with the device’s floor and department, check whether a spare is available and address a recurring fault before users open multiple tickets. Usage reports also show whether a high-volume department is relying on a small desktop printer that is likely to fail under the load.
Evidence from a federal district assessment
In an undated Ricoh USA customer case study about a U.S. federal district, the print analysis found 25% more devices on site than the customer expected. That figure describes the district’s discovery exercise, not a normal result for every office. The same assessment supported a multifunction-printer refresh and a managed service plan.
What to check before buying
- Can the tool discover mixed-vendor printers, or only equipment from one manufacturer?
- Does it show location, serial number, meter, error and consumable data in one view?
- Can alerts create tickets or notify the correct support group?
- How often is data collected, and what happens when a device is temporarily offline?
Benefit 2: Better control of fleet size, supplies and total cost
Measure before you remove or replace
Print management exposes the cost hidden in an unmanaged fleet: lightly used devices with separate toner contracts, duplicate machines in adjacent rooms, expensive color output and emergency supply orders. With several months of page-count and location data, you can model demand by team and decide whether to consolidate, relocate, replace or retain each device.
A smaller fleet can reduce lease, service, energy and consumables costs, but it must still meet distance, accessibility, peak-volume and resilience requirements. Removing the only printer on a floor may lower the device count while creating downtime and travel for staff. Right-sizing is a capacity decision, not simply a deletion target.

Case results are specific, not guarantees
Ricoh USA’s undated federal district case study projects approximately $2 million in printing-cost savings over five years after a managed print deployment. It is a projection for that district, based on its starting conditions and proposed changes; it is not a typical-office benchmark.
In another undated Ricoh USA case study, Educational Testing Service (ETS) removed more than 500 underused devices while maintaining workflow and productivity. The case also attributes an $8,000 monthly paper saving to secured printing that reduced abandoned output. Treat both figures as ETS-specific outcomes rather than promises.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsKonica Minolta UK’s undated Milton Keynes Council case study reports a 20% reduction in output and 30% savings in capital and service cost per click for that council’s deployment. The page presents those as results of its Pcounter implementation; they should not be generalized to another fleet without a comparable assessment.
Make supply purchasing predictable
Usage-based replenishment can trigger toner orders before a cartridge is empty and prevent departments from stockpiling incompatible supplies. Ask whether the system supports approval thresholds, consolidated invoices, compatible-device mapping and a record of who authorized an order. If a managed service includes supplies, verify which consumables, shipping charges and emergency deliveries are covered.
Benefit 3: More controlled and confidential output
How secure release works
With secure or follow-you printing, a job is held in a queue rather than delivered immediately. The employee authenticates at a printer with a badge, PIN, card or another supported identity method, selects the job and releases it. A user can send a document from a laptop and collect it at an authorized device instead of guessing which nearby printer is free.

Authentication reduces the chance that salary data, health information, legal papers or customer records remain unattended in an output tray. Administrators can also apply rules by user, group or department, and retain audit records showing who released a job, when and where. These controls improve accountability, but they do not secure the network, the source computer, a scanned file repository or the document after collection. Use them as one layer of an information-security and retention program.
Reducing abandoned pages
Many systems automatically purge jobs that were never collected after a defined period. That both limits exposure and prevents pages from being printed simply because someone forgot about a queue. Set the timeout with your work patterns in mind: a deadline-driven department may need a longer window, while a public-area printer may require a shorter one.
Questions for an authentication rollout
- Which identity provider, directory or smart-card system will it use?
- Can a user release at more than one device without reprinting?
- What happens during a network or authentication outage?
- Are audit logs exportable, access-controlled and retained for the period your policy requires?
- Can visitors, contractors and users with accessibility needs print without creating a security bypass?
Benefit 4: Connected scanning and document workflows
Move paper into the systems people already use
Modern MFPs can scan to email, network folders, document repositories and business applications. A management layer can standardize those destinations, require a department or matter code, apply naming rules and route files to the correct workflow. That reduces repetitive downloading, renaming and manual filing.
Workflow integration is especially valuable where paper arrives from outside the organization: invoices can enter an approval queue, forms can reach a case-management repository and signed documents can be indexed for retrieval. The gain is not the scan button itself; it is the removal of handoffs and the creation of a traceable path from capture to storage.
Scanning is a selection differentiator
Quocirca’s Managed Print Services, 2025 excerpt, hosted by Ricoh Europe in October 2025, identifies scanning as an important differentiator when organizations select a managed print provider. The excerpt also reports that 41% of respondents cited cost control as a print-management challenge. Those are survey findings, not proof that any particular provider or integration will fit your environment.

- Does optical character recognition run on the device, in the service or in your repository?
- How are failed scans, duplicate files and personally identifiable information handled?
Benefit 5: Lower paper and resource use
Turn policy into defaults
Duplex printing, monochrome defaults, page-count limits and deletion of unclaimed jobs reduce waste only when they are configured as defaults that users can override for a documented reason. Reporting should show whether those settings are changing behavior, not merely whether the options exist.
Consolidating devices can also reduce standby energy, packaging and toner consumption. Reusing a suitable device elsewhere is preferable to buying a replacement, provided the machine meets security, accessibility, speed and reliability requirements.
What the GovPrint program reports
The Government Property Agency’s GovPrint case study, dated 28 September 2026, reports availability in 355 buildings and rollout to 244 locations during 2024–25. It attributes 5,033 replanted trees to the agreement to date and says automatic purging of uncollected jobs has saved 408 trees since the program began in 2023. Those figures belong to that government-wide program; they are not a universal conversion rate for paper savings.
The same case study quotes Keith Houghton, Product Owner at the Government Property Agency: “As more departments use GovPrint and become less reliant on printing, printers can be returned and reused elsewhere across government. GovPrint is currently reusing around seven devices each month, reducing the need to buy new printers as the service grows.”
How to implement a system without disrupting work
- Define the baseline. Inventory devices, contracts, locations, monthly pages, color share, supply costs, service calls and peak periods. Include USB and locally attached printers that network discovery may miss.
- Set requirements with users. Document accessibility, floor coverage, media types, scan destinations, legal or retention needs, outage procedures and departments that cannot tolerate a single point of failure.
- Run a discovery and measurement phase. Collect enough data to capture normal and peak demand. Reconcile software counts with invoices and physical walkthroughs before deciding that a device is redundant.
- Pilot policies. Start with duplex and monochrome defaults, secure release and unclaimed-job deletion on a representative group. Measure release success, help-desk calls and exceptions before expanding.
- Design identity and network controls. Place print servers, cloud connectors, device firmware and authentication components in approved network segments. Define least-privilege administration and an outage fallback.
- Map scanning workflows. Test repository permissions, naming, indexing, encryption and error handling with real document types. Obtain records-management and security approval before broad deployment.
- Right-size in stages. Remove or relocate devices only after checking queue lengths, walking distance, accessibility and backup capacity. Keep a rollback plan for departments whose demand was underestimated.
- Track outcomes monthly. Report pages, color ratio, duplex rate, abandoned jobs, supply spend, incidents, uptime and user exceptions. Compare with the baseline rather than assuming a lower device count equals success.
Software, managed service or both?
| Approach | What you receive | Best fit | Trade-off to examine |
|---|---|---|---|
| Software only | Monitoring, policy, authentication, reporting and workflow features, using your existing hardware and support arrangements. | Organizations that already own suitable devices and have internal service capability. | You remain responsible for hardware refreshes, repairs, supplies and vendor coordination. |
| Managed print service | A provider may combine assessment, devices, supplies, maintenance, monitoring and reporting under a service agreement. | Teams seeking one accountable operating model or predictable service costs. | Review contract length, minimum volumes, click charges, termination terms, response times and what is excluded. |
| Hybrid | Central software and policies with a mix of owned, leased or provider-supported devices. | Large or distributed offices with different security, workload or regulatory needs. | Mixed ownership can complicate support boundaries, reporting and supply replenishment. |
Selection checklist and common failure modes
Compare the capabilities that affect your outcome
- Total cost, contract structure, included supplies and support.
- Fleet discovery, usage reporting and mixed-vendor coverage.
- Authentication methods, secure release, audit records and administrative controls.
- Monitoring frequency, response targets, geographic coverage and downtime handling.
- Supply ordering, approval workflows and replenishment controls.
- Scanning connectors, repositories, OCR and workflow automation.
- Cloud versus on-premises deployment, data location and network-security fit.
- Duplex and monochrome defaults, unclaimed-job deletion, reuse and measurable resource reporting.
Problems to anticipate
- Users bypass the queue. Locally installed drivers or direct-IP printing can defeat policy. Remove unauthorized paths and explain the approved workflow.
- Authentication fails at busy times. Test badge readers, directory dependencies and offline behavior; provide a documented emergency process.
- Consolidation creates bottlenecks. Monitor peak queues and walking distance, then add capacity or relocate a device where the data shows a real need.
- Reports disagree with invoices. Reconcile meters, click definitions, color surcharges and device ownership before declaring savings.
- Scanning creates new risk. Restrict destinations, encrypt transfers, set retention rules and test permissions with representative documents.
- Environmental claims overreach. Report actual duplex rates, pages avoided, jobs purged and devices reused; do not convert a vendor’s or agency’s case figure into a general promise.
Bottom line: when the investment makes sense
A printing management system is most valuable when an office has an unknown or mixed fleet, recurring supply and service problems, sensitive documents, substantial scanning or a mandate to reduce paper. Start with measurement, then choose the smallest combination of software, hardware and managed support that solves the documented problems. The five benefits are achievable capabilities, not guaranteed percentages: disciplined configuration, user adoption and ongoing measurement determine whether they become real savings, stronger confidentiality and less waste.
